to the most practical and powerful career assessment and reporting system available today… CareerScope! This Guide provides installation instructions and information on conducting CareerScope assessments, managing file and reporting functions, and interpreting reported outcomes.

CareerScope offers a broad range of career assessment measures, a user-friendly assessment interface and process, flexible administration options, and practical reporting features. The assessment menu includes a twelve-scale interest inventory and a seven-part aptitude battery that yields measures of General Learning Ability, Verbal Aptitude, Numerical Aptitude, Spatial Aptitude, Form Perception and Clerical Perception. Motor ability score estimates (motor coordination, finger dexterity, and manual dexterity) can be imported at the user’s discretion.

Professional staff can create and save “administration templates” that control the delivery of assessment tasks. Different templates can then be assigned to different evaluees or candidate pools in order to achieve targeted assessment objectives. When you are aiming for a general career planning assessment, however, you can always adopt the “VRI Standardization Default” (Non-Audio) template, which ensures a highly standardized, rigorous, and comprehensive administration.

The Mouse Practice program is a valuable pre-assessment tool that offers evaluees an opportunity to practice essential mouse manipulation skills before the start of formal assessment while allowing staff an opportunity to assess the evaluees’ mouse proficiency. The multimedia introduction, CS Intro, delivers an engaging overview of CareerScope assessment activities and objectives. The interface Orientation offers an animated step-by-step tutorial on critical interface features and functions.

Robust scoring and reporting options allow you to tailor output that addresses the needs of both evaluees and professional staff. Three report formats are available: the evaluee Assessment Profile, the Counselor’s Report, and the one-page Summary Report. You can configure reports to include only the components that you choose (Cover Page, Interest results,

Aptitude results, Recommendations, and/or Report Legend) and you can control the report generation sequence (collated by evaluee or by report type). The Assessment Profile configuration options allow you to generate career recommendations that are consistent with the Guide for Occupational Exploration and the Dictionary of Occupational Titles as well as with the internet-based O*NET 8.0 occupational database. You can even allow evaluee’s to generate their own assessment results after completion of assessment activities.

What’s New in Version 7.2

The newest features of CareerScope introduce enhanced administrator control over the assessment process as well as the records within your CareerScope database. As in the past, your new version of CareerScope incorporates the most up to date information from the Department of Labor’s O*NET career information database (version 8). And we are now introducing an invaluable educational planning and counseling resource that allows you to crosswalk O*NET occupations and U.S. Department of Education career pathways. You can find this document in Appendix I of the User Guide and in the Counseling Tools folder within the Cscope directory.

When you install your assessment tasks you will notice that the CareerScope Mouse Practice utility is now automatically loaded. And when you launch your new Management System you will disover that CS Intro (the narrated multimedia system overview) and the interface tutorial are now treated as “configuration options”. You are now free to decide how much support should be provided before and during the CareerScope Orientation phase. Evaluees who do not require preliminary “coaching” or “modelling” will be able to immediately undertake hands-on interface practice activities as soon as they complete system login. On the other hand, individuals who perform more effectively when greater support is first provided can continue to benefit from the popular interface tutorial. This modified approach will also reduce the likelihood that the evaluee will launch an incorrect application (since the need for a CS Intro desktop shortcut has been eliminated). Information on assigning these configuration options for specific evaluees or establishing them as default conditions can be found in your User Guide (accessible from within the Management System).

Finally, you will now be able to sort a filtered database by evaluee ID number or last name as well as delete assessment records. These new features allow you to review available information more efficiently as well as eliminate clutter from your cscope database.

The developers of CareerScope strongly recommend that all assessment and guidance personnel review the contents of this Guide and that they experience the default CareerScope assessment process (VRI standardization template) as well as the full range of possible administration conditions. Personal experiences and insights will support delivery of the most appropriate assessment and the most appropriate interpretation and use of assessment results.

Part 1:

CareerScope Installation

The CareerScope system includes two software programs

(the CareerScope Assessment Tasks and the CareerScope Management System), a mouse practice utility, as well as a critical database file (cscope.dbf) that stores assessment records.

TSR and screen saver applications will adversely affect CareerScope timing functions as well as the general appearance and performance of the assessment module. Since CareerScope is designed to deliver a standardized assessment, it is essential that timing, appearance and performance are consistent across hardware platforms. In turn, your video display settings should conform to the above specifications.

