Overview
What the Manual is for
This manual serves as a handbook for all current and incoming outside services employees at Timarron Country Club. The job consists of several daily and weekly responsibilities to be carried out, and it is the purpose of such a manual to serve as a guide to meeting these efficiently and effectively.

Understanding the manual
The following chapters of this manual describe daily activity on the job, protocol for handling certain situations, and daily responsibilities. The organization of the manual is as follows.
• Chapter 1 –Opening Shift (6am-6:30am)
This chapter covers all responsibilities that are to be carried out immediately upon arrival. It also outlines the specifics of how to do so.
• Chapter 2 - Opening Shift (6:30am-7:00am)
This chapter covers the responsibilities that are to be carried out just before the members begin to arrive at the club.
• Chapter 3 - Opening Shift (7am-1pm)
This chapter outlines how time should be occupied during the majority of the morning shift and how to prepare for the afternoon shift.
• Chapter 4 - Closing Shift (1pm-5pm)
This chapter outlines how to occupy time during the greater portion of the afternoon shift.
• Chapter 5 – Closing Shift (5pm-close)
This chapter deals with the crucial responsibilities that are to be carried out before the club is shut down for the night.

Opening Shift: 6:00 AM – 6:30 AM
Be On Time…
• With certain exceptions throughout the year, the outside services team will be the first employees to arrive at the club.
• Typical morning shifts will begin at 6am. It is extremely important to be on time. Golfers begin to arrive at about 6:30 AM.
• On most occasions, two cart staff members will work the morning shift.
Driving Range Set Up
There are two locations for which the driving range can be set up. The north end is the side furthest from the clubhouse. The south end is the side nearest to the clubhouse.
Driving Range Contents:

• Din Caddies (filled with range balls)
• Dividers (item that separates each hitting area)
• Bag Stands (holds each golfers bag)
• Rope (designates the day’s hitting area)
• Alignment Sticks (tools for golfers to assist with alignment)
For North End…
• The driving range will be set up here on Monday-Thursday. These are the less busy days of the week.
• On these days, 12 hitting stations will be provided. Each hitting station is separated by the dividers.
• The rope should be placed on a row of grass that looks most suitable for hitting. This ensures that the members will have lush grass on which to practice.
• Each divider will be placed approximately 4 steps from each other.
• The bag stands will be placed with respect to the dividers. The left leg of the bag stand should be aligned with each divider, and placed approximately one large step from the dividers.
• The din caddies will also be placed with respect to the dividers. Each din caddie should be placed directly behind each divider.
• Two red alignment sticks are to be placed in each bag stand.
For South End
• The range will be set up here on Friday- Sunday, the busiest time of the week.
• On these days, 14 hitting stations should be provided.
• The same setup procedure will take place on this end, with the exception of adding 2 hitting stations.

Opening Shift: 6:30 AM – 7:00 AM
Pulling Carts
It is extremely important that upon arrival, members do not have to wait to use a cart. To make sure this is avoided, carts will be parked at the front of the club immediately upon setting up the range. (Note: It is not unacceptable for one employee to set up the range while the other is parking carts.) In total, Timarron CC has 74 carts. This is more than enough carts to ensure that any member who requests one at a given time, will be provided with one.
Short Game Area
At some point before 7 AM, two din caddies filled with balls along with two ball shaggers and a ball rake should be placed at the short game practice area. This is located across the bridge to the left of 10 tee box and to the right of 9 fairway.
Starter Shack Preparation
The Starter shack is located next to the first tee box. This is where members with tee times check in with the starter, and where those without tee times check for tee time availability. It is the cart staff’s responsibility to ensure that this area is provided with the following.
• Full cooler of fruit
• Tees
• Pencils
• Scorecards
• Pin Location Sheets
• Dry Towels
• Cold Ice Towels (only during summer months)
Bag Drop Preparation
Before 7AM, the bag drop should be prepared for the long day to come. It is the responsibility of the cart staff to make sure it is looking extremely presentable. This is one of the first things members and visitors will see. There should, at no point, be trash on or around the podium. It should be stocked full of the following.
• Tees
• Scorecards
• Pencils
• Dry Towels
• Pin Sheets
• Cups

