The internet provides powerful tools and applications for research, collaboration and social interaction. For students these tools can stimulate discussion, promote creativity and enrich the learning experience. These technologies also provide opportunities for staff to be more creative and productive in a way that supports effective teaching & learning. As a professional organisation with responsibility for children’s safeguarding, it is important that all staff take all possible and necessary measures to protect data and information systems from infection, unauthorised access, damage, loss, abuse and theft. All staff and volunteers share a responsibility to use information and communication technology systems in a professional, lawful, and ethical manner. As such staff and volunteers will serve as role models to the students in our care. To ensure that staff and volunteers are fully aware of their professional responsibilities when using ICT, they are required to read and sign this Acceptable Use Policy. This is not an exhaustive list and all staff and volunteers are reminded that use of ICT use should always be consistent with the school ethos, mission statement, other school policies, relevant national and local guidance and the Law.Key Objectives of this Acceptable Use Policy Agreement:Staff and volunteers share responsibility for ensuring the safe use of college ICT facilities including internet access, through wired and wireless computer devices. College ICT systems and users are protected from accidental or deliberate misuse that might compromise either the function or security of school systems or the safety of users.Staff and volunteers have easy and reliable access to a safe and secure ICT environment that supports and enhances their work as a result of all staff and volunteers agreeing to be responsible users. Staff and volunteer use of college ICT facilities fully reflects their professional role and maintains their good reputation and that of the college. Policy ReferencesThis policy references aspects of the following whole school policiesStaff Code of ConductCollege Data Protection PolicyCollege ‘e’ Safety PolicyAcceptable Use Policy Agreement An OverviewI understand that I must use college ICT systems in a responsible way, to ensure that there is no risk to my safety the safety of other users or the security of the school ICT systems.I recognise the role of ICT in supporting students’ learning and facilitating new learning opportunities. I will, where appropriate, educate the students under my supervision in the safe use of ICT.I understand that in referencing college ICT this includes: the college local area network (LAN), management information systems e.g. SIMS, data, data storage, internet access, online communications and computer devices. Specific examples of which include: desktop PC’s, laptop computers, smartphones, tablet computers, digital cameras, email, cloud storage, virtual learning environments and college social media accounts.I understand that this Acceptable Use Policy applies not only to my work and use of ICT equipment at the college, but also applies to my use of college ICT systems and equipment outside of the college e.g. college owned desktop PC / laptop computer / tablet computer / SharePoint. It also applies to my use of personal equipment in school or in situations related to my employment by the college.I understand that all college ICT systems including SIMS, must be used appropriately at all times and that the Computer Misuse Act 1990 makes the following actions a criminal offence: to gain unauthorised access to computer material; to gain unauthorised access to computer material with intent to commit or facilitate commission of further offences or to modify computer material without authorisation. I understand that I represent the school at all times including in my use of social media and therefore my conduct must at all times be appropriate.Use of my own devicesI understand that it is my responsibility to secure any personal devices brought into the college such as a smartphone, tablet computer (including iPad’s), or laptop computer. Where devices contain any datarelating to my professional role, then a complex password must be assigned to the device.I understand that I may connect my personal device to the ‘Guest’ network for internet access by using the ‘Guest’ wireless key available at reception. However, I understand that I must not disclose the wireless keyto students or unauthorised visitors. If in doubt I will seek advice from the school ICT co-ordinator Chris Gough.I will comply with the Data Protection Act 1998 by not downloading any student, staff or other sensitive data onto a personal device. I will ensure that appropriate and up to date anti-virus software is installed on my personal device before using my device in the college and connecting to the ‘Guest’ network.I understand that software installed on my personal device under a school licensing agreement is for work use only and not for personal use as directed by the terms of the licensing agreement. If I choose to download my email to a personal device such as a smartphone or tablet computer (iPad equivalent), then I must use a dedicated app such as Microsoft OWA. I must also ensure that the device features a complex passcode / password or other secure method of authentication. I should also ensure that settings prevent migration of college data to the device e.g. Contacts. If I am unsure then I understand that I can seek advice from the school ICT coordinator. Following best practiceI will contribute to the efficient organisation of ‘staff’ and ‘public’ shared areas by naming all files and folders appropriately. I will avoid unnecessary duplication of files and periodically delete files and folders that are no longer required.I will manage my own user area with care and will periodically delete files and folders that are no longer required.When storing photographs and other forms of digital media I will only save what is absolutely necessary and will remove these from the system when they are no longer required. I