The Assessment Tasks must reside on the hard-drive of each assessment workstation. As the assessment process unfolds, performance results are intermittently recorded in the cscope.dbf file. The Management System provides file management functions as well as report configuration and generation options. When the Management System is utilized, it searches the cscope.dbf file for designated records. Therefore, it is crucial that proper paths are always maintained between the Assessment Tasks and the cscope.dbf file and between the cscope.dbf file and the Management System.

The CareerScope installation process establishes your desired locations (directories or folders) for the Assessment Tasks, Management System, and the cscope.dbf file while creating essential data transmission paths between these critical components.

(Metered CareerScope System Users: Ideally, the CareerScope Management System should be installed on an internet-accessible workstation. However, if the CareerScope Management System is not installed on an internet-accessible workstation, but you do have an internet-accessible workstation elsewhere, you will be able to obtain the necessary information to transfer administrations. The internet-accessible workstation should be running at least Internet Explorer 5.0 or Netscape Navigator 5.0. If you do not have a workstation that has internet access, call VRI’s technical support staff.)

Before You Begin…

During installation, files that are necessary for the proper operation of CareerScope are added to the System directory of the computer. Therefore, be sure that the appropriate administrator/full access privileges required by your operating system and/or network software are in effect during the installation process.

▪ If your assessment workstation will be used for audio supported English language administrations or assessments with Spanish, please check to be certain that your computer has a sound card and that it will play sound.

You can check for a sound card by going to the START button in the lower left hand side of your screen and pointing your cursor on SETTINGS, and then clicking on CONTROL PANEL. Next, click on MULTIMEDIA (Sounds and Audio Devices for XP users) and click on the Audio tab. Read the Preferred Device for Playback (Sound Playback Default Device for XP users). If one is listed, then you have potential to play sound. If one is not listed, then your computer probably does not have the necessary hardware to play sound.

If you have a sound card but are unsure whether or not your computer plays sound, you will need speakers or headphones. The speakers should be plugged into the sound card. The headphones should either be plugged into a headphone jack in the speakers or in the sound card. If your headphones are plugged into the jack in your speakers and your speakers have a volume control, then you can probably regulate the volume for your headphones by using the volume control on your speakers.

If you cannot regulate the volume through your speakers, you may need to check the volume level in Windows. To learn how to regulate the volume, click on the Start button and when the pop up menu appears, click on the word Help; select the Index tab and search the index for Volume Control.

To learn how to test if you have sound, click on the Start button and when the pop up menu appears, click on the word Help; select the Index tab and search the index by typing Testing Sound in the blank space.

▪ If you are installing a CareerScope Demo, it will (a) be fully functional for a 30-day evaluation period, (b) will offer audio and Spanish administration capabilities and (c) will include a limited number of administrations.

Getting Started

If you are installing CareerScope onto a system that does not have any version of CareerScope software already installed, proceed to the next page and follow directions for

“Completely New Installations.”

- OR -

If you want to install CareerScope onto a system that currently has either a previous version of CareerScope or a Demo version installed, proceed to page 17 and follow directions for

“CareerScope Upgrades.”

Completely New Installations

There are two possible CareerScope installation configurations:

Independent workstation(s), with the Management System, Assessment Tasks, and cscope.dbf (the records database file) all installed to the hard drive. See the section below entitled “Installing on Independent Workstations” for instructions.

- OR -

A network installation, with the Management System and cscope.dbf installed on a network drive and the Assessment Tasks installed to multiple workstations. Turn to page 11 for the section entitled “Installing on a Network with Multiple Workstations and a Central Database” for instructions.

Installing on Independent Workstations

If you plan to install CareerScope on independent workstations (i.e., you are not saving data from multiple workstations to a central results database file), the Management System and the Assessment Tasks must be installed on each workstation.

Step #1:

▪ Insert the CareerScope CD into the CD drive.

▪ Depending on your system settings, the CareerScope CD may automatically play and will prompt you to input your zip code and serial number (on the CD case). If your CD does not autoplay:

▪ Click Start and then click Run.

▪ Type the appropriate drive letter (i.e., D:\) and install.exe, then click OK.

Step #2:

▪ After you input your zip code and serial number, the CareerScope Welcome screen appears. Read the information and then click Next.

▪ Review the Copyright notice and click Next.

Step #3:

▪ When the Installation Options screen displays (as shown below), select Management System and Assessment Tasks. Check the display to ensure that there is sufficient hard disk space for all necessary files. Then click Next.

