Dear Musicians,

I am so pleased you have chosen to serve the Lord and the Emmaus Community as a musician for the upcoming Walks. I know you will be blessed as you bless others in this service. An overview of your general responsibilities can be found on pages 6-6 to 6-9 of the Columbus Emmaus Team Manual. See also the blue manual for musicians. I hope the information below will help you in this ministry. Also, read the new Music Director’s booklet from the Upper Room.

Reminders from Handbook:

• Balance Emmaus “classic” songs and new or “fresh” songs (prayerfully mix)

• Songs can be done more that once during a Walk.

Team Planning:

• Have each music team member prayerfully make a list of suggested songs for this Walk.

• Compile lists and make a master list of all songs to be used on this Walk. (Sample in small binder)

• Place all songs chosen in the Walk Music Binder for practicing together and participating in the Walk. (Take the larger ring binder to the Walk for possible requests, but invest your practice time on the selected songs for the Walk.)

Adding New Songs:

Songs may be added for the Walks at the request of the Musicians and/or the Walk Lay Director. Sometimes songs are added to go with specific the Walk’s scripture theme. We have an Emmaus Music Library to which music is being continually added and from which music may be requested. This is an intermediate stage for music from which we will periodically choose to add songs to the Emmaus/Chrysalis Song Collection (all piano, guitar, wordbooks, and overhead transparencies).

To add songs for this specific Walk, please contact the Board Music Rep. An addendum sheet will need to be added to the songbooks. Piano music, guitar music, word sheets, and overhead transparencies will also need to be prepared. Please allow plenty of time (before Team meetings) for this work to be done. For copyright reasons, please let the person designated by the Emmaus Board prepare all songs to be used on this Walk. Please keep added songs to a minimum.

Speakers’ Songs:

Ask speakers to select a song from the Emmaus/Chrysalis Song Collection. It is highly recommended that the Music Leader contact the speakers before Team Meetings to find out what song they have selected to be sung before their talk. We recommend each talk at Team Training be preceded by the speaker’s chosen song. This enables the musicians and team to practice and get a sense of the weekend. Ideally, speakers will select a song that goes with the theme of their talk. This is not mandatory, but is helpful. Some speakers prefer to pick one of their “favorites.” Speakers may also choose to have their song played from a tape or CD rather than have the Body sing the song. (In this case they may select music outside of the Emmaus Collection). The variety adds a little spice to everything.

Head Musician: Music chosen from outside of the Emmaus/Chrysalis Song Collection, especially if a secular song is requested, needs to be reviewed and approved by the Walk’s Lay Director and/or Spiritual Director concerning the song’s appropriateness for the Walk. Copyright issues should be considered also. Please avoid songs outside the scope of CCLI Licensing if copies need to be made.

← PREPARE:

Team Training: (review familiar songs, teach new songs, build community within the Team)

Make arrangements with Team Training facility for overhead projector, projection screen, sound system, music stands, microphone stands, microphones, microphone cords, etc. Facility may have its own projector. If not, call the board representative for music. Check also on extension cords and adapters. Also, set up a practice area away from the conference room.

• Consult with the Walk Lay Director and Spiritual Director about Communion Services—when?

• Plan and practice music. It is recommended that you sing the speaker’s chosen song at Team Training just before their talk. It is also helpful to follow the thematic flow of the Walk musically at Team Training (see below: song placement).

• During Talk Previews, the Music Team is expected to preview the talks with the rest of the team. You may talk to the Lay director to see if there is some time during the team meetings when you can practice together.

← Sponsors’ Hour: Find out who will be the Spiritual Director for Sponsors’ Hour. Communicate with him or her about plans for the service. The musical layout for this service is usually one or two opening songs of celebration, before prayer and cross time, communion songs, and a closing song or two. Choose familiar songs. Transparency projection is possible in the dining room at Camp Lakeview.

← The Walk:

• SONGS—Learn selected songs.

SONG PLACEMENT—Fill out Walk Music Schedule from which you will be flexible.

