Application deadlines are no longer tied to specific periods of research activity, but are valid for requests for conference grants up to 12 months in advance and research grants up to 10 months in advance.

If you have not yet received required supporting documents (such as a letter of acceptance for a conference presentation or letter of acceptance from the host institution for study abroad/exchange), you can still apply, and approval of the proposal will be granted pending receipt of the missing documents.

When applying, please make sure to use the appropriate application form for each grant. The forms can be downloaded from the Website:



The application forms are Microsoft Word files. Please download them, fill them out electronically, then print and submit to your department. Handwritten applications will not be accepted.

When traveling to a conference or for study abroad, we request that you take along some of our promotional material to place on a conference table or distribute in some other way. Types of Grants

1. Conference Grant: A maximum of $2,000 for assisting with expenses for delivering a paper at a recognized conference.

2. Research Grant: A maximum of $3,000 for assisting with expenses for:

a) supplies, services and/or data which must be purchased from external sources

b) publishing costs of reprints, page charges, and preparation of manuscripts for publishing.

3. Study Abroad/Exchange Grant: A maximum of $5,000 for assisting with airfare, health insurance, accommodation, and living expenses abroad. Applicants must be accepted as non-degree students or as visiting scholars, for up to one semester, in an institution with transferable credits to AUC.

Supporting Documents

In addition to the relevant application form, the following supporting documents are needed:

Conference Grants

1. Brochure and/or the official description of the conference

2. Letter of acceptance of the paper at the conference

3. Abstract, description of presentation, or full-length paper if available

4. Importance of the conference and its relevance to your graduate studies at AUC

5. Record of other grants received from AUC, if any

6. Research record

7. Letter of support from the thesis supervisor at AUC

Research Grants

1. Research project description

2. Detailed budget and justification of expenses

3. Prospect of possible publication of research findings of the project

4. Record of other grants received from AUC, if any

5. Research record

6. Letter of support from the thesis supervisor at AUC

Study Abroad/Exchange Grants

1. Letter of acceptance from the host institution

2. Statement of Purpose

3. Description of courses where applicable

4. Record of other grants received from AUC, if any

5. Letter of support from the thesis supervisor at AUC

Budget Preparation

1. Travel: If support for air travel is requested, please give the flight route relevant to your project. Travel fare is calculated as Cairo-destination-Cairo. Your travel ticket will have to be issued by the AUC Travel Office.

2. Per diem: $225 per day towards expenses for travel abroad (this is not applicable for study abroad/exchange grants)

3. Estimated expenses for accommodation for study abroad/exchange grants: give the number of months and cost per month

4. Estimated living expenses for study abroad/exchange grants: give the number of months and cost per month

5. Conference Registration fees: Basic conference registration fees (students' rate)

6. Visa costs: Cost of obtaining an entry visa

7. Cost of health insurance for study abroad/exchange grants: as per the requirements of the host institution

8. Data processing and materials: Applicants should explore the use of departmental and computer center personnel and facilities for data processing and materials. However, if funds are requested, a detailed breakdown of the cost is required.

Eligibility

All graduate students in good standing (GPA 3.3 or higher) at AUC, and having completed a minimum of 12 credits, are eligible to apply.

Those who are within one year after graduation and intend to present the results of their MA/MS or PhD thesis at a recognized professional conference may also apply.

A graduate student is allowed only one conference grant per academic year (September 1 to August 31). Preference is given to those who have not received a grant in the previous year.

A graduate student cannot hold a research grant and a study abroad grant simultaneously.

Reporting Guidelines

Graduate students who receive a support grant are required to submit a comprehensive technical and financial report to the student’s Department Chair for evaluation within four weeks from the end of the activity, as specified in the award letter. The Department Chair will then submit the final report, together with the departmental evaluation to the Dean of the School with a copy to the Dean of Graduate Studies.

Grant reports will only be accepted if they are submitted on the official report forms, which can be found on the same page as the present document:



Please note that no one will be eligible for a new grant if a report on a previous grant is missing.