Step #4:

▪ When the License Entitlement or the Assessment Installation Options display appears, carefully review the details of your CareerScope software license. If you are entitled to more than one assessment license option, you will be prompted to select the option to be installed on the workstation. After you make your selection, click the Next button.

Step #5:

▪ When the Select Destination Directory display appears, accept the default installation location (C:\CSCOPE) and then click Next.

▪ When the Ready to Install screen appears, click Install.

Step #6:

▪ After all CareerScope files have been copied to your workstation, the CareerScope installer will perform a search for Adobe® Acrobat®. If Adobe Acrobat is already installed, the Crystal Reports installation start screen will display (see directions below).

▪ If Adobe Acrobat is not installed on the computer, the CareerScope installer will begin installing it for you. After you review the Acrobat Reader Setup screen, the Choose Destination Location screen will appear. Accept the default location or select a custom location and click Next.

▪ After Adobe Acrobat is installed, you will see a preliminary “Installation Completed” message. Click the Finish button.

▪ The CareerScope installer will then prompt you to start the Crystal Reports installation. Click the Next button and Crystal Reports 9 Runtime will then install.

▪ Upon completion of the CR 9 Runtime installation you will be prompted to restart your computer. Click OK.

▪ You will find icons for the CareerScope Management System and Assessment Tasks as well as the CareerScope Mouse Practice utility on your desktop and within the CareerScope group in your Start menu.

It is recommended that you review your User Guide for guidance on how you can configure the delivery of CS Intro as well as the interface tutorial. This information is available within the Chapter on File Management & Default Settings.

Your CareerScope installation is now complete!

Installing on a Network with a Central Database

PLEASE NOTE: The CareerScope software includes files with long file names (more than eight characters before the three-character extension). The following instructions assume that your network software is configured to support long file names. If your network software is not configured in this way, please call our toll-free number (provided on page 38) to receive special installation instructions.

If you plan to administer CareerScope assessments on computers that are networked and you plan to store assessment results in a central database on the network, you must first install the CareerScope Management system and the cscope.dbf file on a network drive. You will subsequently install the CareerScope Assessment Tasks on the hard drive of each licensed workstation.

CRITICAL: If you require a network configuration in which multiple Management systems will be accessing the central assessment records database (cscope.dbf), please go to the CareerScope FAQ page at the VRI website for additional guidance. Remember, (1) all Management systems should be installed before installation of Assessment Tasks and (2) all Management systems and Assessment Tasks must always address one (and only one) cscope.dbf file.

Installing the Management System and dbf file

Step #1:

▪ Insert the CareerScope CD into the CD drive.

▪ Depending on your system settings, the CareerScope CD may automatically play and will prompt you to input your zip code and serial number (on your CD case). If your CD does not autoplay:

▪ Click Start and then click Run.

▪ Type the appropriate drive letter (i.e., D:\) and install.exe, then click OK.

Step #2:

▪ After you input your information, the CareerScope Welcome screen appears. Read it, and then click Next.

▪ Review the Copyright notice and click Next.

Step #3:

▪ When the CareerScope Installation Options screen displays (as shown below), select Management System Only. Then click Next.

Step #4:

▪ When the License Entitlement display appears, carefully review the details of your CareerScope software license and then click the Next button.

Step #5:

When the Select Destination Directory display appears, click Browse. Your system will present a directory that resembles the display on the next page.

▪ You must then navigate to the network drive and must select or create a folder that will be used to store the Management System files and the cscope.dbf files. You can select an existing destination directory/folder by double-clicking it, you can type the name of a new destination folder, or you can accept the default folder. Note: The name of the folder for the Management System files must not exceed eight characters. When the correct path and directory information appear in the field at the top of the display, click OK.

▪ You will be returned to the Select Destination Directory display. Check to make sure that the specified destination drive offers sufficient disk space to accommodate the files that will be installed. If there is sufficient space, click Next.

▪ When the Ready to Install screen appears, click Install.

▪ When the installation has been successfully completed, your system will display a preliminary Installation Completed message. Click Finish.

Step #6:

▪ After all CareerScope files have been copied to your workstation, the CareerScope installer will perform a search for Adobe® Acrobat®. If Adobe Acrobat is already installed, the Crystal Reports installation start screen will display (see directions below).

