READING AND APPROVAL OF SUMMER MEETING MINUTES: Dianne Moreland moved to dispense the reading of the summer meeting minutes. Natasha Geno seconded the motion. MOTION CARRIED.CORRESPONDENCE: See Judy Kronenberger’s Fall Board reports for all correspondence. Report # 1.Having an AAMA representative at State Conference: Many States are not always having an AAMA Rep at their State Conferences. We are fortunate as we have 2 AAMA representatives from Ohio. Prior to Fall Board Meeting the Executive Committee elected to have the AAMA rep at our Summer Leadership Program next year. Judy will revise her report stating Executive Committee voted, NOT Board. See Judy’s report for Upcoming Exhibits and Sponsorships. Additional correspondence passed out from Judie Alessi: Reminder to anyone that would like to sit for the HOD they must have their dues paid by December 31st. Reminder to Chapter Presidents to contact their local members about deadline. The HOD reports for 2020 Conference will be due 2/1/2020. The HOD packet will be distributed by 2/27/2020.OFFICER AND DISTRICT COUNSELOR REPORTS:Dianne Moreland moved to dispense the reading of the Officer and DC reports. Judy Harlan seconded the motion. MOTION CARRIED. ORAL DC REPORTS: DC # 5 - Mary Elizabeth Browder states they are busy working on 2021 Conference, Jennifer Dietz will discuss updates. They are having a CEU event November 9th.DC # 3 – Jennifer Young states they are busy planning upcoming CEU events for Jan 25th and April 25th with the possibility of 4 CEU’s – Speakers and locations will be around Lima, OH.DC # 6 – Dianna Rogers mentions that for the past MA Week – The Mayor of Canfield, OH presented a Proclamation to kick off the week and recognized the value of Medical Assistants. COMMITTEE REPORTS: Report # 20 – Judicial Council: Natasha Geno no additional to report. Report # 21- Advertising: Melanie Shearer no additional to report. Report # 22-Articles/By-laws: Aimee Wicker states and reminds us that there are recent by-law changes. She is sending out all the changes to the By-laws to the Chapter Presidents which then they will need to update their Chapter bylaws and turn back into Aimee as soon as possible – before January. Report # 23- Awards: Julie Fogt no additional to report. Report # 24 – Mary Buckley: Carol Watts has sent out letters to over 40 schools for the Mary Buckley scholarship. We will be giving 5 scholarships this year. We raised $ 260.00 in Raffles today. Thank You Dr. Tabb for donation. Report # 25- Budget/Finance: Agnes Root states to review Report # 4 – Treasurer’s Report. Conference Stipend was missed. Report # 26 – Bulletin: Melanie Shearer no additional to report. Helping Hands will be sent out shortly.Report # 27 – Chapter Liaison: We have had no news from the Firelands Chapter. Aimee Wicker states at this time we need to notify AAMA to stop all checks going to the Firelands Chapter. President Kronenberger needs to send a Certified letter to Firelands Chapter to request back ALL funds need to be turned into the State – OSSMA. Judy Kronenberger will contact Don Balasa on the proper protocol. Report # 28 – Continuing Education: Julie Fogt no additional to report.Report # 29 – Conference 2019: Carol Watts passed out the final Budget report for review.Report # 30- Conference 2020: Judie Alessi states to please review Report # 30 for Conference registration and schedule. She states plans are going well with the venue and planning. Missing from the registration is the discount price for past State Presidents. Report # 31- Historian: Julie Fogt passed out an example of a Photo Book she put together using Shutterfly. She feels the Shutterfly book is the best product for the price. We can use vouchers which will pay for the price of the books. We may also go digital with a 15-inch continuous photo frame. Aimee Wicker can donate the continuous frame. Amy McMasters moved to obtain an OSSMA Shutterfly account. Mary Elizabeth Browder seconded the motion. MOTION CARRIED.Historian only has a budget of $ 50.00 – we need to decide on budget for Historian and decide whether to use vouchers for Shutterfly or use the continuous digital photo frame – This was tabled and put on next meetings agenda. Report # 32 – Membership: Membership Committee will be having a conference call on November 11th.Report # 33 – Nominating: Amy McMasters states the Nominating Committee is currently taking nominations for 2020. The nominations are due 