The Walk has a THEMATIC FLOW to it. The Three-day Overview should help you see it. Please enhance that “flow” with the music. For example,

Friday’s emphasis is on The Love of God the Father—Divine Invitation—Call

Priorities, Prevenient Grace, Priesthood of All Believers, Justifying Grace, and Life in Piety (heart)

Saturday the emphasis is The Grace of the Lord Jesus Christ—Our Response—Conversion

Study (mind), Means of Grace, Christian Action (hands), Obstacles to Grace, and Discipleship

Sunday’s focus is The Fellowship of the Holy Spirit—Christian Mission—Consecration

Changing Our World, Sanctifying Grace, The Body of Christ, Perseverance, and Fourth Day

Divide your Walk Master Song List by each Day’s thematic flow. An example of song lists by each day’s topics has been included. While these thematic guidelines are not “set in concrete,” please try to observe them whenever possible (for example, try to wait until Saturday to sing songs about Jesus).

Key songs taught to the pilgrims each Walk are De Colores, Let Your Light Shine, and Special Song for Candlelight (if chosen). Be sure to be sensitive to become aware of those songs that really touch or open the pilgrims’ hearts. One of those may be your choice for the Special Song at Candlelight. Please be sure the pilgrims have sung their song to the community more than once so they are very familiar with it. You can make a poster with the words for an Agape team member to hold up for pilgrims to see.

A Song Collection by Type List and blank form from the Emmaus/Chrysalis Song Collection has also been included to make it easier to be flexible and go with the immediate flow of the Holy Spirit on the Walk.

MEDIA—Use a variety of media: piano, guitars and other string instruments, tambourines and other rhythm instruments, tapes, CDs, etc. and sometimes only the voice. De Colores (sung humorously by the guys on the Baldfield album) has at times been played on a boombox when leading the team and pilgrims from the chapel and/or conference room into the dining room. A guitar and other instruments have also been used for this journey.

We have the following items available:

• Tambourines

• De Colores on tape (You will need to provide your own boombox and fresh batteries.)

• Mini-lights for Candlelight and dimly lit locations.

• MEDLEYS—It is sometimes helpful to have prearranged medleys of both celebration and reflection songs. It is especially good to have prearranged medleys for Communion songs so the music can flow from one song to another without interruption.

• MEDITATIVE SOLOS—Plan and prepare. You may use musicians not serving on Team for Candlelight and Closing. The focus is best kept on God when the artist is not seen. A song from the back of the room works well—with or without a microphone depending on the size of the room. The music team may also include meditative solos occasionally during two-minute meditation time after a talk.

• AUDIO and VISUALS—The music team is responsible for providing, setting up, and taking down instrumentation, sound equipment, overhead projector and screen at the Walk sights. Please visit in advance the Walk and Team Training sites to have first-hand knowledge of buildings, equipment, and locations to be used for various musical experiences. Check out chapel for Thursday nights and Dying Moments. Prepare for what is needed.

The Board requests that you USE overhead projections for singing at Team Meetings and on the Walk. The overhead projection allows for less restricted worship. Songbooks (words only) will also be provided for the Walk (If needed for the Team Meetings, let the Board Music Rep. know.). Please put a few of the songbooks on each table. Use of the songbooks gives Pilgrims/Team option of sitting down. Periodically announce that Pilgrims (and Team) may sit down and use the songbooks at any time. Songbooks stay in the Conference room and must NOT be taken home by Pilgrims, Team, or Community after Sponsors’ Hour (copyright issue).

Head Musician, you will also need to designate someone to handle transparencies (pulling, placing, filing). The Music Team vocalist (not playing an instrument) is a possibility, but this is a task the Board Representative serving on team could do and would most likely be very happy to do.

← Pre-Candlelight Community Gathering—musicians need to

• Prepare ahead Have guitar cases, transparencies, music, mini-lights for books, etc., ready for departure from camp just before Talk #10: Discipleship.

• Lead the songs before the talk, then depart as the speaker is entering (6:30 p.m.).

(Please arrive early for Candlelight Gathering.)

• Proceed to the Candlelight Gathering location – TAKE INSTRUMENTS, EQUIPMENT, MUSIC BOOKS, TRANSPARENCIES and MINI-LIGHTS!

• Setup for Communion Service (8:00 p.m.) and Candlelight.

• Have a plan (if possible) for quick removal of instruments, equipment, music books, transparencies, and mini-lights immediately after Candlelight (before meditation begins). Otherwise, musicians must stay until the last pilgrim leaves the sanctuary to retrieve everything.