▪ If Adobe Acrobat is not installed on the computer, the CareerScope installer will begin installing it for you. After you review the Acrobat Reader Setup screen, the Choose Destination Location screen will appear. Accept the default location or select a custom location and click Next.

▪ After Adobe Acrobat is installed, you will see a preliminary “Installation Completed” message. Click the Finish button.

▪ The CareerScope installer will then prompt you to start the Crystal Reports installation. Click the Next button and Crystal Reports 9 Runtime will then install.

▪ Upon completion of the CR 9 Runtime installation you will be prompted to restart your computer. Click OK.

▪ You will find the CareerScope Management System shortcut icon on your desktop and within the CareerScope group in your Start menu.

Installing the Assessment Tasks

Step #7 (Conduct on workstations to be used for Assessment):

PLEASE NOTE: Each workstation must have full read/write access privileges to the folder on the network where the cscope.dbf is stored.

Step #7a:

▪ Insert the CareerScope CD into the CD drive.

▪ Depending on your system settings, the CareerScope CD may automatically play and will prompt you to input your zip code and serial number (on the CD case). If your CD does not autoplay:

▪ Click Start and then click Run.

▪ Type the appropriate drive letter (i.e., D:\) and install.exe, then click OK.

Step #7b:

▪ After you input your zip code and serial number, the CareerScope Welcome screen appears. Read the information and then click Next.

▪ Review the Copyright notice and click Next.

Step #7c:

▪ When the Installation Options screen displays (as shown below), select Assessment Tasks Only. Check the display to ensure that there is sufficient hard disk space for all necessary files. Then click Next.

Step #7d:

▪ When the License Entitlement or the Assessment Installation Options display appears, carefully review the details of your CareerScope software license. If you are entitled to more than one assessment license option, you will be prompted to select the option to be installed on the workstation. After you make your selection, click the Next button.

Step #7e:

▪ When the Select Destination Directory display appears, accept the default installation location (C:\CSCOPE) and then click Next.

▪ The installer will search for the CareerScope database (cscope.dbf) that was previously installed during installation of the CareerScope Management System (Steps 1-5 above). When a database is found, you will be asked to confirm the location. Verify that the path is identical to the one you defined in Step #5 and then click Yes to continue the installation.

Step #7f:

▪ After all CareerScope files have been copied to your workstation, the CareerScope installer will display a preliminary “Installation Completed” message. Click the Finish button.

▪ The CareerScope installer will then prompt you to start the Crystal Reports installation. Click the Next button and Crystal Reports 9 Runtime will then install.

▪ Upon completion of the CR 9 Runtime installation you will be prompted to restart your computer. Click OK.

▪ You will find icons for the CareerScope Assessment Tasks as well as the CareerScope Mouse Practice utility on your desktop and within the CareerScope group in your Start menu.

It is recommended that you review your User Guide for guidance on how you can configure the delivery of CS Intro as well as the interface tutorial. This information is available within the Chapter on File Management & Default Settings.

Repeat Steps #7a-f on each licensed workstation that will be used for CareerScope assessments.

Your CareerScope installation is now complete!

CareerScope Upgrades

If your current software is a CareerScope Demo:

It is strongly recommended that you uninstall the CareerScope Demo before installing your Release 7.2 software. This will ensure that your new assessment data will be recorded properly and stored in the correct directory. Please refer to page 36 for information about uninstalling CareerScope software.

After you uninstall your Demo, you will conduct a Completely New Installation. Please refer to the shaded box on page 8 to determine which installation configuration (independent workstation(s) vs. multiple networked workstations with a central database) best suits your needs. Follow the installation instructions for that specific configuration.

If your current software is CareerScope Version 3.5:

Please note that all assessments that were initiated in version 3.5 of CareerScope must be completed using that version of the software. These partial administrations must be completed before the Release 7.2 software is installed.

Before you install Version 7.2, you must first transfer all unused administrations from Version 3.5 back to the CareerScope wallet. Failing to do so will result in the loss of administrations.

After you have transferred all unused administrations back to the wallet, you will then uninstall CareerScope Version 3.5. The process of uninstalling V 3.5, before Version 7.2 installation, will ensure that your new assessment data will be recorded properly and stored in the correct directory. Please refer to page 36 for information about uninstalling CareerScope software.

After you uninstall Version 3.5, you will conduct a Completely New Installation. Please refer to the shaded box on page 8 to determine which installation configuration (independent workstation(s) vs. multiple networked workstations with a central database) best suits your needs. Follow the installation instructions for that specific configuration.

