Job Description, Responsibilities, Standards, and Qualifications

Job Description:

Under minimal supervision, coordinates the financial assistance program for a technical college; Provides information to prospective and enrolled students; Coordinates the preparation and maintenance of active and inactive financial aid program files and records; Prepares and analyzes reports; Responsible for all financial aid awards; Supervises subordinate employees; May perform recruitment activities; May provide guidance and advice to students regarding vocational opportunities, financial aid, educational requisites, state policy etc.

Job Responsibilities & Performance Standards:

1. Coordinates the financial assistance program available to enrolled students, including scholarships, grants, work study programs, and student loans. (Performed by all incumbents)

1. Assists students concerning the financial aid process. Conducts financial aid workshops internally and externally in a professional manner.

2. Accurately determines and thoroughly monitors eligibility and the award to be given.

3. Ensures forms are completed accurately before being submitted.

4. Correctly uses financial aid computer system to process and maintain all financial aid awards.

5. Coordinates the tracking of student's academic status to ensure good academic standards are maintained and appropriate action is taken to place students on financial aid probation or termination as necessary.

2. Provides information to technical college prospective and enrolled students concerning state and federal financial assistance and technical college policy/procedures. (Performed by all incumbents)

1. Responds to and counsels student aid inquiries by phone and in person to students, staff and the general public in a courteous and professional manner.

2. Thoroughly provides guidance to students, staff and the general public on the availability of financial aid, the requirements associated with the availability and the application process.

3. Coordinates the development of financial aid brochures/handouts and compiles information for future use by students and the general public according to established guidelines.

4. Provides less experienced staff, if applicable, with necessary documentation and resources to address routine questions.

3. Maintains current knowledge of DTAE operations and policies, federal and state student financial assistance programs and laws governing such and technical college procedures. (Performed by all incumbents)

1. Regularly attends seminars, special conferences and professional meetings as time and budget permit.

2. Thoroughly conducts research on availability of sources of financial aid.

3. Regularly reads professional publications, articles, books, etc. to maintain knowledge of operations, policies, laws and regulations.

4. Creates and maintains a high performance environment characterized by positive leadership and strong team orientation. (Performed by all incumbents)

2. Communicates regularly with staff on progress toward defined goals and/or required results, providing specific feedback and initiating corrective action when defined goals and/or results are not met.

4. Motivates staff to improve quantity and quality of work performed and provides training and development opportunities as appropriate.

5. Coordinates the preparation and maintenance of all active and inactive financial aid program files and other related student financial aid records. (Performed by all incumbents.)

7. Responsible for the accountability of all financial aid awards. (Performed by all incumbents)

1. Accurately determines the annual cost of school attendance.

2. Ensures funds awarded balance with those disbursed.

3. Notifies students when checks arrive and ensure that checks are disbursed in an orderly manner.

4. Accurately maintains an awards ledger according to technical college procedures.

5. Accurately maintains statistical data for reports.

8. Performs recruitment activities and provides information to feeder schools. (Performed by some incumbents)

1. Arranges and approves employer visits to campus for recruiting and/or interviewing students for job vacancies.

2. Arranges and supports the employer/student in participating in a situational assessment at the job site.

3. Hosts annual career fairs for graduating students at specified times. Encourages local employers to attend.

4. Evaluates program effectiveness by comparing measurable program outcome to target outcome.

5. Identifies program goal deficiencies and conducts timely research and consultation to determine methods of correction.

9. Provides guidance and general advisement to students regarding vocational opportunities, financial aid, program choice/change educational requisites, school policy/procedure, state policy, etc., throughout the student's educational tenure. (Performed by some incumbents.)

2. Discusses the possible effects of program change on financial aid.

3. Evaluates records to determine eligibility for program choice and recommends admission status.

4. Provides guidance to students who fail to meet minimum admissions requirements.

5. Provides accurate vocational information regarding job tasks/description, placement opportunities, salary growth for the future, work environments, etc., as may be needed.

10. Assists with the design and execution of special events, projects and activities as requested. (Performed by all incumbents)

Minimum Qualifications:

Bachelor's degree in business administration, computer science, accounting or a related field *and* experience in BANNER financial aid. At least three years experience in an area relevant to administration of educational financial accounting, financial aid, grants, etc.
