Logging in to TEAMS

? Web Address for TEAMS

? Your User ID is the same as your Novell (computer) username.

? Your password is the same as your Novell (computer) password and is case sensitive.

TEAMS Login Screen

Accessing TEAMS

? There will be a link to TEAMS on the Georgetown ISD home page and on your campus website's home page.

? You can also make a shortcut to TEAMS on your desktop:

o Right-click on your desktop. o Select New, and then select Shortcut. o Type the TEAMS website address: o Click Next. o Type a name for the shortcut, such as TEAMS. o Click Finish. o The shortcut to the TEAMS website will appear on your desktop. Double-click it to access the website.

? Or you can add TEAMS to your Favorites in Internet Explorer:

o In Internet Explorer, go to the TEAMS website: o Click the Favorites menu. o Select Add to Favorites... o Type a name for the favorite link, such as TEAMS. o Click Add. o To access the website in the future, open Internet Explorer, click the Favorites menu, and select TEAMS.

Layout and Navigation

TEAMS Home Page

? After logging in you will see the TEAMS Home Page view, similar to the picture above.

Menus at Top Left of TEAMS Window

? You can return to the Home Page at any time by selecting Home from the Home menu at the top left of the screen.

? To Sign Out, Select Sign Out from the Home menu at the top left of the screen.

? NOTE: As a security measure, the system logs you off after 20 minutes of inactivity. o If you are logged out of the system automatically, any unsaved changes will be lost.

? HELP! TEAMS includes searchable online help with instructions and screen shots for common program functions. Select Online Help from the Help menu at the top of the screen for program assistance.

? The Home Page is grouped into Menus.

o As an example, the Teacher Menu is shown to the right.

o Click the triangle arrow at the right side of the menu title bar to expand or collapse a menu.

Take Classroom Attendance in TEAMS

Opening Attendance Rosters

? On the Home Screen Teacher Menu, click Take Classroom Attendance.

o NOTE: After you use the Teacher Menu for the first time, it will also appear at the top of your screen between Home and Help menus. You can use this menu the same way you use the Teacher Menu on the Home Screen to move through the program more quickly.

? When you click the Take Classroom Attendance link from the home screen, you are taken directly to the Student Roster tab which displays the class roster for the current class period if o the current time falls within a single class period on the current day

? NOTE: The Seating Chart tab may also display here depending on your default settings. More on this later in the document.

? When you click the Take Classroom Attendance link from the home screen, the Classroom Attendance tab is displayed with a list of your current class rosters if o the current time does not fall in a class/attendance period o more than one periods fall within the current time o you teach more than one class at the current time and they are not connected (merged)

? The Attendance Date field defaults to the current date, but you can change it to view absences on a previous date.

? Double-click a class to open the Student Roster tab for that class.

Student Roster Tab

Choose Your View from the View Field/Menu

? You can take attendance in one of two views: o Class Roster in List View ? Students are listed alphabetically in a traditional roster format.

o Seating Chart View ? Shows photos of students and can be arranged and rearranged by the teacher. The chart name in the drop-down menu will vary depending on how you set it up. There will be instructions on setting up seating charts later in this document.

? You can make a note on a student's absence or tardy reason for the attendance clerk by clicking the reason link which appears after a student is marked absent or tardy.

? If you click a Reason Link to make a note to the attendance clerk, type your note, then click OK to save it.

? After you type a note, or if the attendance clerk leaves a note for your information, a check-mark will appear on the student's row or square. Click the icon by the checkmark to read the note. You can also click this icon to edit a note which you added.

How to Post Attendance

? NOTE: Even if all students are present, you must Post attendance.

? Review the screen on which you are working to verify that all students have been marked properly.

? Click the Post button. The system displays the Attendance Confirmation tab.

? Review the Attendance Confirmation tab to verify that the record is correct.

? Click the OK button.

? The system saves the attendance record and displays a green checkmark (9) in the Posted column in the Classroom Attendance tab to show that you have posted attendance for that class.

? You can double-click any class on this tab to open the attendance roster for that class.

Resubmitting Attendance (If Necessary)

? If a student arrives late to class, you must resubmit attendance.

? To resubmit attendance, from the Home Screen Teacher Menu, click Take Classroom Attendance

? If a list of your classes displays, double-click the name of the class you need to resubmit or select the correct class from the Course/Section dropdown menu if you are in a different class. The name of the course will be highlighted in green since you have already taken attendance for that class.

? Change the student's status from Absent to Tardy or Present by following the complete attendance procedure again for that class. Don't forget to click OK and Post at the appropriate points in the procedure.

Important Notes on Attendance:

? You will have a time limit on submitting attendance. o Elementary campuses ? Must submit attendance by noon o Secondary campuses ? You have 2 hours from the end of the class period to submit attendance.

? It is very important that you submit attendance on time every day (at elementary) or for every class period (at secondary). The district is required by law to submit attendance, and our Average Daily Attendance (ADA) funding depends on having accurate attendance records.

Friday Attendance Report

? The Friday attendance report will be printed by your attendance clerk and placed in your mailbox for signature.

Viewing Detailed Student Information in TEAMS

Attendance Screen Icons for Accessing Student Information

? On the Class Roster in List View screen, there are up to seven icons with student information listed on the far right of each student's name.

Click to open the Links/Attendance Note box for viewing or adding notes about a student's attendance.

Click to open the Student Picture box and view a student's photo, if has been uploaded to the system.

Click to open the Student Summary Data tab and view details, including demographic, enrollment, and contact information.

Click to open the Schedule box and view or print a student's schedule.

Click to view a summary of a student's absences for the current year for all campuses. If the student has an absence in any other period in the day on the selected date, this icon is red instead of blue

Click to view Report Card tab and Progress tab information from the Grading module.

If the student has non-private health information that you are allowed to view, this icon is displayed in red. If the student has no health information that you can view, this icon is not displayed.

? Click the icon for a student. The system displays the Student Picture box. A photo of the student will display if it has been uploaded to the system.

? Click the OK button to return to the tab on which you were working.
