VYVE BROADBAND JOB DESCRIPTIONOperations Assistant JOB SUMMARYThe Operations Coordinator is responsible for managing a variety of tasks associated administrative functions serving Vyve’s operating regions. Maintains various inventories, databases, assets and supplies including fleet, office supplies, and direct billing arrangements among others. Works with moderate supervision and guidance. Is accountable for individual results and impact on the team. Job Duties and ResponsibilitiesInsures fleet database is maintained and up to date. Assures vehicle related functions and activities comply with established laws, codes, rules, regulations, policies and procedures. Responsible for timely registration and licensing of fleet vehicles. Oversees off site maintenance activities to assure company vehicles are maintained in safe and proper operating condition. Reviews work of off-site maintenance to assure compliance with established standards, guidelines and condition. Monitors and evaluates company fleet to identify needs and determine financial effectiveness and operational efficiency. Assists with processing of insurance claims involving company vehicles and subscriber property damage. Responsible for disposal and sale of retired vehicles. Receives and coordinates timely response of customer complaints from BBB, FCC, State Agencies and franchising authorities. Issues complaint to applicable system and/or functional group and follows-up to ensure timely response. Creates intricate spreadsheets, databases, word documents and Power Point presentations. Handles maintenance of all office equipment. Control and authorize expenditures. Tracks and monitors usage and expenses associated with direct billing accounts. Coordinates facilities maintenance functions for regional office facilities. Maintains inventory of mobile phones and phone lines. Coordinates issuance, recovery, repair and replacement. Monitors usage to insure optimum cost efficiency and regularly reports on usage, abuse and discrepancies. Maintains database of joint underground utility location services and insures systems are established for timely response and optimum cost efficiency. Maintains fleet fueling card services and coordinates issuance and recovery. Closely monitors usage for optimal efficiency and regularly reports on usage, abuse and discrepancies. Maintains turnpike passes including issuance, return and monitoring oversight. Coordinates company uniform program including issuance, return and replacement. Coordinates company ID badge program including issuance, return and replacement.Coordinates company identification for all contracted employees and associated vehicles. Maintains and distributes various databases including but not limited to company phone directories, service response escalation lists and distribution lists. Insures all related operation department information is kept current on the company intranet site. Coordinates all field power supplies and utility connections. Insures services are connected and disconnected when appropriate. Provides backup support for other administrative personnel at the regional office. Monitors petty cash accounts. Build trust, credibility, and strong working relationships with internal stakeholders and customers. Limited travel may be required. Performs other duties as assigned. Preferred QualificationsAbility to read, write, speak and understand English. Ability to analyze and interpret data. Excellent communication skills, including document creation, email communications, and phone presence.Strong time management skills, ability to work with tight deadlines, confidentiality, and professionalism are key requirements. Ability to work independently and support a team environment.Proven ability to demonstrate a high level of confidentiality, including tact and discretion in preparing, disclosing and handling information of a sensitive nature.Strong attention to detail, and emphasis on ensuring high quality, accurate deliverables.Ability to work in a fast-paced, rapidly changing environment A positive friendly manner and customer service approach that will enable you to deal with challenging situations with empathy and sincerity.EducationAssociate’s degree or equivalent education preferred complemented by one year of related work experience. Advanced proficiency with Microsoft Office Suite, including but not limited to Excel, Word, Outlook, Access and Power Point. Ability to learn and adapt to changing systems technology and procedures.
