Tutorial Office AdministratorNewnham College is seeking to appoint a Tutorial Office Administrator to provide comprehensive administrative support to the Senior Tutor and the Tutorial Office more generally. This is an exciting opportunity for an outstanding individual to join the Tutorial & Admissions Office for experience in a busy College environment. This is a maternity cover contract offered for a period of 6-8 months or until the post-holder returns to work, whichever is sooner. The post is full-time based on 37.5 hours per week, Monday to Friday. Key Tasks:Oversee the administration of examinations, including enrolment and exam arrangements for students, running in College exams and arranging invigilators. Assist the Senior Tutor, ensuring all those who are eligible apply for a Cambridge Bursary, College bursaries, prizes and awards as guided by the Senior Tutor and Loans and Grants Committee. Administer the Cambridge Bursaries, Student Loan Company and post graduate loan scheme in collaboration with the Senior Tutor and Bursary team. Administer and award all bursaries and prizes as guided by the Senior Tutor and Loans and Grants Committee. Administer and award all bursaries and prizes as guided by the Graduate Tutor and GARS Committee.Manage graduate worklists and graduate admissions with the Senior and Graduate Tutors.Maintain student records on CamSIS.Oversee administration of students going out of residence (e.g. intermission), including preparing cases for the Applications Committee, and managing the student’s return to study.Provide administrative support for Directors of Study by maintaining CamCORS and registering new supervisors.Allocate and administer student accommodation bookings on the Rooms Management System, including beginning and end of term arrivals.Maintain student mailing lists. Provide administrative support for any non-UCAS students such as exchange students and visiting students. Complete the College Electoral Return.Update and maintain content on the College intranet, website and Moodle in liaison with the Tutorial and Admissions team, College Secretary and Communications Director.Maintain student files and produce student certificates, transcripts and references in collaboration with the Tutorial and Admissions Secretaries. Produce termly and year end information, including student notices in collaboration with the Tutorial and Admissions Secretaries.Produce and maintain the college lists for both undergraduates and graduates mittee Support:Act as Secretary to the Loans and Grants meeting (termly), Directors of Studies meeting (termly), Education Committee (annually) and Graduate Awards and Research Committee (annually).Secretarial Support for the Senior Tutor:Work with the Senior Tutor to prepare business items for Council and Governing Body.Draft letters for the Senior Tutor as required.Perform other duties as directed by the Senior Tutor, for example room bookings for Tutors’ lunches.Benefits would include 33 days’ annual leave (including bank holidays), free lunch from College Buttery and parking on site. The post is full-time based on 37.5 hours per week, Monday to Friday. In addition, the post-holder may be required to work on a weekend during the exam period and also on Saturdays when degree ceremonies take place (no more than five per year), for which plenty of notice and time off in lieu will be given. The salary, according to qualifications and experience, will be equivalent to point 35 on the University's Single Spine, for which the present rate is ?26,495 per annum (based on 37.5 hours per week). Holiday entitlement will be 25 days per year, plus 8 public holidays. It may be necessary to work on public holidays which occur during Term time. Under the rules of Auto Enrolment the post holder will be enrolled in the Universities Superannuation Scheme.The post is subject to the Newnham College Staff Handbook and Policies & Procedures (dated June 2016), and subsequent updates which may be made by the College from time to time.
