Finance and Billing Issues

❑ UCF takes a percentage of all charges for financing

• 8.15% of an expense

• 3% of Credit Card Payments

• 8.5% on income via checks or other methods

❑ Travel should be billed as an instructor fee but this will be taxed as income.

Teacher and Team Needs

Schedule Creation

❑ Create schedule for teams

o Cluster numbers so there is an equal distribution of teams in each hour/event

o Example: In the Division B Schedule, each hour has 7.

▪ Assuming there will be a maximum of 42 teams in the competition for each division.

▪ Stagger like types of events into different blocks. For example, don’t schedule all the biology events at the same time.

▪ Self Scheduling will be done through the ESUS system on the FSO website. Access to setup can be given by Mike.

▪ For impound events, extend the time by 1 hour if there are a large number of teams.

▪ If there are fewer teams this schedule can be vastly modified.

❑ Determine the location for each event. Consult the rules to determine location needs.

❑ Determine locations for arbitration, coach/judge lounge, and other non-event needs. (See schedule 2 for an example of this at the bottom of the schedule.

❑ Send schedule to post on the state website.

CODE OF CONDUCT

Dear Coaches:

Please direct students to read, to discuss, and to sign the following Code of Conduct. This document must be returned on the day of the competition.

Student participants are expected to compete in tournament events with an honest effort to follow the rules and spirit of the competition. The goal of the competition is to give one's best effort while displaying honesty, integrity, and sportsmanship.

Students, coaches, and parents are expected to display courtesy and respect toward Olympiad officials, other teams, and guests of the Olympiad. Please remember all officials are volunteer specialists in their field and should be extended every courtesy.

Failure to show honesty and/or courtesy by a participant, coach, or guest of the team may result in disqualification of the team from that event and/or from the entire competition.

The first event starts at 9:00AM. Impound starts at 9:00AM. Each school must be present at the event during its assigned time and must be present at the beginning of the time period. For example school B-04 must be at Awesome Aquifers at 9:00 a.m. Late entrants will not be allowed. In an effort to remain consistent with other states and the national competition, the schedule was posted in advance in an effort to help you avoid scheduling conflicts when assigning your students to different events. Keep in mind that in engineering events, you can have another student cover for the one who built the device. This gives you more flexibility in scheduling some students. No schedule changes are available. Coaches will meet with at 8:10 in HEC 125

Complete the following checklist prior to arriving at the competition:

❑ MOST IMPORTANT: Be sure students know your team number for the Science Olympiad. Your school number is «Team_ID». MAKE SURE THEY KNOW THIS! Each student will be given a wrist bracelet which must be worn throughout the day. Your school number is printed on this bracelet.

❑ Complete the Tournament Team Registration form

Please write down the student's name, home address, and signature on the form. This will be turned in on the day of the competition

❑ Look closely at the schedule for impounded devices.

If an event supervisor indicates there is a violation on the device, the student can fix it PRIOR to the close of the impound time period (9:50 am). The judge will not indicate what is specifically wrong, just that there is a violation.

❑ Have students read and sign the Florida Science Olympiad Code of Conduct.

Please inform them that cheating, or perceptions of cheating will be dealt with strictly and immediately. This document will be turned in on the day of the competition. Use of cell phones is not permitted in any event. Be sure to read the section of your coach’s manual for more information.

❑ Distribute one copy of the Web Page and Press Authorization Form to each student.

Students DO NOT have to sign this form, but if they do, pictures taken of them can be placed on our web site for promotional purposes. Also, several media outlets, including your hometown newspaper have been contacted to promote your school's participation. Only students who have signed this form are permitted to be photographed or interviewed. The form will be kept on file.

These will be turned in on the day of the competition.

❑ EVENT SCHEDULE and CAMPUS MAPS:

Go to the Florida Science Olympiad website and obtain the schedule and a copy of our campus map indicating the location of each event. Please make necessary copies to share with your students. You will receive a pack of 16 maps and schedules in your registration packet.

