We are very much looking forward to your participation at the State of the Science Conference at Georgetown University National Technical Assistance Center for Children’s Mental Health in September. Conferees will address policy issues that impact persons in recovery as they develop meaningful work and most importantly, careers.

Attached is a document explaining travel, lodging, per diem expenses and reimbursement procedures for the State of the Science Conference on September 25th (half day beginning at noon) and September 26th (full day) in Washington, D.C. Also included is the form to be submitted along with receipts in order to process reimbursement. Please note that hotel reservations must be made no later than August 24th in order to receive the conference rate.

We strongly encourage booking flights as early as possible in order to get the least expensive rates. Feel free to contact me directly if you have questions or need additional information. Thank you for your participation.

Travel and Expense Information for the State of the Science

Conference September 2013 at Georgetown University

Airfare:

• It is urgent that airlines tickets be purchased right away to avoid the much higher rates that occur at the last minute.

• Option 1: You may book your own airfare if you find you can get a good rate, and then be reimbursed for your ticket. You will need to provide the original receipt.

• Option 2: You can book your airfare through the Boston University Travel Service (BCD Travel) by calling: 617-353-1700 or 866-535-3238 between 8: am and 8 pm Eastern Time. In this case you will not have to pay in advance. It will be billed directly to B.U.

Hotel:

• A block of rooms has been booked at the Holiday Inn across the street from the conference center. You will need to call the Holiday Inn, 2101 Wisconsin Avenue, NW, Washington, DC 20007, Phone: 202.338.3120 ext. 7253 to let them know when you will arrive and when you will depart. If you plan to make other arrangements, please let us know. Hotel reimbursement is limited to $169.00 per night plus tax.

• For the most part attendees will be staying one night unless travelling from a considerable distance (or attending both conferences at Georgetown) in which case the nights will be two. The Holiday Inn will want you to hold the room with a credit card even if the Center is paying for the room.

• Make sure you confirm your stay no later than August 24th.

Meals, ground travel & other expenses:

• You may purchase meals, ground travel and related expenses on your own and submit for reimbursement as long as you can provide the original receipts for each item. These expenses should stay within a $53.00 per diem for Sept. 25 and $75.00 per diem for Sept. 26.
