Community Pharmacy Administration of Flu Vaccination to Adult at Risk Patients Pilot , 2019/2020 Flu Season

The pilot of providing flu vaccination from community pharmacy in NHS Lothian is scheduled to commence 1st October 2019. This will test whether community pharmacy provision of flu vaccine, initially only to the 18-64 age ‘at risk’ adult population, is a viable delivery model which can improve uptake in this cohort. You will have received information sent to all pharmacies and GP practices with information about the pilot on 04/09/2019.

Prior to you receiving this letter your pharmacy has signed up to the service level agreement (SLA) and agreed to meet the requirements of the SLA by sending the completed service agreement form to PCCO. An updated version of the SLA including annex G is available on the community pharmacy website. Please ensure you are familiar with the contents of this document. The forms you require for the pilot as detailed in Annex D, E and F will be available on the Lothian Pharmacy website for you to download and print as necessary.

Information has also been sent to you about the ordering process on 06/09/2019. You should now have your log in details for OM Movianto and have placed an initial order for Flucelvax Tetra®. OM Movianto will advise when you will receive this order prior to the 1st October. Ensure you have sufficient fridge storage for your order.

A 7 litre blue lidded sharps disposal bin will be delivered to your pharmacy by NHS Lothian. This is for use only for waste generated by the flu vaccination pilot. It will be collected at the end of the pilot for disposal. If you need a pick up and replacement sharps bin before this contact us at cpflu@nhslothian.scot.nhs.uk

The flu vaccine will be administered using an NHS Lothian PGD. A copy of the PGD is included with this letter. Please ensure that you familiarise yourself with the contents of the PGD and information about Flucelvax Tetra ®. If you are satisfied you meet the requirements and are competent to work under the PGD please sign the relevant sections and return by 30th September2019 to:

Further education and information on flu vaccination can be found on the NES website.

Both pharmacies and GP practices in the pilot will receive posters to display. Pharmacy posters will detail the participating GP practices within the cluster. GP posters will have a QR code and a website address which patients can visit to find details of participating pharmacies.

The uptake of flu vaccine in the eligible cohort is anticipated to be opportunistic in the pharmacy. GP practices are not expected to sign post every 18 -64 age at risk patient to a pharmacy but may choose to direct patients where they are unable to offer a suitable appointment time. The number of patients seen by an individual pharmacy is likely to vary depending on the relationship with the GP practices. Patients may choose to visit a pharmacy at a distance from their GP practice. The Pharmacy can provide the vaccine provided the patient is registered with one of the cluster GP practices. You must inform the GP practice that patients have been vaccinated. To help you send notice of patients vaccinated to the correct GP practice a list of practice details including the clinical inbox email address is provided. You must ensure any transfer of patient details meets confidentiality requirements. Electronic transfer must be completed using only your secure email address for the pharmacy to the clinical inbox for the practice.

Evaluation of the pilot will take account of patient and service providers experience and impact on the uptake of flu vaccination in the 18-64 age cohort. Please ensure as many patients as possible complete the questionnaire and where possible keep a record of the number of non eligible patients who ask for the vaccine. ients wish to make a complaint and it cannot be resolved in the pharmacy they can be directed to the NHS Lothian patient experience team feedback@nhslothian.scot.nhs.uk Tel no 0131 536 3370. Compliments from patients can also be sent to the patient experience team.

After Christmas we will also send the pharmacy a questionnaire to complete about their experience of the pilot. The outcome of the evaluation will be completed by April 2020. This will be used to inform future models for delivery of flu vaccination and the role of community pharmacy in this service in future years.
