JOB DESCRIPTION

Job Title: Financial Accountant

Reports to: Director of Finance

Direct Reports: Assistant Financial Accountant

About the role

You will manage the day to day financial accounting processes of the organisation, ensuring that they are efficient and appropriate. You will have a keen attention to detail, ensuring that the financial records accurately reflect the transactions of the organisation. You will support the Finance Director in the preparation of the statutory financial statements in accordance with current accounting regulations (SORP) and legal requirements to agreed timelines.

Key relationships

The Finance Team is a key part of the support service structure of the organisation, and exists to service the needs of internal and external users of financial information. This requires a positive, ‘can do’ and proactive approach from finance staff. In particular this role interacts frequently with: Budget holders, fundraising, and other support staff.

Key Responsibilities and Accountabilities

Statutory Compliance

• Support the Director of Finance in the preparation of statutory financial statements in accordance with current accounting regulations (SORP) and legal requirements to agreed timelines.

• Assist in the planning and management of the annual audit process

• Support the Director of Finance to ensure all statutory reporting and compliance obligations worldwide are made on a timely basis (including in the UK: HMRC, Companies House, Charity Commission; in the US: federal and local tax returns, IRS 990 return, etc.)

Leadership and management

• Provide leadership and management to maximise the contribution of a skilled team

• Undertake annual performance appraisals and regular one to one meetings for direct reports

• Accountable for ensuring that direct reports have the skills and capabilities and are engaged and motivated

Financial Controls

• Responsibility for financial accounting processes, including transactional processing, financial reconciliations, reporting, and month-end close processes.

• Ensure balance sheet accounts and bank accounts are reconciled on a monthly basis with any adjustments made in a timely manner

• Maintain a register of sundry debtors and sundry creditors and produce a reconciliation of these for each month end.

• Prepare and process monthly fixed asset, prepayments, accruals and other non-cash journals and associated balance sheet reconciliations

• Ensure all financial procedures are adhered to by staff and expenditure is in line with the financial Delegated Scheme of Authority

• Maintain the company credit cards list and ensure the level of staff debtors is managed in line with policy

• Review and approve monthly journals prepared by the Assistant Financial Accountant

Treasury

• Produce rolling 12 month cash flow forecasts and review against actual performance on a monthly basis

• Monitor foreign currency cash balances, recommending transactions to be initiated between accounts in line with the GW Treasury Policy

• Ensure the Bank Mandate for all accounts is updated as required

Payroll

• Review the summary output report provided by the payroll bureau for accuracy and highlight any corrections required to HR

• Review list of expenses to be reimbursed to employees each month and ensure receipt by HR by the agreed cut-off date

• Reconcile pension contributions from the monthly payroll and ensure transfer of funds with the pension providers

• Oversee the annual production of P11D statements for distribution to employees within the statutory time limits

Other Responsibilities

• Manage, and develop as necessary, the computerised ledger system used by the company and its subsidiaries, and associated entities.

• Administer pension scheme payments and ensure payments and liabilities are accurately captured in the accounts

• Manage the application process for company credit cards ensure they are kept up-to-date

• Distribute, collect and collate monthly lobbying time returns from each campaign to assist in the preparation of the IRS Form 990 return.

• Cover the essential elements of the Assistant Financial Accountant and Donor and Management Accountant roles in their absence.

• Undertake other ad hoc projects, and any other duties commensurate with the skills for the role, as required by the Director of Finance and the Chief Operating Officer.

Person Specification

Essential Criteria

• Qualified accountant (ACA,ACCA,CIMA) with supervisory experience in a similar role

• Experience of charity/third sector accounting under SORP

• Sound knowledge of financial accounting systems and MS Excel and Good knowledge of accounting systems

• Outstanding attention to detail with good verbal and written communication skills

Desirable

• Previous experience in a similar organisation

• Working knowledge of SUN accounting

• Experience of Vision Q&A

• Interest in and empathy with the work of Global Witness