❑ Self Scheduling:

Go to the Florida Science Olympiad website and click on ESUS (Event Sign Up System) to self schedule the events that are self scheduled. The website contains in the times and dates when the system opens and closes.

Food is available in the Student Union. Students should bring money for food. If you are driving into town, you can avoid stopping on the way since breakfast will be available when you arrive.

On the day of the competition, please arrive at school no later than 8:00 am. A registration table will be set up inside Engineering 3 Atrium. The coaches meeting will be at 8:10 am in CREOL 103. There will be a general assembly of everyone in the ENG3 Atrium at 8:30 am for the Welcome Show. After this time, students should immediately drop off all devices which need to be impounded. Students will have until 9:50 to impound devices. Any student can impound a device. It does not have to be the student scheduled to compete in that event.

All events will conclude by 3:50 pm and the Awards Show will begin as soon as possible in the ENG3 Atrium. We have plenty of room for all who participated during the day. But if you must leave, please feel welcome to do so PRIOR to the start of the Awards Show. The Awards Show is optional. PLEASE do not walk out of the awards show until all awards have been given. Individual team results for each event will be available at the conclusion of the awards show.

I hope everyone has a fun day! This is a great opportunity for students to shine in the arena of academics! Good luck to everyone!

INSTRUCTIONS FOR FILING AN APPEAL

REMEMBER: Event judges are extremely busy during the competition. Please do not interfere with an event while others are competing. Only students may file an appeal and talk with the appeals committee. No parents or teachers.

1. MAKE AN ATTEMPT TO RESOLVE THE PROBLEM WITH THE EVENT SUPERVISOR (JUDGE) BEFORE SUBMITTING A WRITTEN APPEAL.

2. THIS FORM MUST BE TURNED IN TO HELP DESK WITHIN 1 HOUR AFTER THE COMPLETION OF THE EVENT. IF CIRCUMSTANCES PREVENT FILING WITHIN THIS TIME LIMIT, THE APPEALS COMMITTEE MAY, AT THEIR DISCRETION, ACCEPT A LATE APPEAL.

3. PLEASE BE SPECIFIC IN YOUR APPEAL. BE SURE TO IDENTIFY THE EXACT RULE/PROCEDURE THAT YOU FEEL WAS NOT FOLLOWED. APPPEALS THAT ARE GENERAL IN NATURE MAY BE REJECTED BY THE APPEALS COMMITTEE. THIS FORM MUST BE SIGNED BY THE OFFICIAL COACH OF THE TEAM.

• For example if there are 30 teams (n), all teams are ranked. First place receives one point, second place receives two points, third place receive three points. Last place receives 30 points.

• All ties at all places are broken.

• Ties broken according to the rules

• If a team does not show for the event, they receive n+1 or in this case, 31 points.

• If a team is disqualified for unsportsmanlike conduct, they receive n+2 or 32 points.

• There can be multiple ties at last place and beyond.

• There could be a gap between “last place for the event” and 30th place.

o For example, if only 24 teams show up for the competition, the team that gets last place in the event will receive 24 points.

o Then there will be a gap to 30th place, with 6 teams receiving 31 points.

Just a final email about preparing for the competition for this weekend:

1. Parking is free. Park only in C-1, C-2 or Garage C. Do not park in 24 Hour Reserved Parking Slots.

2. Please be on campus before the meeting at 8:10 am to set up rooms. You can come to campus the evening before to prepare if you would like. Let me know if you would like to do this.

3. Be in HEC 101 at 8:10 am for a quick meeting. Pick up your event packet there.

4. If you have previously arranged for supplies, they will outside CREOL A207 for you to pick up.

5. If you have only tests or copies, we will have them in HEC 101.

6. If you are not on the list below, you will need to either have all your copies (47 for Division C, 54 for Division B) plus an extra copy of the answer key for you in the morning.

7. If you are not on the supply list below, you will need to have all the supplies necessary to run your event. (We have supplies that are available, but are past the point that we can organize them for you. You are more than welcome to get supplies needed at UCF.)

8. If you need to purchase supplies let me know so we can determine a budget. Please keep all receipts for purchased items.

