How to Submit Your 4-H Record Book ElectronicallyCreating and updating your 4-H Record Book illustrates the steps you took to set and achieve your goals – skills that will help you thrive in your future college and career journey! We are living in unprecedented times. This year we are piloting submitting record books electronically to help ensure everyone has the opportunity to participate in 4-H Record Books. Your 4-H Record Book is yours! So please, feel free to submit your 4-H Record Book the way you prefer, either deliver a physical printed copy or email an electronic file. A Good Place to StartRead the Metro 4-H Awards and Recognition 2020 Record Book Brochure (A&R Brochure) to remind you where to find the forms and how to assemble your record book. Write a cover page and divider pages. Open up a new document in either Word or Adobe Acrobat. For your cover page, type your name, birthdate, and county (see A&R Brochure page 3). Create separate divider pages by typing the divider headings (see A&R Brochure page 4). For example, everyone will have a ‘My 4-H Resume’ and ‘My 4-H Story’. You will need to create as many divider pages depending on the number of projects you did this past year and if you have pictures and letters of recommendations to share. Make sure you save your document!Update Your Records Download and fill out the 2020 application. You can edit the application in Adobe Acrobat by adding text. You can type “Y” in boxes (see orange arrow in image below). Remember, signatures are not required this year! 4009390215265100Now it is time to update your 4-H Record Book with your activities and achievements in the 2019-2020 4-H year (see A&R Brochure for official record forms). Make sure you save your progress by saving the files to your device. Format Your 4-H Record Book FormsConvert your files into one format. Since most of the official forms are in .pdf file format, it is easier to convert all your .doc files into .pdf files. You can do this multiple ways. In your word document, go to Acrobat and select Create PDF (see orange arrow). -5746889058800Or you can go to File, then Save as Adobe PDF. You can also change the file type when you go to Save As, after you select where to save your file, by selecting PDF under Save as type drop down menu. 647700131445000256857201834800Assemble Your 4-H Record BookCombine all your files into one large file. If you have electronic files for your whole 4-H Record Book, you can combine your files in multiple ways. In Adobe Acrobat, open up one of your files and go to Create and Combine Files into Single PDF (see orange arrow). Then drag and drop all of your electronic 4-H Record Book Forms. 48545857181900Or go to the thumbnail view, and depending on where you want to insert a file, select the page and right click for insert pages. From there you can select the file you want to insert and if you want the file to go before or after your selected page. Not all versions of Adobe Acrobat has the two previously mentioned capabilities. You can also use PDFJoiner to combine all your .pdf 4-H Record Book Forms together into one file. It is free. Select Upload Files then drag and drop all files you want combined and click join files. Your combined file will appear in your download folder. Remember to follow the A&R Brochure to assemble your forms in the correct order. Make sure you save the files to your device. Scan Your Printed 4-H Record Book FormsIf you don’t have electronic files of your previous 4-H Record Book forms, you can scan your printed 4-H Record Book using your phone or tablet. If you have an iPhone or iPad, open the Notes app and select a new note. Then select the Camera icon and Scan Documents. Use your phones camera to scan your 4-H Record Book forms. Try to be in a room with good lighting to help make sure your writing is readable. Take a picture of the page and adjust the scanned area by dragging the points to the page. Scan as many pages as you need and when you are done hit save. You can email the scanned document to yourself by hitting the box icon with the up arrow. For Android phone users, you can use the Google Drive app the same way as Notes. Follow the same directions above to assemble your 4-H Record Book in the correct order.