understand that if I choose to work remotely I should use CC4 Anywhere remote access or cloud storage including college provided One Drive and SharePoint to access files. I should avoid the use of portable physical devices including USB flash drives and portable hard drives wherever possible. When working using college ICT facilities I will show consideration for other users by leaving the workspace tidy. I understand that when using department ICT facilities including laptop computers and laptop trolleys I have a responsibility to ensure that these devices are used safely and responsibly by students. I will ensure that laptops are stored securely in trolleys and that charger cables are maintained in good condition. For my professional and personal safety and the safeguarding of othersI understand that the college and or system providers may monitor my use of college ICT systems, including internet access, SharePoint and . email.I understand that the rules set out in this agreement also apply to my use of school ICT systems and property accessed outside of school (e.g. laptop computers, tablet computers, . email, SharePoint)I understand that the school ICT systems should only be used for professional purposes and business activities that support the objectives of the college. I will not share or disclose my username or password and understand that I must keep these secure at all times. Nor will I attempt to use the username and password of another user as this would breach the Computer Misuse Act 1990. I will set a ‘strong’ password made up of numbers, letters and symbols, with 8 or more characters and not containing a dictionary word. I will change this regularly, recommended as each half-term.I will immediately report any damage to ICT equipment to a college ICT Technician in the first instance. I will mark the item as damaged to prevent others from using it and follow procedures as identified in the college Health & Safety Policy. I will immediately report any ICT related safeguarding incidents or concerns specific to an individual pupil or group of pupils through CPOMS.I will immediately report all general incidents of concern regarding children’s online safety to a Designated Child Protection officer and where appropriate the school ICT co-ordinator as soon as possible. I will report any of the following instances immediately and as directed above:accidental access to inappropriate, offensive or illegal online content receipt of inappropriate, offensive or illegal materialsbreaches in web filtering that enable access to unsuitable websites-1784985875665280028incidents relating to pupils accessing, receiving or possessing, inappropriate, offensive or illegal online material,online incidents that may affect the safety and wellbeing of pupils. I understand that my use of school systems including email and internet access should be professional and lawful at all times.I will not attempt to access, copy, remove or otherwise alter another user’s files or communications.I will communicate with others in a professional manner, I will not use aggressive or inappropriate language and I will respect the opinions of others even when they are different from my own.I will not use the college ICT systems to access or use social networking sites including but not limited to; Facebook; MSM; SnapChat; Instagram and twitter, unless I have responsibility for managing an official school account. I will not use the school ICT systems including the internet for personal transactions, including but not limited to online shopping and online banking.I understand that the school is not responsible for the security of any personal data that I enter into school systems e.g. credit card details entered via the school network are in direct breach of this policy.I will not engage in any on-line activity that might either compromise my professional role or bring the college into disrepute. I understand that I must follow policy as detailed below when capturing, using and communicating media that features students.I will ensure that when I capture, record or publish images, video or audio clips of students or staff, I will do so with their permission and for purposes authorised by the college. I will only capture such media using college equipment and will not use my own personal equipment. Where images, video or audio is published (e.g. on the school website / twitter) it will not be possible to identify student names or other personal information. I will also check that appropriate parental consents have been obtained. The school has a responsibility to provide safe and secure access to ICT that ensures the smooth running of the school and compliance with data protection legislation.I will always seek advice from the school ICT Technicians or school ICT co-ordinator before attempting to connect any device to the physical wired network. I will only open attachments to emails when the source is known and trusted, due to the risk of the attachment containing viruses or other programmes harmful to school systems.I will not try to upload, download or access any materials which are illegal (child sexual abuse images, criminally racist material, adult pornography covered by the Obscene Publications Act) or inappropriate material that may cause harm, offence or distress to others.I will not try to use any programs or software that might allow me to bypass the filtering and security systems in place to prevent access to the inappropriate materials previously described. I will not try without first seeking advice and permission to make large downloads or uploads that might take up internet capacity and prevent other users from being able to carry out their work. I will not install or attempt to install programmes of any type on a college computer without first seeking advice from the school’s ICT Technicians or the school ICT co-ordinator.I will not disable or cause any damage to school equipment, or equipment belonging to others.I understand that to ensure compliance with Data Protection requirements I must only use the secure email service provided by the