1. Purpose of job

Purpose of Job:

1. PURPOSE OF JOB

Provide a wide range of administrative duties within the Finance Team supporting the work of the school.

2. DIMENSIONS

Budget: This post has no particular budget responsibilities

3. PRINCIPAL ACCOUNTABILITIES

• Maintain financial systems and procedures in accordance with EFA financial regulations in order to ensure the effective financial operation of the school budgets.

• Process orders and invoices, the payment of creditors and collection of monies for school trips, uniforms etc. to ensure accurate and timely payments.

• Input and maintain detailed financial information (e.g. invoices, credit notes, cash limits) to ensure that the integrity of FMS and to provide sound information for management decision making.

• Respond to general queries via the telephone from the LA, other schools, suppliers, customers, parents and pupils ensuring that that all queries are dealt with effectively and in accordance with the Academy Financial procedures in order to maintain an efficient service.

• Assist the Resources Manager in the monitoring of budgets by updating and maintaining computerised expenditure and income records for the school’s accounts

• Ensure all cash, cheques and credit cards relating to the school are banked promptly and accurately, especially taking into account the cashless catering systems and online payments, taking into account variable elements such as VAT.

• Maintain the Finance Team’s central filing system archiving/destroying documents as necessary to ensure that the school’s Document Retention Policy is adhered to.

• Undertake other routine clerical duties and dealing with correspondence as appropriate.

4. NECESSARY EXPERIENCE

• Good general standard of secondary education (NVQ1/2 or equivalent) and the post holder must be numerate.

• Must have undertaken the Support Work in Schools Programme (VRQ 2) or be working towards obtaining this.

• Must be computer literate and had other office experience.

• Must be have the ability to adhere to Financial Regulations and other relevant school policies.

• Good communication and organisational skills are essential.

• Ability to prioritise own workloads and to work to deadlines is essential.

5. SCOPE FOR IMPACT

The school is managed as a stand alone business unit. As part of the Finance Team the post-holder will have responsibility for assisting with the monitoring of the school budgets, by providing good, accurate and timely information to the budget holders to ensure that the school is managed effectively.

6. JOB CONTEXT

The post-holder is a member of the school’s finance team but would be expected to use their knowledge to resolve routine problems there is, however, regular support and supervision available.

The post holder is responsible for ensuring that orders, invoices, receipts and any other payments are processed and recorded in the school’s computer systems within strict deadlines and in accordance with EFA Financial Handbook.