When the installation of Version 7.2 has been successfully completed, you must then run the WalletTransfer.exe program to transfer the unused administrations on your wallet to your new local management account in Version 7.2. This program is found within the Cscope folder on the drive where your management system is installed. Double click on the WalletTransfer.exe file and when prompted, insert the wallet into the floppy drive. Next, use the slide rule to move the administrations on your wallet to the management account. When your wallet balance shows zero administrations, click Done.

If your current software is CareerScope Version 4.0, 5.0, 5.1, 6.0 or 7.0:

Please note that all assessments that were initiated in a previous version of CareerScope must be completed using that version of the software. These partial administrations should be completed before the Release 7.2 software is installed.

The upgrade process will result in the transformation of your existing cscope.dbf file to Release 7.2 status. The original cscope.dbf will be saved for future reference. The cscope.dbf file(s) from previous versions of the software will be stored in the corresponding v4dbfs, v5dbfs, v6dbfs or v7dbfs folder found within the dbfs folder.

You must install the Release 7.2 Management System and Assessment Tasks into the precise location(s) where previous versions of the Management System and Assessment Tasks have been installed. Failure to follow these instructions will result in significant software configuration and operation problems, including possible file corruption.

When you are prepared to proceed with the CareerScope upgrade process:

Step #1:

▪ Depending on your system settings, the CareerScope CD may automatically play and prompt you to input your zip code and serial number (on the CD case). If your CD does not autoplay:

▪ Click Start and then click Run.

▪ Type the appropriate drive letter (i.e., D:\) and install.exe, then click OK.

Step #2:

▪ After you input your zip code and serial number, the CareerScope Welcome screen appears. Read the information and then click Next.

▪ Review the Copyright notice and click Next.

Step #3:

When the CareerScope Installation Options screen displays:

▪ If your current Management System and Assessment Tasks are installed in a single folder, select the Management System and Assessment Tasks option and then click Next. Then continue the installation process at Step #4 on page 9.

▪ If your current Management System and Assessment Tasks are in separate locations, you will first upgrade your Management System. You must select the Management System Only option and then click Next. You will then continue the installation process at Step #4 on page 12.

After your Management System is upgraded, you must upgrade your Assessment Tasks on all client workstations. Begin the installation process on the client workstation, and when you see the Installation Options menu, select Assessment Tasks Only option and then click Next. You will then continue the installation process at Step #7d on page 15.

Remember!!! You must install the Release 7.2 Management System and Assessment Tasks into the precise location(s) where previous versions of the Management System and Assessment Tasks have been installed. Failure to follow these instructions will result in significant software configuration and operation problems, including possible file corruption.

Part 2:

A Quick-Start Overview

WARNING! To ensure data file integrity, do not operate the CareerScope Management System and the CareerScope Assessment Tasks simultaneously.

The following is a general overview of the CareerScope assessment and reporting process when the VRI Standardization Default template and default report configuration settings are used. While this information can be useful for getting started with the software, the developers of CareerScope strongly recommend that you review the entire User Guide (accessible from within the Management System), which contains detailed information about the CareerScope Assessment Tasks and Management System.

Remember: If you are a CareerScope Metered System User, assessments cannot take place until administrations are transferred to the Management System. See page 29 for instructions on Transferring Administrations.

Page 35 provides detailed information about accessing and viewing the CareerScope User Guide (in the Management System).

PLEASE NOTE

The CareerScope Management System is password-protected for security. When the program is launched for the first time, you will be required to establish and confirm a password. This password should be shared with all authorized users of the Management System.

PASSWORDS ARE CASE SENSITIVE!

The Assessment Tasks

REMEMBER!

If you are using a metered version of CareerScope, you must transfer administrations from your website account to the local account on your workstation’s CareerScope Management System before any assessments can be conducted. See page 29 for instructions on how to transfer administrations.

There are three important Control Key Commands available during CareerScope Assessment activities:

Ctrl-E: (EXIT). You may exit the program at any time except during an assessment task. If you exit while a task is in progress, that task must be re-taken later.

Ctrl-B: (BACK). If an evaluee pauses for more than 90 seconds during a task or asks for help, the message "PLEASE ASK A STAFF MEMBER TO HELP YOU" will display and the system will “lock.” Use Ctrl-B to return to the previous screen, where you can click on TRY AGAIN to return to the last activity undertaken by the evaluee.