college . provided by Microsoft 365. I understand that when I am asked to transfer sensitive data (pupil or staff being data subjects) to approved recipients e.g. care agencies, LEA, I will use designated systems as directed by the appropriate agency. I understand that where data I need to transfer data outside of the secure school network it must only be done on a college owned and encrypted hardware device e.g. a USB Flash memory device / portable hard drive. I understand that devices not featuring encryption facilities must not be used. I also understand that the school recommends the use of cloud storage including SharePoint and OneDrive as best practice. I will only transport, hold, disclose or share personal information about myself or others, as outlined in the School / Local Authority Personal Data Policy. I understand that Data Protection policy requires that any staff or pupil data to which I have access will be kept private and confidential, except when I am required by law or by school policy to disclose such information to an appropriate authority. I understand that I must not display personal information concerning either students or staff e.g. SIMS via projection or other forms of public display. I understand that I must not leave a computer logged on whilst unattended for even a short space of time. I understand that I should either; log off or lock the workstation. I understand that failure to do this may result in a breach of the Data Protection Act 1998 by leaving potentially sensitive and confidential data unprotected.Remote Access to the School NetworkI understand that the school provides remote access to the school network via CC4 Anywhere and that in using this facility I take responsibility for ensuring that data remains secure. I understand that I must not leave a computer unattended whilst connected to the school network and that I must ensure I log off fully at the end of each session.I understand that in accessing the school network remotely I have a legal responsibility under the Data Protection Act to ensure that data is kept secure. I understand that remote access to SIMS it is at the sole discretion of the Head Teacher only and can only be granted when permission is provided in writing from the Head Teacher. I understand that any laptop/desktop or tablet computer provided by the school remains the property of the school at all times.I understand that I will be required at the request of the college ICT Technicians or the college ICT co-ordinator to return any school owned computing devices in my possession for checks and anti-virus updates. This includes but is not limited to laptop PC’s and tablet computers (including iPad’s). I will immediately report the loss or theft of any desktop PC / laptop PC / tablet computer or other device containing sensitive data to either the Head Teacher or school ICT Co-ordinator. When using the internet in my professional role:I understand that the Copyright Designs and Patents Act means that I should ensure that I have permission to use the original work of others in my own work. (this includes music, text, images and videos).Where work is protected by copyright, I will not try to download copies (this includes music, text, images and videos).I will be professional and lawful in my online actions and communications, including use of social media both inside and outside of workI will not communicate with students through social networking sites.I will not respond to any attempts from students to establish contact through social media and will report any attempts immediately to the Head Teacher. I understand that communication with ex-students via social networking sites is at my own discretion. However, I acknowledge that the school governors consider it best practice to not establish such communications. I will ensure that any personal social networking accounts that I have are both secure and private so preventing students and parents from access to my personal data including images. I will exercise caution in my use of social media and other web based platforms, including written content, media and views expressed either directly or endorsing e.g. ‘liking’ content published by others. I will not create a social networking profile, blog or account and use it for school purposes without prior written authorisation from the Head Teacher.If I have control over an official school Twitter account, I will: report and block twitter users who post an inappropriate or offensive replynot follow pupil, parent or staff accountsonly follow professional educational organisations, Catholic organisations or other organisations deemed appropriate.if I suspect that the account has been hacked, have lost the password or lost a device from which the account is accessible, I will inform the school ICT coordinator straight awaynever use the account to send direct messages to anyoneI will not create or contribute to the creation of a bogus social networking account or site that is associated with a member of staff, students or the school.I will not ‘post’ onto social media sensitive or confidential information or critical comments which could damage the reputation and standing of the school, my own reputation or the reputation of my colleagues. If I become aware of misuse of Social Networking accounts or sites that are associated with a member of staff, students or the school, I will inform the Head Teacher or school ICT co-ordinator immediately.I recognise that with the exception of official Twitter accounts, the school does not use social networking sites to communicate with students, staff and parents.I will only communicate with students, pupils and parents / carers using official college systems. Any such communication will always be professional in tone and manner. My agreement with the collegeI understand that if I fail to comply with this Acceptable Use Policy Agreement, I could be subject to disciplinary action. This could include a warning, a suspension, referral to Governors and/or the Local Authority and in the event of illegal activities the involvement of the police.