Bag Drop Responsibility
As previously emphasized, the bag drop (podium) is one of the first things all club visitors will see. This is where first impressions are made. Keep the following in mind.
• After 7 AM, at least one cart staff member should be located at the bag drop AT ALL TIMES. The podium should never be left unattended during the day.
• When golfers pull up to the bag drop, promptly remove their clubs from their vehicle and put them onto a golf cart. When the golfer proceeds to park, drive their cart to their vehicle.
• When standing at the bag drop, greet EVERY member and visitor warmly. Provide a positive atmosphere immediately upon arrival.
• Constantly be on the lookout for parked carts that can be improved upon. Make sure each is fully stocked with tees, scorecards, towels, sand, and pencils.
• Have a wet towel handy so that you can always ensure that each cart is free of dirt and residue.
Keeping Busy
This period of time is dedicated to member service. This is when tee times and member needs are the heaviest. However, if a time comes when less than two people are needed at the bag drop, it is important to stay productive.
• Ensure that the range is always looking its best.
• Keep a continuous eye on short game. Don’t allow practice balls to remain scattered.
• When dirty carts begin to come in from the course, take them to the cart barn, clean them, and return them to the top.
• Make working conditions pleasant for the closers who come in at 1 PM.
• Closing Shift: 1:00PM – 5:00PM
Getting Settled In
When working an afternoon shift, it is important to arrive on time. The morning staff should not have to work overtime. Also, keep in mind, and afternoon shift typically consists of three carts staff members. Upon arrival, it is important to do the following.
• Check in with the morning crew and relieve them of their duty.
• Check in with the golf shop. It is helpful for each employee to know who they are working with.
Tending to the Bag Drop
Yes, it’s repetitive, but being responsible for the bag drop is second to none at Timarron, and during the afternoon hours, especially. Until closing time, it is primarily up to the employee to keep busy. During these hours, it is important to keep up with the following.
• Ensure that the range is always looking its best.
• Keep a continuous eye on short game. Don’t allow practice balls to remain scattered.
• When dirty carts begin to come in from the course, take them to the cart barn, clean them, and return them to the top. When things start to die down and a sufficient number of carts can be kept at the bag drop, carts can begin to be parked in the cart barn for the night.
• Keep things running smoothly and meet all requests.

Closing Shift: 5PM-Close
Closing the Range
The procedure regarding closing down the range has a few different variations dependent on the time of the week.
Monday-Wednesday…
The range will be set up on the far end.
Pick up all din caddies and alignment sticks and place them inside the cart barn. Make them accessible for the morning crew.
Move the range rope either backwards, forwards or to the side to provide lush grass for the next days range setup.
Move the dividers and bag stands in accordance to the rope.
Thursday…
The range will be set up on the far end.
Pick up all din caddies and alignment sticks and place them inside the cart barn. Make them accessible for the morning crew.
It is vital that the afternoon crew move the range rope to the near end of the driving range. As usual, find a lush row of grass for the following day.
Transfer all the dividers and bag stands to the near end of the range, and set up as normal.
Friday-Saturday…
• The range will be set up on the near end.
Pick up all din caddies and alignment sticks and place them inside the cart barn. Make them accessible for the morning crew.
Move the range rope either backwards, forwards or to the side to provide lush grass for the next days range setup.
Move the dividers and bag stands in accordance to the rope.
Sunday…
• The range will be set up on the near end.
Pick up all din caddies and alignment sticks and place them inside the cart barn. Make them accessible for the morning crew.
On this day, the afternoon crew will pick up all contents of the driving range setup and store them inside the cart barn. Make the contents accessible to the morning crew.
Other Nighttime Duties
The nightly responsibilities of the closing shift carry into the following day. To keep the club performing at a high level, it is important that the closing crew carry out these responsibilities to help those who work the next morning.
Carts
• Make sure all carts are accounted for at the end of the night. Make sure to double, or even triple count. Remember, there are 74 carts in total.
• Make sure each cart is sufficiently washed and stocked with all contents.
• Ensure that each of the 74 carts are plugged into a charger at the end of the night.
Cart Barn Maintenance
• Every night, each trash bag should be taken to the dumpster located at the front of the club.
• Every night, all dirty towels should be put in the washing machine to ensure that the morning crew is not short on towels.
