Introduction

In January 2019 the New Zealand Association of Scrabble Players (NZASP) entered into a partnership arrangement with Ryman Healthcare Ltd.

The arrangement gives us: x potential free use of venues throughout New Zealand for club tournaments and meetings x a contribution towards prize money for our two major annual tournaments, the Nationals and Masters x a contribution towards our World Championship fund.

In return, we will: x advertise Ryman in Forwords x promote Ryman at events through signage and other methods x help Ryman retirement villages with their Scrabble setups, if they are interested.

This guide is for clubs wishing to enter into a relationship with their local village(s).

Initial contact

The club president (or other office bearer) should make the initial contact. You should phone the sales advisor in the first instance (or possibly the regional sales and community relations manager). See Appendix 1 for a list of all clubs and contacts at Ryman Villages near you.

Explain that you are seeking to establish a local partnership as provided for in the agreement between Ryman Healthcare and NZASP. If the sales advisor wishes to check it out, they should contact Debbie Komarkowski at Bob Scott Retirement Village in Petone. She is NZASP's key contact. If the sales advisor is interested, ask for an appointment to discuss what each party may want to contribute and benefit from in a local partnership arrangement.

Your club's contribution

All villages have activities programmes designed for resident categories such as people living independently; those who receive additional support; and those who require rest-home, hospital or special-unit care.

The activities programmes are thoughtfully planned, are age-appropriate and ability-appropriate, and make the most of the village facilities. The programmes cover all aspects of wellbeing, including physical activity, social engagement, intellectual stimulation, creativity and embracing culture and spirituality. Check out your local village's current activities programme on their website (listed in the chart below, Appendix 1). The Appendix tells you whether the current programme includes Scrabble.

Each village has dedicated recreation/activities staff. The sales advisor can arrange for you to talk to them. We suggest you feel them out about Scrabble and what level of help they might like.

Where a Scrabble group doesn't already exist on the programme, you might offer to:

x help organise a Scrabble group x find out from residents and activities staff how they want this group to be run x get agreement on the group's format, e.g. number of players per game, timing and

frequency of sessions x get agreement on rules of play and word source ? remember, this will be much more

relaxed, social and low-key than your club sessions.

For existing Scrabble activities, you might:

x advise on format, rules of play and word source (as above) x donate spare equipment, e.g. older turning boards, out-of-date dictionaries, analogue clocks x provide score sheets, word lists etc x give subtle advice to residents on how to improve their game ? but only if they request it x organise an inter-village Scrabble competition x promote the village at your own club meetings and tournament.

In both the situations above, only offer the club's help if the village has expressed interest.

The village's contribution

Villages are usually keen to connect to their local community, as a core part of their marketing and sales strategy.

Among the contributions they may be prepared to make to your club are:

x free or low-cost use of their premises for club tournaments and/or meetings x catering for club tournaments x contributing to prize money for club tournaments

Documentation

Any agreement should be documented so each party is clear about their role. This should cover:

x what each party will contribute x timing of specific events x location of specific events x security arrangements for after-hours access, if required x equipment storage x catering arrangements x advertising and publicity x key contacts.

An example of a local agreement is included at Appendix 2. This has since been added to by email exchange between the parties. (Of course, this event, the 2019 Masters, has now been held.)

Please copy in the NZASP executive (contact details on the NZ Scrabble website or in Forwords) to any documentation. We also ask that you keep us in the loop about ongoing arrangements between your club and the local village(s). Additionally, please let us know if any contact details for your local village(s) have changed.

Appendix 2: Whanganui club report to NZASP executive

NZ Masters tournament ? Ryman Healthcare ? Easter 2019

On Friday 11 January 2019, Betty Eriksen and I attended a very productive meeting at the Jane Winstone Retirement Village (JWRV) with Maureen Johnson, Sales Advisor.

We reviewed the venue and discussed sponsorship by Ryman Healthcare for the Masters tournament to be held at Easter 2019, April 20?22.

Ryman Healthcare via the JWRV offer the following:

x Use of the Atrium, tables and chairs for the playing area (pics attached) x Use of the adjacent lounge for a breakout area, results sheets display etc x Supply of morning and afternoon teas, and lunches for 30 people for three

days x All-day tea and coffee plus water stations x Supply of `goodie bags' including pens and pads, for all players x $500 for tournament prizes [provided by Ryman head office, as part of

the wider agreement] x Storage of computers and playing equipment overnight x Hanging of Masters banner above the playing area x Set-up for tournament on the Thursday ready for play at 8.30 on

Saturday morning. Start time each day will be 8.30am, lunch 1pm.

The Atrium is an open space with plenty of light. It is surrounded by two levels of independent-living apartments. There will be some light traffic from the apartments to the adjacent dining room but residents will be directed away from the playing area. There is very soft, unobtrusive music playing. There are adequate power points for computers though we will need extension cords.

Because the Atrium is an open space, we will need to pack up all gear each night. Maureen's office is a short distance from the playing area and will be locked.

The tables are sturdy trestles and will easily accommodate two games per table. The chairs are very comfortable. (See pics)

The lunches will be buffet style ? cold meats, salads, bread rolls, sweet slices and fruit platters. Lunches will be served at 1pm each day after the residents have dined.

There is no parking on site. However, it's a very short walk from the road outside the gates.

NZASP obligations:-

x Mention of Ryman Healthcare in any publicity re the Masters x Use of Ryman Healthcare logo on scoresheets, posters etc x Mention of Ryman Healthcare at opening and closing of Masters x Whanganui Club to assist with setting up the venue on Thursday 18 April x Whanganui Club to add to goodie bag contents x Whanganui Club to repair the Masters banner and add hooks/loops to

facilitate hanging.

Unrelated to the Masters, we also offered to hold Scrabble sessions at the JWRV. This would be arranged separately with the village's recreation officer.

Summary

The Jane Winstone Retirement Village is a beautiful, upmarket venue. Maureen Johnson was very welcoming, and Betty and I were overwhelmed by her eagerness to accommodate our every need. Maureen is also writing a report on what Whanganui Club and JWRV have agree on. I will forward this to the executive as soon as it arrives.