Ctrl-P: (PHASE/PRACTICE). Use this during login or practice phases to review or retry the current phase.

NOTE: Use of these Control Key Commands during assessment activities results in a “non-standard” CareerScope administration, which may affect the interpretation of assessment results.

The following phases are administered as part of the VRI Standardization Default template. (For information about assessments with Spanish and/or audio support please refer to the section, CareerScope Assessments with Spanish and/or Audio Supports.)

Identification Information

After the CareerScope opening screen, the evaluee is asked to enter a unique ID code. ID codes must contain letters or numbers only. Do not enter dashes, hyphens, or any other punctuation characters. If the ID code is not found in the database (i.e., the evaluee has not been pre-registered), CareerScope will request demographic information. If an evaluee has been pre-registered through the CareerScope Management System, this information is not requested.

Interface Tutorial and General Practice

The Tutorial provides a step-by-step overview of the CareerScope interface and its features and functions. The computer mouse is used to move ahead through the orientation.

Note: Click only one mouse button (left or right) during CareerScope administration. Clicking both mouse buttons simultaneously may cause the system to “freeze.” Should the program freeze, try right-clicking your mouse to release the program.

It is important for evaluees to read and follow the CareerScope instructions carefully. All instructions are found in the MESSAGE CENTER. The General Practice phase prompts the evaluee to use features such as choosing, changing, and erasing responses, and moving forward and backward between items. These features are used during the Interest Inventory assessment. General Practice must be completed before the Interest Inventory can be administered.

Interest Inventory

There are three parts to the Interest Inventory Assessment: 1) general instructions; 2) practice; and 3) administration of the inventory items. ALL ITEMS MUST BE ANSWERED. The Interest Inventory is not timed, but evaluees should be instructed to work quickly in preparation for the timed assessment tasks within the aptitude battery.

Speed Practice and Response Record Practice

Speed Practice ensures that the evaluee can work quickly during a timed task. The evaluee must demonstrate mastery of the Speed Practice items before Response Record practice can begin. Response Record Practice illustrates how to “jump” from item to item by clicking within the Response Record.

Aptitude Tasks

Before beginning the CareerScope Assessment Tasks, provide evaluees with paper and at least two pencils to use during the Computation and Numerical Reasoning Tasks.

Each of the seven Aptitude Tasks is timed during the delivery of the VRI Standardization Default template and begins with general instructions and practice items. After completing the practice items, the evaluee initiates testing by clicking on the green START button. After the time expires for each task, the evaluee is given the option of immediately initiating the next assessment task or resting for 90 seconds. At the end of 90 seconds, the program will automatically launch the next task.

At the end of the CareerScope assessment process, the evaluee will be asked if s/he would like to print his or her results (unless staff have disabled this option via the Management System). The evaluee will then be prompted to exit the program.

CareerScope Assessments with Spanish and/or Audio Supports *

To conduct a CareerScope assessment with Spanish and/or audio support, the evaluee must be sitting at an assessment workstation on which these licensed options are available. A workstation that displays a CS 7.2 ES icon is capable of delivering assessments with Spanish as well as exclusively English assessments with audio support. A workstation that displays a CS 7.2E w Audio icon can deliver English assessments with audio support (but cannot administer assessments with Spanish items).

Assessment Templates with Audio and/or Spanish can be assigned on an individual basis or defined as universal defaults through the CareerScope Management System. (Review your User Guide, accessible from within the Management System, for details on pre-registering and defining a default template.) Interest and Aptitude with Audio is automatically defined as the universal default assessment template within a CareerScope Demo system.

Before the evaluee begins an audio assessment or any assessment for that matter, the CareerScope Management System must always be closed before the Assessment Tasks program is opened. When the Assessment Tasks program is launched, CareerScope will prompt the evaluee to input his/her ID code. If the evaluee has been comprehensively preregistered for an audio template, s/he will hear CareerScope audio instructions immediately after entering her/his pre-registered ID code. These instructions will guide him/her through the phases of assessment: Interface Tutorial and General Practice, Interest Inventory, Speed Screening and Response Record Practice and Aptitude Tasks. All are briefly described on pp. 22-23.

If the audio template has been set as the universal default template, the evaluee will be prompted by the Assessment program to record his/her ID code as well as personal identification information (such as name, age, educational background and gender). After this information is gathered, audio instructions will begin and will guide the evaluee through the phases of the assessment.