It is suggested that the musicians receive Communion after the Community. This starts the music flowing at the outset and allows the musicians a less rushed Communion experience (and no bread in the throat to inhibit singing). The Community can sing a cappella (if necessary) at the end while musicians participate in Communion.

← Candlelight— Head Musician, arrange with the Agape Team to alert you as to when the pilgrims are actually entering the building. This will be your cue to begin Love, Love. The singing of songs during Candlelight (especially Love, Love) can be lengthy and exhausting to vocal cords, and guitarist’s and pianist’s hands, fingers, and wrists. Consider rotating and taking breaks, if needed.

Be sure to always have a vocalist on microphone during Love, Love to keep the Community together on the same verse. Also, water bottles are helpful for the vocalists.

← Closing—TAKE: INSTRUMENTS, EQUIPMENT, MUSIC BOOKS, and TRANSPARENCIES to Closing. Please arrive as early as possible.

← PRACTICE, PRACTICE, PRACTICE: Everyone…practice together. Learn to work together as a team. Give God and the pilgrims your best, not leftovers.

IN THE SPIRIT OF COOPERATION AND CHARITY…

We ask that you use this coordinated (for uniformity of congregationally “friendly” keys, piano music, guitar music, and words) and copyright compliant music for the Walks. This Emmaus/Chrysalis Song Collection is a Community tool that allows many musicians to work together and even step in for one another at the last minute if needed. The above-mentioned music tools have been compiled and prepared in compliance with U.S. and international copyright laws. If you need to add other songs for the Walk, please contact the Board Music Rep. about making them copyright compliant for use. We ask you to refrain from using any illegal music copies. Also, these materials may not be photocopied for use outside our Community. Our single user license agreement allows use of these materials only at our Columbus IN Area Emmaus and Chrysalis Community events. It is important that we do God’s work in God’s way—that includes respecting the laws of the land and honoring in love our brothers and sisters in Christ who own the copyrights on the songs they have written.

PARTICIPATION: (The Walk)

Order/Flexibility:

The purpose of the schedule sheets is to provide you with order from which you can be flexible. It is good to plan. It is equally important to be flexible. Listen to the Spirit. Be alert to the mood of the community. Be sensitive to when a reflective song, praise song, or fun song (to wake up everyone after lunch) is most appropriate? What songs are touching and opening the hearts of the Pilgrims? What songs are creating enthusiasm, unity?

• ROUNDS—The conference room can be pre-divided for the singing of both two and three part rounds. For two part rounds (like King of Kings) stickers marked with the letters A or B have been placed on the table trash pots. When time for the round, ask people to check to see what letter is on their table to determine which group they are in. Do the same thing for the three parts rounds (like Are Not Our Hearts). Tables have been marked with numbers 1, 2, or 3. (Verify the stickers are in place—Thursday afternoon.) Other rounds include Jude Benediction, Rushing Wind, You Are My All in All, and You Are My Hiding Place. Also, Humble Thyself in the Sight of the Lord and Victory Chant have echo sections that call for two groups.

• SPECIAL FUN TIMES—Work with “Table of Concern” in planning such things as skits and the singing of Pharaoh, Pharaoh. Legal music for The Orchestra Song is available upon request.

• DANCING—Can be easily done with an inner and outer circle around conference room to such songs as King of Kings, Yahweh, etc.

• “SONGS ON THE HEART” TIME—If given “extra time” for singing, consider letting the pilgrims and team select some songs.

In preparation for the next musicians using materials, please do the following:

← Clean music books—remove any added papers, paper clips, Postit notes, markings, etc., from all guitar, piano, and wordbooks to be returned.

← Place songs in alphabetical order (according to the computer-generated index provided): guitar, piano, wordbooks, and overhead transparencies.

← Return all books and overhead transparencies, tambourines, lights, De Colores tapes, The Orchestra Song music, etc., to the Board Music Rep. in good condition.

← Advise the Board Music Rep. of any damaged or missing music. Reminder: Songs must not be removed from Emmaus/Chrysalis Song Collection for personal, family, and/or church usage, etc.

I hope you will experience the Lord’s pleasure as you serve Him, the pilgrims, and the Community in this capacity. As you prepare, may God cultivate increasingly within each team participant a heart of worship for Him only and the ability to lead others into the celebration of His Presence.