9. We will have white polo shirts for all judges to wear for the competition.

10. We will have a refreshments in the morning and lunch for all judges. (Use lunch tickets provided at meeting to obtain lunch.)

11. There will be a few observers who are interested in running a regional competition next year. When they identify themselves, please allow them full access to the events. Adults and teachers are not allowed full access.

Event Supervisor Procedures

 

1. Student Entry into event:

a. Each Student will wear a wristband with team number on it.

b. Have student sign in on the Event Student Sign In Sheet

c. Both students must have same number, and be in the event when assigned. (it is your discretion if you let a student in at a different hour than assigned.)

d. Begin the event and supervise.

e. Score the test sheets/labs/event throughout the day. Organize by rank as the day progresses.

2. At the end of the day:

a. Place test sheets/lab work in Rank Order, 1st Place on Top

b. Make sure raw score is visible at the top.

c. Fill out Scoring Sheet – either on the computer or on the worksheet.

d. DO NOT ADJUST THE NUMBER OF TEAMS. Whatever is on the Scoring Sheet for place calculation, do not adjust. Keep in mind that the number of teams is different than the team numbers. (A team can be assigned B-52, yet, there may only 47 teams.)

e. If there are fewer teams that show up for your event, also do not adjust the maximum number of teams. Follow the place calculation on the Scoring Sheet.

f. Be prepared to READ ALOUD the results of the RAW SCORES, RANK, and TEAM NUMBERS directly from the event sheets when you meet with a score counselor.

3. Event Conduction and Preparation

a. Think about the materials you need, and how last minute substitutions can be made.

b. Be flexible and prepared for supply problems.

c. If there are material problems, we will work to fix the problem immediately. Contact the help desk.

d. The Tournament Director will make the final call on whether an event is cancelled.

e. If any team is in danger of a disqualification, only make the final determination after they have completed their event, to the degree that they are able. Do not pull any team in the middle of their event. Counsel them after they have finished.

4. Be kid friendly! Students work very hard to prepare. Offer advice, make allowances for their age, and yet hold firm to the rules. Counsel where necessary but be aware that the get excited and may step over the line in the excitement of the competition. Your judgment is essential to determine if they are intentionally violating the spirit of the rules, or if they are just getting caught up in a moment of excitement.

5. For the competition, if a team would like to reschedule, you may permit it, but it is your complete discretion.

Coaches

Here is some last minute information you need to know!

• Space is available around Engineering 3. You should designate a section for your students to meet throughout the day.

• Students will be in Engineering I, II, III, Chemistry, Biology, Business I, II, CREOL, and Physics Portables (PL 101, 102, 104). Feel free to move about these areas, but please do not interfere with their activities. If a judge believes a coach has interfered or helped a student in any way, this will be ground for immediate disqualification of the entire team.

• If a judge suspects any cheating, it will be grounds for disqualification of the entire team. Cheating of any form is considered to be a serious offense.

• Restrooms are located throughout the campus buildings.

• MISTAKE ON SCHEDULE: Coffee, juice and pastries are located in ENG 3 308. Students are not allowed here.

• TOP 10 TEAMS – After awards ceremony, those teachers go to Dean’s Suite, ROOM _________ to pick up T-Shirts.

• Fill out the tournament evaluation form sometime today. Distribute the student evaluation forms to your students. Return these to the help desk.

• Restaurants can be found in the Student Union. There is no specific time for lunch.

• Please clean up the area prior to leaving. BRING GARBAGE BAGS TO A CENTRAL LOCATION.

• If you disagree with a decision made by a judge or if you disagree with the interpretation of a rule, you may file Arbitration. These forms are found at the help desk. They must be signed by a Coach and the JUDGE of the event before being delivered to ENG 3, 101. Come back to that room for a ruling in 1 hour.

• Awards ceremony will start as soon as scores are available.

• Impound will occur between 9:00 and 9:45 am. Make sure students get the receipt from the judge before leaving the event.

• Several events require that ALL teams are present at a specified time. Check the schedules carefully.

• 4:00 PM Campus Tour under FSO Sign.

Here is some last minute information you need to know!