12/20/19. If you miss the deadline; all other nominations need to be signed and turned in prior to HOD 2020. Report # 34- Policy Handbook: Natasha Geno no additional to report. Report # 35 – Public Policy: Lora Wilson no additional to report. Report # 36-Public Relations: No additional to report.Report # 37- Strategic Planning: Aimee Quinn no additional to report. Report # 38- Ways and Means: Jennifer Young has misplaced the list of volunteers for the Ways and Means Committee. Please see her if you signed up.Report # 39- Webmaster: Jennifer Dietz reviewed Report # 39. Jennifer states that as of August 15th the domain name is back in our control. The total cost was $249.99. The domain name: . We now own it until July 2020. We need to make it private. Carol Watts moved to make the domain name private. Natasha Geno seconded the motion. MOTION CARRIED. Jennifer states now that we have the domain back; we need to house it. Currently it is housed through WIX which expires 4/17/2020. This cost us $155.00 per year with $5-6 per email versus having a company host site like HOSTGATOR - see report. Natasha Geno moved to house the domain with HOSTGATOR for three years. Dianne Moreland seconded the motion. MOTION CARRIED. Jennifer states in the past she has used her personal credit card to pay for expenses for the State website and then the State would reimburse her. Suggestion was made for us to obtain an OSSMA Credit Card. Aimee Wicker states the AAMA has credit cards that she uses, and we need to find out how the AAMA organizes this and to possibly follow their example. She will investigate this and report back to the Board. Dianne Moreland moved for the Treasurer to cut a check today to Jennifer Dietz so she can start on the new website rebuild. Mary Elizabeth Browder seconded the motion. MOTION CARRIED. Report # 40 – Social Media: Clare Hays no additional to report. Report # 41- Emergency Dues: Carol Watts reminds us to submit anyone who needs assistance for their membership dues to please submit. Report # 42- Partnership Task Force: Cheryl Kuck has an upcoming Task Force meeting; she will send out her report from her meeting. See Attached. Report # 43- Leadership: Aimee Wicker no additional to report. Report # 44-Sunshine: Natasha Geno mentions a card will be going out for Judy Heffner – recently diagnosed with pancreatic cancer. She is in our prayers. UNFINISHED BUSINESS: Website – previously discussed.Conferences Costs/State: Any further discussion: Judie Alessi states that we voted on this at the Summer Board meeting. She read the meeting minutes lines 75-77 which state: “Discussion over the hosting Chapters for State Conference and retaining profits. Natasha Geno moved to go with a 5-year continuance of hosting Chapter’s retaining any profit. Dianne Moreland seconded the motion. MOTION CARRIED. “The subject of hosting Chapters for Seminars and State Summer and Fall Board Meetings. Currently the hosting Chapters split the earnings with the State. Mary Elizabeth Browder moved that hosting Chapters for State Board Meetings including Summer and Fall Board meetings keep all funds. Starting with today’s meeting. Natasha Geno seconded the motion. MOTION CARRIED. NEW BUSINESS: 1. Exhibits/Co-Sponsors. The OSMA Symposium is scheduled 3/20/2020. Registration is due 12/12/19. Diana Rogers moved for the OSSMA to obtain a 1st tier table at the OSMA Symposium at the cost of $750.00. Clare hays seconded the motion. MOTION CARRIED/APPROVED. There will be an OACHC event June 8-10th, 2020. This was tabled until more information is obtained. MGMA – managers are the ones who hire MA’s. Julie Fogt will obtain more information and report back to Board. Dr. Tabb discusses the value of the CMA credential and the quality of recent hired MA’s. Aimee Wicker discusses the new AAMA pilot program. 2. AAMA rep at State Conference. The Executive Board elected to have the AAMA rep come to our summer Leadership Program. 3. Winter BOT meeting/Conference Call. It was agreed to have the Winter Board Conference Call on Saturday January 11th at 10:00 AM. Amy Adams will send out the correct phone number for everyone to use. Aimee Wicker suggests WebEx - a free teleconference site that the AAMA uses. Winter Board reports will be due to Amy Adams 12/20/19. Please send to adamsa44@.ANNOUNCEMENTS:Judie Alessi and Aimee Quinn recommend All membership dues paid by 12/1/19. They will get the delegate counts out as soon as possible.