Pre-registration

To pre-register an evaluee for an assessment with audio support and/or Spanish (or any other assessment template), access the Data Entry tab in the Management System, and begin by entering a unique ID code that defines the evaluee's record. You will then successively: select the desired assessment template to be administered, enter the evaluee's last and first name (up to twenty characters for each element), age at next birthday, data on educational status/background, and gender. (For detailed information on how these data elements can be “pre-recorded” via the Data Entry feature within the Management System, please refer to the User Guide. The User Guide can be accessed within the CareerScope Management System.)

Report Generation in the Management System

PLEASE NOTE

The CareerScope Management System is password-protected for security. When the program is launched for the first time, you will be required to establish and confirm a password. This password should be shared with all authorized users of the Management System.

Generating Individual Reports

Use the Individual Report interface (displayed below) to generate a report for an individual evaluee.

Step #1: Selecting an evaluee’s report for generation

If you already know the evaluee’s ID Code or Last Name, then:

▪ Click the radio button to the left of Search by ID Code or Search by Last Name.

▪ Enter the evaluee’s ID code or last name in the blank field next to Look For and then click on the Find button.

The Management System will search the database and display the record matching the search item. If there are multiple records with the same last name, the system will display a list of all such records. You can then select the desired record from this list by clicking in the selection box to the left of the ID code.

If you do not know the evaluee’s ID Code or Last Name, then:

▪ Leave the Look For display blank and click Find. The system will display the entire list of records in the database.

▪ Click in the selection box to the left of the ID Code for the desired record.

Step #2: Selecting and configuring report formats

▪ Select the report format(s) you wish to print (Assessment Profile, Counselor’s Report, and/or Summary Report).

▪ Click on the Configuration button next to each report format and select the components to be included in the report.

Once you have configured your report preferences, you can print a hard copy by clicking Print Report, or you can save pdf copies by clicking Save to File. Clicking Page Estimate will give you an estimate of the number of report pages for a given record. If you want to preview the report on your computer screen, click Print Preview. The system will pause to perform the necessary score calculations and compile report components and will then display the formatted report.

Please refer to the User Guide (in the Management System) for more detailed information about using the features available on the Individual Report interface.

Generating Multiple Reports

Use the Multiple Reports interface (displayed below) to generate reports for a group of evaluees.

Step #1: Selecting reports for generation

▪ Click the radio button to the left of Search by Test Date or Search by ID Code.

▪ Enter the starting point and ending point for the range of test dates or the first and last ID code in the blank fields next to From and To.

▪ You can also filter the range of reports by clicking on the down arrow on the Filter to Apply display and clicking on the name of the desired filter. The User Guide (in the Management System) contains detailed explanations of how to create, save, and apply filters using the Create Filter interface.

▪ Click Find.

The Management System will then search the database for records within the defined range, and display the number of records selected. Click Preview Selection to review the list of records in the defined range. You can then choose to print all, none, or some of the records within the list by clicking in the selection boxes to the left of the ID codes.

Step #2: Selecting and configuring report formats

▪ Select the report format(s) you wish to print (Assessment Profile, Counselor’s Report, and/or Summary Report), and then select the desired Report Generation Order.

▪ Click on the Configuration button next to each report format and select the components to be included in the reports.

Once you have configured your report preferences, you can print hard copies by clicking Print Report. You can save formatted pdf copies of the reports by clicking Save to File. Clicking Page Estimate will give you an estimate of the number of pages for the selected reports.

Transferring Meter Administrations

From the Website Account to the Local Account

After you install the metered version of the CareerScope software, you must transfer administrations from your website account to the local account on your workstation’s CareerScope Management System before any assessments can be conducted.

The first time you launch the Management System and enter your password, a message will appear to inform you that there are no administrations on the system. Click OK and the Individual Reports interface will appear. Follow the bulleted items below to learn how to transfer administrations from your website account to your local account.

▪ From the Individual Reports Screen, Click on Account Operations and select Transfer from Website Account to Local Account.

▪ When the Transfer from Website Account to Local Account (shown on next page) screen appears, write down the Authorization Code. Include all dashes.

▪ (Time Saver Note: If you are on a computer that has the CareerScope Management System and internet access and you understand the Windows® keystroke combinations of CTRL C and CNTRL V for copying and pasting, then these commands may save you time. The following directions will assume that you have a printed copy of the code and are typing them in the appropriate boxes.)