• If you need to find me, send your student helper to the help desk, located in Engineering 3 Atrium.

• Copies: If you run out of copies….check your events. Make sure there are 27 sheets for middle, 26 for high school. If you don’t have enough, go to CREOL in the hallway behind the elevator. The copy code is 1761.

• Event Cards: Students must have them filled out prior to entering your event. Make sure that the school number on the Event Card matches their wristband number. (School Number)

• If they loose the event card, and you need to give them a replacement, use the Mauve/Pink card. They will be assessed a penalty that will drop them 5 places in the ranking for the event. (So if they receive a rank of 3, and they have lost the card, then they will be ranked 8.)

• Do not keep students past the prescribed event time.

• Coffee, juice and pastries are located in ENG3 208.

• If you complete all teams in a division before 3:00 pm, please try to get the final scoring done, verify it, and send it to the scorekeeper in ENG3 101.

• When you turn in the Score Cards and Score Summary Sheet, also fill out and verify the Scoring Place Card. This card must match the 1st, 2nd and 3rd place for your event. DOUBLE CHECK EVERYTHING.

• Also fill out the evaluation sheet – Also submit and edit copy of the event rules. Offer any clarification.

• Do not leave campus until 1 hour after the close of your event. Also, if there is an arbitration, please fill out and have the student or teacher return to ENG3 101.

Crime Scene Analysis, Robotics Part of Science Olympiad March 22 at UCF

ORLANDO, March 21, 2008 – Middle- and high-school students from throughout Florida will compete in a CSI-like activity, launch projectiles and make their own musical instruments during the 2007 Florida Science Olympiad Saturday, March 24, at the University of Central Florida.

About 50 UCF faculty members and students will volunteer at the competition, which is scheduled to feature 87 teams and 23 events, with over nearly 1500 students from around the state of Florida competing. The Science Olympiad will be held from 9 a.m. to 3 p.m. at several buildings on UCF’s East Orlando campus. Many of the events are free and open to the public.

The Florida Science Olympiad is part of a national competition featuring events from many science disciplines, including physics, chemistry, earth science and biology. Teams of up to 15 students compete in middle- and high-school divisions.

Events are designed to help students learn about communication and problem solving in addition to specific science skills. Many of the events have been correlated to the Sunshine State Standards, which are used as the basis for the science portion of the Florida Comprehensive Assessment Test.

“Science Crime Busters” requires high school students to identify who committed crimes based on analyses of materials found at a crime scene. In “Trajectory,” middle school students will design, build and calibrate a device that can launch projectiles using only the energy from rubber bands or elastic cords. Robotics are featured prominently this year as both middle and high school students construct robots which must perform various complex tasks, similar to those launched by NASA to Mars.

“Never in your life will you see so many students so excited about academics and science,” said Mike McKee, who directs the state Science Olympiad and is a program director at UCF’s College of Optics and Photonics. “They are excited about it because Science Olympiad makes learning fun. And the best thing is that teachers use Science Olympiad activities as a great way to prepare the students for the FCAT science test in March.”

Winners of the events are awarded medals. One overall school winner from each of the middle- and high-school divisions will represent Florida at the 25th-annual National Science Olympiad at George Washington University in Washington D.C. on May 30-31.

If you are new to Science Olympiad, welcome! If you have not received your coaches manual by now, you should get it soon. The manuals contain all the rules you need to prepare your students for the competition. They are complex however, and it is suggested that you get an early start on the events by preparing now.

The assigned school number is important. Please use this number for the STATE competition only. You will receive a second REGIONAL number from one of our regional directors if you will be attending a regional competition. The numbers are used to identify teams at the competition and to determine when your students are assigned a time slot for each event. The schedules for this year’s competition are currently posted on the website.

Starting this year, all teams who are in designated counties must attend the regional competition prior to attending the state competition on March XX at UCF. The list of designed counties is on our website at . We will also be following up with another email with more information about the regionals. In addition, we have several opportunities for professional development that are available. If you have a group of up to 35 students or teachers, we can host a 6 hour workshop for $1000.
