Post Title: HIVE Information Support Officer

Grade: C4

Responsible to: Area HIVE Manager (AHM) North

Vetting Requirement: Cat 3 & enhanced DBS

For regular employment with Germany Central

1. GENERAL

The HIVE Information Support Officer (HISO) is responsible for providing up-to-date and relevant information support and signposting to the local Service community.

2. MAIN DUTIES

1. Respond in a professional and timely manner to enquiries in person, by phone and email from the local Service community, in co-ordination with HIVE colleagues and the local unit(s) and through research where necessary

2. Identify and respond to the specific information needs of the local Service community. Engage and liaise with local military and HIVE Chain of Command (CoC) and all relevant stakeholders including key Service and civilian agencies. Through these contacts source, deliver and maintain information that is accurate and up-to-date and share it with colleagues

3. Respond to new information support needs of the local Service community as requested by the local Unit(s) and HIVE CoC

4. Work with the local unit/station and HIVE CoC to deliver HIVE deployment and relocation information support as required

5. Signpost customers to appropriate MoD and external support agencies, working within the Army Code of Confidentiality.

6. Provide feedback to the local unit and HIVE CoC about Service community issues based on customer interaction and enquiries.

7. Manage the day-to-day running of the HIVE information office and any other outreach services within the area of responsibility (AOR), ensuring a high standard of presentation for information displayed or communicated to the Service community.

8. Collect accurate performance measurement data as directed by the CoC and complete timely monthly reports and statistical returns.

9. Complete mandatory, functional and personal development training as required and in discussion with Line Manager.

10. Work in accordance with appropriate MOD policies and procedures, Standard Operating Instructions (SOI) and within the Army Code of Confidentiality.

11. Undertake any other duties within the terms and conditions appropriate to the grade and role as directed by the Line Manager/Chain of Command.

3. OTHER DUTIES

a. On request of the employer, he/she must attend courses which are suitable to improve professional skills.

b. Carries out any other reasonable duties which are within the scope of the employer’s right of directive.

4. DRIVING OF DUTY VEHICLES

Is not required to drive duty vehicles.

5. OVERTIME/WORK ON SUNDAYS AND/OR PUBLIC HOLIDAYS

Must work overtime at request of the employer.

6. SHIFT WORK/ROTATING SHIFT WORK

Regular shift work or rotating shift work is not a feature of the employment.

7. ON-CALL DUTIES

On-call duties are not a feature of the employment.

8. MEDICAL

A medical examination is not a prerequisite for this employment. However, must undergo medical examinations in accordance with Health and Safety at Work provisions or other relevant provisions as necessary.

9. REQUIRED PROFESSIONAL QUALIFICATIONS/EXPERIENCE

a. Essential

• Excellent oral and written communication skills in English. This should include, for example, the ability to present at briefings and to provide short HIVE updates on British Forces Broadcasting Service (BFBS) radio (training and support will be provided)

• Strong interpersonal and customer service skills, across a wide customer base

• Experienced user of IT including Microsoft applications

• Highly organised with a high degree of accuracy and able to work unsupervised on a day-to-day basis

• Experience in handling information (research, compile, disseminate and store information).

• Experience of working as part of a local and a geographically-dispersed team.

10. HEALTH AND SAFETY AT WORK

He/she is obliged to take care of his/her own safety and health at his/her place of work within his/her ability and in accordance with the instructions and orders of the employer. Furthermore, he/she is also obliged to take care of the safety and health of persons who are affected by his/her actions or omissions at work. Within the frame of the aforementioned rules he/she is especially required to use machinery, equipment, tools, working substances, working materials, transport aids and any other working aids as well as protective equipment and the issued personal protective equipment in accordance with the requirements. He/she is to report any direct and considerable danger to health and safety as well as failures of the safety systems to the employer or the relevant supervisor without any undue delay.

11. TRAVEL EXPENSES

The post incumbent is not entitled to payments for kilometres driven to and from his/her place of work to residence. If the post incumbent is required to perform his/her duties outside the employment agency, he/she will be entitled to travel claims in accordance with the current regulations.

12. ORGANISATION CHART

The post incumbent’s position in the organisation is shown below; this may change due to reorganisation or a redeployment and addition to staff.

A change of the organisational chart upon a reorganisation, a redeployment or addition to staff will not require a notice to change of employment contract. The post holder will be given a new organisation chart upon the change.
