5368290-18859500-780415762000Administrator Job and Person SpecificationMuir of Ord Hall & Facilities Company (the Company)Job DescriptionJob Title Administrator Accountable to:The Company BoardDirect Report/ Support:Community Development ManagerEmployment Status:Fixed TermTerms:This post is a fixed term contract of 1 year Salary: ?8.45 per hourHours: 3.5 hours per day Monday to Friday (17.5 hours per week)Location: The post is based in the office in the Muir HubMain Purpose of the Job:To undertake administrative tasks in relation to the running of the company’s facilitiesDuties & Responsibilities:General administrative?duties including handling mail, filing and photocopyingRespond to communications?by?phone, paper, or?emailDeal with day to day customer services enquiries Manage all bookings for the Muir Hub and Village Hall and maintain the electronic booking systemLiaise with caretaker regarding bookings and key holder requirementsLiaise with volunteers regarding their allocated administrative tasksAttend meetings with prospective room hirers Issue invoices and paperwork to room hirersCollect and bank payments Maintain proper financial records on book-keeping package (QuickBooks) Monitor and order stationery and suppliesActively promote Company venues Work closely with, and support, the Community Development Manager, to deliver specific projects and activitiesUndertake other tasks at the discretion of the BoardThis list of duties is not exhaustive and will be reviewed periodically in discussion with the post holder.Person SpecificationSkills, Knowledge and Experience EssentialGeneral office experience, including answering phones, providing a reception service and dealing with a range of administrative tasks Experience in cash handlingExperience of working with spreadsheets and databases Competent IT skills including Word, Excel and email Good numeracy and literacy skillsGood written and verbal communication skillsGood interpersonal skills with people from a wide range of backgroundsGood organisational skillsAbility to work in a small team and, at times, unsupervisedAbility?to?work?under?pressure?and?to?deadlinesAbility to work?in?accordance?with?agreed?company policies?and?procedures ?DesirableStandard Grades, or equivalent qualifications, in Maths and English at Grade 3 or aboveExperience of book-keepingExperience of setting up and running a range of administrative systemsExperience of the voluntary/ community development sectorsFlexible working hoursExperience of dealing directly with the publicKnowledge and understanding of internet and social media ................
