Position Title: Finance Administrative Assistant

Hiring Range $25,000 - $35,000

GENERAL DESCRIPTION: Responsible for maintaining finance functions and the organization of Coalition records. Responsible for providing financial support to the Finance and Human Resource Director.

ESSENTIAL JOB FUNCTIONS:

Fiannce

1. Maintain financial functions including processing bills, checks, receipts and other documents

2. Ensure all documents are properly signed and distributed

3. Verify financial and other data(e.g. tax identification numbers).

4. Monitor financial transactions.

5. Assist with account reconciliations and audits

6. Communicate with vendors, customers and colleges

7. Report the status of accounts and discrepancies

8. Prepare Travel Authorization form at the beginning of the fiscal year for CEO and Finance and Human Resources Director

9. Maintain accurate records of Coalition receivables, make copies of checks and associated documentation, make bank deposits, and other financial related duties as identified

10. Update Electronic Contract Files and lease agreement files with updated contract language.

11. Maintain Purchase Order and Supplies Order file for all Purchases of Material and Supplies

12. Update and Maintain Inventory Log.

13. Maintain a Quote file for all Materials Ordered. Maintain a Supply Catalog file yearly

14. Maintain Vehicle and Cellphone binder with updated information

General Requirements

1. Maintain all Coalition records as well as general functions of the Coalition office.

2. Work harmoniously with Coalition members, other Coalition staff, early learning organizations and the community at large as appropriate.

3. Assist Chief Executive Officer, and Finance and Human Resource Director with special projects as identified.

MINIMUM QUALIFICATIONS:

Candidate must possess:

1. Associate Degree in Finance or 2 years of finance or accounting experience

2. A strong work ethic, be self-motivated and take initiative.

3. Proficient skills in Microsoft Word, Excel, Outlook and Power Point.

4. The ability to type approximately 40 WPM or greater.

5. Strong oral and written communication skills.

6. Knowledge of general office equipment including copier, fax, and computer.

7. Knowledge of internet navigation and general website functionality.

8. The ability to meet aggressive deadlines.

9. Professional appearance and presentation.

Candidates must demonstrate:

1. The ability to multi-task and manage large volumes of detail.

2. The ability to provide customer service to providers, parents and community at large.

3. Office management skills including, but not limited to, office equipment maintenance, office supply inventory management, and strong organizational skills.

4. The ability to attend meetings during the workweek as defined: Monday – Thursday, 8:00a.m. – 5:00p.m., Friday, 8:00a.m. – 12:00p.m., and an occasional week night and/or Saturday as needed.

LICENSES, CERTIFICATIONS OR REGISTRATIONS:

1. Possession of a valid Florida Driver's license and daily access to reliable transportation to and from work and for local work-related travel.

ESSENTIAL PHYSICAL SKILLS:

1. Ability to operate a computer for extended periods.

2. Ability to sit for extended periods while performing job functions.

3. Ability to assist with lifting of heavy boxes occasionally.

1. Office environment.
