JOB TITLE: Parks & Recreation Office Supervisor

PURPSOSE OF POSITION: This is a non-exempt position in the Parks and Recreation Department. Position serves as administrative assistant to the Director and other full time staff and coordinating information of all department activities. Oversees rental of Town Center facilities, day to day operations of the front desk and recreation staff and procedures.

SUPERVISOR: Youth and Office Coordinator

JOB DUTIES:

• Responsible for rentals of the Banquet and Meeting Facility, including marketing, coordinating room reservations, designing promotional materials, coordinating rentals with other staff for room setup, staffing (including police officers as required) for the banquet facility.

• Coordinate a monthly and yearly calendar of all department activities and programs. Works closely with other staff to develop comprehensive information on each activity. Responsible for insuring that the public receives consistent and accurate information.

• Coordinates the promotion of the department’s events, activities and programs through the development and distribution of brochures, flyers, calendars, Power Point slides and other promotional materials and venues. Assists with the development of the marketing plan for the department.

• Oversees all part time recreation center staff which includes scheduling, job assignments and daily tasks. Assists with hiring and evaluation of recreation center staff.

• Oversees day-to-day operations of front desk which includes daily balancing of financial transactions, customer service and registration of patrons for programs and activities.

• Professionally handles customer service issues as they arise.

• Verifies time sheet information from recreation center employees and serves as the backup for inputting payroll into timesheets.

• Provides clerical support to the Director and other staff personnel as needed. Assists with reports, meeting minutes, grants, department budget and other written materials.

• Other duties as assigned

Minimum Qualifications

• High School Diploma

• Computer software skills (Words, Excel, Publisher, Power Point,)

• Excellent written and verbal communication skills

• Supervisory experience

• Valid Oklahoma Drivers License

• Ability to lift up to 15+ lbs

Preferred Qualifications

• Graphic design or brochure design experience

• Municipal government background