▪ If you have internet access on the CareerScope Management workstation, minimize your CareerScope Management System and launch your web browser. Type in the URL address . (If you do not have internet access, then go to a workstation that has internet access and bring a copy of the Authorization Code with you. If you do not have internet access at all, then contact VRI.)

▪ At the CareerScope Administrative Service Center website, type in your Customer ID code and Login code and click on the Enter button. (Note: Your Customer ID and Login code can be found on the CareerScope Account Information Card that was included in the software packaging.)

▪ When you are asked, “What would you like to do?”, click on the Transfer From Website button.

▪ On the Transfer Administrations From Website Account Step 1 screen (shown on next page), respectively enter the correct Site Name as well as your own User Name.

▪ Then, click the mouse in the Authorization Code box and type in the Authorization Code. Next, retype the Authorization Code in the Confirm Authorization Code box.

▪ Decide how many administrations you would like to transfer from that account. Below the “Site” name is the number of Available Administrations in your web account. Click the mouse in the Administrations to Transfer box and type the desired number in the Administrations to Transfer box and then click Continue.

▪ On the next screen, check to make sure that the number of Administrations to Transfer is accurate, and then click the “Generate” button to generate a Transfer Code.

▪ Once the Transfer Code has been generated, click the Print button on the Step 3 screen (shown on the next page) to print the Transfer Code.

▪ Now that you have your Transfer Code, return to your workstation’s CareerScope Management System. Maximize the Transfer from Website Account to Local Account screen. (If you closed the CareerScope Management System then relaunch it, and when the Individual Report screen appears, click on Account Operations and select Transfer from Website Account to Local Account.) The screen shown below will appear.

▪ Click the cursor in the Input Transfer Code box and type in the Transfer Code. Click the forward arrow to transfer your administrations. Notice that your ending balance is now updated.

▪ Click the DONE button to complete the transaction.

▪ You will then be returned to the Individual Reports screen of the Management System.

▪ To verify your local account balance, click on Account Operations and select Review Status. Your unassigned local account balance, or the number of available administrations, will be displayed.

Please refer to the User Guide (accessible from within the CareerScope Management System) for a more detailed explanation of Account Operations.

Part 3:

The User Guide

The CareerScope User Guide provides detailed information regarding use of the CareerScope software, including conducting assessments, managing file and reporting functions, and interpreting reported outcomes. To access the Guide, click on User Guide under Help on the Main Menu. This will launch the Adobe® Acrobat® Reader™ and display the Guide.

You can search for specific text within the User Guide by using the Find command, which can be accessed under Edit on the menu bar, or by clicking on the Find icon (shown below).

The following screen will display. Enter the specific text to be found, as well as any search criteria, and then click on Find.

Part 4:

Uninstalling CareerScope

The CareerScope Uninstall routine removes all CareerScope files from your system along with the desktop icons and program group. You are also given the choice of backing-up the existing records database to another directory or deleting the records along with the software.

Uninstalling from Independent Workstations

▪ Click Start, select Programs, and select CareerScope or CareerScope Demo.

▪ Select Uninstall CareerScope.

▪ When the Uninstall Logon screen displays, enter your password and click OK.

▪ For metered CareerScope users, if there are unused administrations remaining in your local CareerScope account, a message will appear to remind you to transfer these administrations back to your available website account before proceeding with the uninstall process. If these unused administrations are not transferred back to the available website account, they will be deleted during the uninstall process. Please refer to Chapter 4 of the User Guide for directions on transferring unused administrations to your website account.

▪ If the CareerScope database is in the default location, you will be asked if you want to backup the database. If you click YES, you will be asked to define a backup location for the database. It is recommended that you choose a location outside of the CareerScope folder. When the desired path and directory information appear in the display, click OK.

▪ Your CareerScope software will now be uninstalled.

Uninstalling from a Network with Multiple Workstations and a Central Database

Step #1: Uninstalling the Management System

▪ Click Start, select Programs, and select CareerScope or CareerScope Demo.

▪ Select the Uninstall option for the Management System.

▪ When the Uninstall Logon screen displays, enter your password and click OK.

▪ For metered CareerScope users, if there are unused administrations remaining in your local CareerScope account, a message will appear to remind you to transfer these administrations back to your available website account before proceeding with the uninstall process.
