Requests will go through an internal review process, so it is necessary to submit your request at least two weeks prior to the date the document is needed to insure timely issuance. Letters The Mayor's Office offers letters for conferences, conventions, seminars, professional celebrations, significant birthdays and/or anniversaries. In order to prepare the letter in a timely manner, the following information is required: The title or nature of the event The specific date of the event The date the letter is needed A brief history of the organization or a biographical summary of the person as well as any other pertinent information The name, address and telephone number of the requestor An indication of whether the proclamation should be mailed or will be picked up Requests for a Mayoral letter may be sent to the City Clerk's Office electronically. A printable request form is also available and may be submitted by fax 252.329.4435, delivery to 200 West Fifth Street, or mail at PO Box 7207, Greenville, NC 27835. Once signed by the Mayor, the original letter is returned to the requestor unless other instructions are given. The Mayor's Office reserves the right to modify or deny any request. Click here to complete and submit a request for a Mayoral letter Proclamations and Commendations Proclamations may be issued for civic celebrations, non-profit organizations, and significant events with importance to the citizens of Greenville. Proclamations taking sides in matters of political controversy or addressing personal convictions will not be issued. Proclamations may recognize a day, week or month. The Mayor's Office reserves the right to modify or deny any proclamation request. In order to have a proclamation prepared in a timely manner, a proclamation request form must be completed. Proclamations are issued in honor of individuals only upon a 100th birthday. If recognition is desired for someone who has made significant contributions of importance to Greenville, a commendation may be requested by completing a commendation request form. In order for the Mayor to issue a commendation in honor of an individual, the following information is required: The date the document is needed Biographical information for the individual Significant contributions of the individual The date and type of event beign planned for the individual The name, address and telephone number of the requestor Submitting Your Request For Proclamations and Commendations To have a proclamation considered for issuance by the Mayor, complete a proclamation or commendation request form, which includes draft language or a sample proclamation. Requests should be submitted two weeks in advance. A proclamation can influence policy decisions is an official way for government leaders to make an announcement. Although there are a few steps involved, overall it's a very easy thing to accomplish (particularly if your association drafts the proclamation for your leaders). The 4-Step Process 1. Write: Outline what you would like the proclamation to say. 2. Contact: Contact your Mayor, Governor, Senator or other government official's office to request the proclamation. 3. Sign: Meet with the official for the signing of the proclamation and a photo. If this isn't possible, ask the official if they can provide a photo of the signing. 4. Promote Post the photo on your website and social media as well as distribute a press release. How to Write a Proclamation TitleStart with a basic title, which explains the proclamation. Write Reasoning StatementsIdentify the reasons behind your proclamation. Keep it straightforward and simple. Start each statement with "Whereas," followed by the reason. Write The Proclamation StatementExplain what you are proclaiming, based on the above-listed reasons. Start the sentence with "Now, therefore" and be sure to include the author's name, position, organization, location, and date. This statement should be written in the first person. Add A Personal InvitationUnderneath the proclamation statement, personally invite readers to support and participate in your proclamation.
