Exploration and Launch Summer 2020

International Travel

During the Summer Programs, we encourage scholars to “expand their boundaries” in many ways, including literally, by travel to new places. Being in a new place and doing new things often involves some risks. Learning to anticipate and manage these kinds of situations plays a valuable role in leadership development. This is one reason we emphasize the importance of being thoughtful and making good decisions during the summer program, as well as alerting staff when a problematic situation arises. For scholars traveling within the US, we have developed standard risk management forms, which we use to indicate that scholars are aware of their responsibility.

When scholars travel internationally, we have additional procedures, some recommended and some required. It is essential that scholars take these responsibilities seriously and follow them. Although our program recognizes that summer planning takes place during the busy school year, we expect scholars to follow our timelines and requirements. We will provide only limited reminders.

REQUIRED ACTIVITIES

• Make sure your passport is in order.

Provide a scanned or photocopied copy to Vicki, unless the program already has a copy.

• Make sure the intended destination is safe enough for you to travel there.

Both universities have excellent resources to this end and make their own judgments about the appropriateness of locations for students.

Duke has a list of Restricted Regions. This applies to all scholars traveling internationally.



UNC uses the State Department list of Travel Warnings to guide university-related travel.





If you are a Duke or UNC scholar whose proposed destination is on Duke’s list, talk to Vicki right away.

If you are a UNC scholar whose proposed destination is on the State Department list, check UNC’s guidelines, and talk to Vicki.

• Learn as much as you can about your intended destination(s).

o Find out about relevant health and medical issues. The Center for Disease Control contains information about immunizations and health.

o Check the Entry/Exit Requirements for your destination. The State Department site will tell you if you need to follow special visa procedures, pay an entry fee, etc.

• Complete Robertson Program paperwork.

The Assumption of Risk: International Summer form must be signed and submitted to a Robertson office. Scholars spending part of their summer in the US will also complete the Assumption of Risk: Domestic Summer form. These will be emailed to you in the spring and will be posted on the Summer Procedures and Resources page.

• Become extremely familiar with the safety and health resources available to you.

All Robertsons traveling internationally enroll in Duke’s ISOS program when they register their trips. Read about Duke’s ISOS program. Understand the international medical insurance provided by ACE. Carry the information cards provided by both Duke and ACE. Copies of everything are on our Summer Procedures and Resources page.







• Attend UNC Global Orientation.

This event takes place March 21, 2020. If you are a first-time international traveler from either campus, plan to attend at least part of this event.

• Register your trip with Duke (all scholars) and UNC (UNC scholars).

o Duke International Travel Registry

Required by all scholars traveling internationally. Include Vicki as a person to be notified of your registration (stocking@). Registration gives scholars access to the emergency services provided through ISOS and notifies university officials of your whereabouts in case they need to reach you. You will receive an email confirmation after registration.

o UNC Global Travel Registry

Required by all UNC scholars traveling internationally. You will not receive an email confirmation.

STRONGLY RECOMMENDED ACTIVITIES

• Check out the State Department’s site for student travelers.

• Make an appointment with the travel clinic at your home campus. Be aware-- appointments fill up fast. Some vaccinations take place over the course of a few months. You can include these kinds of medical costs in your summer budget.

• Enroll in the State Department Smart Traveler Enrollment Program (STEP).

• Register with the US Embassy at your destination.

• Take advantage of the travel guides in the UNC office. The program has collected a number of excellent resources to support the planning of international travel. Let Vicki know if you want to borrow one.

• Develop a communication plan. Make sure you tell the people you want to know about your whereabouts, timeline, and intended activities. It’s up to you to share information about your trip.

• Keep Vicki in the loop as much as you want. As part of the proposal process, you will turn in some information regarding your trip—dates, locations, expected activities. Feel free to share as much additional information as you wish. You are welcome to send copies of plane tickets, confirmed housing, etc.
