Communication/Front Desk Manager Classification:Non-ExemptReports to: Shelter ManagerDepartment:Animal Services/Medical Date of Revision: May 24, 2021SummaryThe Communications Manager is responsible for communication and scheduling for the organization’s medical and foster departments coupled with managing the Customer Service Center. The Communications Manager is the hub for each of the departments regarding communication with both inside and outside clients, vendors and customers. The Communications Manager will be involved with all departments of the organization. Essential Functions Schedule Outside SurgeriesPulls all messages left by outside customers from the medical and surgery extensions. Distributes messages not relevant to outside surgery in a timely municates with outside customers, whether in person, by phone or e-mail and ensures that they are scheduled for surgery in a timely manner.Enters all data relevant to the surgery in pletes all surgery paperwork in a uniform manner prior to the drop off day.Develop a working system of other staff members being able to schedule surgeries and confirm that they are giving the most up-to-date and accurate information.Create outside surgery hand-outs including our current information as well as other options for low cost surgery.Ensure that we are scheduling according to budgetary needs and develop a scheduling process that fits this need.Continue to provide feedback to medical on any additional services that may be requested. Provide Accounting with month end reports in regards to billing and voucher use. Issue bills when necessary.Assist with the Foster and Vaccine Clinic ProgramsApprove/deny online foster applications in a timely manner.Call potential foster homes when necessary or requested by the Shelter Manager or Lead municate with the foster homes when a recheck is overdue.Work with the Lead Veterinary Technician and Veterinary Technicians to schedule initial foster checks.Evaluate the foster lists and “recall” animals as necessary to ensure that all cages are filled and that fosters are involved with offsite, weekend adoption events. Schedule and pre-build customers for our vaccine clinic.Manage Vets Kitchen Pet Food PantryDevelop a program that includes digital application and record keeping along with scheduled pick-up times. Monitor applications using our current computer systemWork with Volunteer Coordinator to solicit volunteers to help with the program.Work with outside vendors or other organizations to expand our program for those in need.4. Supervise the Customer Service Huba. Develop, implement, and train to department standards, work processes, systems, and procedures for accomplishing work within the department.b. Lead and direct the team to ensure the highest level of people care is delivered to BCHS patrons, staff, volunteers, partners, donors, and vendors.c. Ensure patron experiences are always compassionate. Work with community members in crisis and grief. Communicate with a diverse population in a consistently informative, confident, respectful and professional manner.d. Manage daily operations and provide leadership to pet admissions and adoption teams in a fast paced, high-stress environment. Ensure that roles and responsibilities are understood and carried out.5. Surgery and Inventory SupportCreate and maintain an inventory system for medical and store supplies.Develop relationships with outside vendors to get the best prices on medical supplies.Order supplies within our approved budgetAssist with internal paperwork on high volume spay/neuter days.Assist with intake and/or discharge of surgery clients when needed.Other DutiesExemplify our Organization’s core values and mission.Support and follow company policies and procedures.Participate in regularly scheduled meetings. Demonstrated animal health and well-being knowledge and skills to include the care of domestic animals.Familiarity of animal disease management, zoonotic diseases, and safety protocols.
