Major Objectives of the Position:

• Serve as primary point of contact on matters related to student accounts and billing, payment options, and student health insurance, and as a liaison to the College’s servicers and collection agencies.

• Guide students and families through all aspects of applying for financial aid and financing a St. Mike’s education, from financial aid application through bill settlement.

• Ensure that financial aid processes and policies align with accounts receivable processes to provide a seamless experience for students and families.

• Ensure that federal funds are awarded, disbursed, reported and reconciled in a timely manner and in full compliance with all applicable Title IV regulations.

• Assist with development of policies and procedures which ensure Title IV compliance, are consistent with policies of the College and provide for the efficient operation of the office and meet the needs of students and families.

• Complete federal verification, review financial aid files and award federal and institutional financial aid.

• Represent the Student Financial Services office at Admissions events and deliver presentations to prospective students and families on the financial aid process.

• Supervise and coordinate the efforts of two to five student employees.

• Represent the College at various community and business meetings.

Essential Duties and Responsibilities:

• Maintain student accounts by processing tuition, fee and housing charges, including for special programs, in collaboration with offices across campus.

• Serve as a liaison to the College’s Perkins Loan servicer and other vendors, and collection agenc(ies).

• Counsel students and parents on all aspects of college financing, bill settlement and financial aid processes.

• Review financial aid files to complete federal verification, address ISIR rejects and C-flags and resolve conflicting information.

• Package financial aid in accordance with federal guidelines and institutional policies and procedures.

• Attend admission events including fall and spring open houses. Deliver presentations on the financial aid process to prospective students and families.

• Participate in training sessions and stay current on federal regulations and guidelines.

• Attend meetings to stay current on administrative and student issues on campus.

• Maintain a positive and cooperative working relationship with members of the office and the campus community and frequently engages with colleagues to problem-solve.

• Perform other miscellaneous job-related duties as assigned.

Demonstrates Excellence in this Position:

• Provides exceptional customer services to students, families and internal constituents.

• Demonstrates broad knowledge of federal Title IV regulations and remains abreast of any regulatory changes impacting Title IV administration.

• Understands current practices in enrollment management, financial aid and accounts receivable, as well as the College’s goals and objectives as they pertain to these areas.

• Demonstrates a high level of proficiency in Ellucian’s Colleague software as well as Excel, Word, and other computer software. Identifies opportunities to leverage technology to streamline processes, enhance compliance and improve the student experience.

• Learns new information, regulations and software quickly as needed.

• Collaborates with other offices on campus, and external organizations, to implement new programs effectively, policies or regulatory changes in a way that ensures compliance with Title IV regulations, meets the needs of students and families, and provides for the efficient administration of financial aid programs.

• Is well organized, self-motivated, and a problem solver who can think outside and around established parameters.

Education and Work Experience Required:

• Bachelor’s degree, or equivalent combination of education and experience.

• 2-5 years progressive experience in financial aid, student accounts, and/or a related area.

• Based on the level of expertise and years of relevant experience, the position title will reflect Assistant Director or Associate Director.

Analytic Skills Required:

• The ability to recognize several likely causes of events, analyze relationships among several parts of a problem or situation, and then formulate a multi-step response.

Language and Literacy Skills Required:

• Reads and interprets documents such as operating instructions, procedure manuals, and College policies. May need to spend substantial time on the telephone or in meetings to gather necessary information and plan projects. Has the demonstrated ability to prepare or revise written reports or other documents.
