2. Types of Outbound Messages

A message is sent to the hotel reservation system whenever action is taken on a specific property. Although the content of each message varies, depending on whether the message represents a new booking, a cancellation or a change, the location and sequencing of the different elements remain constant. The different types of outbound messages are listed below.

There are 10 basic elements of a hotel message. They are listed below.

3.1 Address of Recipient. Composed of 7 letters in the format below.

3.2 Communication Reference. Indicates if the message is from the Apollo, Galileo or Gemini Global Distribution System (GDS) or a United Airlines reservation office.

3.3 Message Identifier. Three-letter code used to identify the type of message.

The identifying tags are:

CHG - Changing previously held reservation.

CNL - Canceling

If no identifier is shown, the message is a new booking and does not involve changes or cancellation. However, messages with the tags CHG or CNL may also contain a new booking. This can only be determined by reading the text of the message.

In addition to the above, there are two message tags which are used by the ARINC/SITA network. If used, these message tags will precede the basic elements of a hotel message. When these message tags are received, take the appropriate action.

COR (Correction to Previous Message). This warns the receiver that a previous message was received containing an error in transmission.

PDM (Possible Duplicate Message). Again, due to transmission problems, this warns the receiver that this may be a repeat of a previous message.

NAR (New Arrival Information). This is sent for a Type B hotel booking when the arrival flight changes.

RQR (Request for Reply). If a segment is Pending Need, we send a RQR requesting space. UAF police generates this message if a vendor hasn’t responded in sufficient time.

3.4 Record Locator Element. The record locator element consists of the message origin, record locator and booking originator.

a The message origin: either a GDS designator (QTS1V) or a reservation center designator (CHIUA).

b The record locator consists of 6 alpha/numeric characters. These characters are computer-assigned.

c Booking source: either the pseudo city (GL1) of the agency that made the booking or the reference number (A123CY) for the reservation center where the booking was made.

3.5 Number in Party - Name Element. Includes the number and name(s) of customers requiring room reservations. Two or more names may appear on the message when the same reservation applies to all names. This information comes from the name element (N:) of the PNR. This is different from the optional (NM-) name field which is discussed under Optional Fields.

a. The name will always be prefixed with the appropriate number of people having that family name.

b. When hyphenated or double family names are involved, the hyphen will be eliminated and displayed as 1BRYCEBUCHANAN.

3.6 Name Change. This element identifies a name change on a previously confirmed reservation. The message contains the original customer's name followed by the code CHNT and the new name.

When the customer's arrival is unknown or via other means than scheduled airline service, the code ARNK will be used in lieu of the airline flight segment.

3.8 Hotel Segment. The hotel segment is rigidly formatted and contains all information necessary to complete the hotel transaction. The hotel segment is discussed in more detail in the pages that follow.

3.9 Other Service Information. This element of the message is optional and not intended nor required as part of the hotel booking. Its primary use is an internal airline advisory for customer special requests and services. There are times that it may be included in the hotel message. If the information or request is not pertinent to the hotel reservation, it should be ignored.

3.10 Address. When booked by a United Airlines reservation center, the customer address will be included as part of the booking message if the agent included a W- field. If the booking was made by a travel agency, the agency address will be provided instead. The address is the last item in the message and is preceded by a tag of ADR.

Note: The above can be varied by hotel company. In most cases, hotel company chooses to have the agency address printed under the ADR tag.

4.1 Mandatory Fields

4.1.1 Hotel Segment Identifier

4.1.2 Hotel Chain Code

4.1.3 Action Code and Number of Rooms. One of five different action codes may be used. To determine the necessary action, each hotel segment must be reviewed and acted on accordingly.

a. SS - Sell. Space has been confirmed to customer.

b. XX - Cancel. Reservation as shown should be canceled. May be followed with new booking segment which in effect changes the room type, number of rooms, rate or number of nights.

c. HK - Holds Confirmed. No change to mandatory data. May involve changes in optional data if and when the message contains the tag of CHG. Recorded in the PNR at ET as long as the room type is available in RoomMaster, or until the hotel changes status. HK is sent when changing an SI field or other optional data. No cancel/rebook is involved. The vendor goes through all the items in the message, separated by a “/”, in order to see the optional information that has changed.

d. NN - Request. Space has been requested for customer.

IN - If not holding, Need. If no reservation held, requesting one. (An IN will be generated every 24 hours if a confirmation number is not returned or if the reservation is not UCd.)

IS - If not holding, Sell. The agent may change the status of a hotel segment previously on request (NN) and resend the message when they have not yet received a confirmation number from the vendor. On a current session Type A Link Product II vendor booking, where the link has timed-out, an IS is sent automatically, depending on the Teletype agreement. We send this so the vendor will confirm the segment. It goes to a queue at the vendor’s location.

IX - If not holding, Cancel. The agent may change the status of a hotel segment previously on request (NN) and resend the message if the guest wishes to cancel and they have not yet received a confirmation number from the vendor.

e. HN - Holding Need

Sent on a modify of non-critical information when a room type is on request (need/need) status in RoomMaster and the segment has not yet been confirmed by the vendor. This is filed as a PN (Pending Need) status.

In addition to the mandatory information contained in hotel segments, other optional elements will be included when applicable. They are listed below.

4.2.1 Notifications

ADV DEP

Advise deposit is appended to hotel segment when a deposit indicator is set for given date(s).

ADV GTE

Advise guarantee is appended to hotel segment when a guarantee indicator is set for given date(s).

ADV XPM (Where X = late check-in time)

Appended to the hotel segment to stress guarantee check-in requirements. May reflect any time established by specific property.

4.2.2 Guarantee Field (G-) (69 character maximum)

Customer wishes to guarantee use of the room.

4.2.3 Written Confirmation Field (W-) (69 character maximum)

Customer wishes to receive written confirmation.

4.2.4 Extra Bedding Requested (RA-/RC-/CR-) (5 or up to 9 digits per field)

Three types of extra bedding codes are used.

RA Rollaway - Adult

RC Rollaway - Child

CR Crib

Following the extra bedding codes will be the per night charge, a hyphen, and the number of extra beds required. A zero indicates no charge.

4.2.5 Extra Person/Extra Child (EX-/EC-) (5 or up to 9 digits per field)

Following the extra person codes will be the additional per night charge, a hyphen, and the number of extra persons.

4.2.6 Tour Number (IT) (17 character maximum)

4.2.7 Tour Room Location (L) (3 character maximum)

4.2.8 Tour Meal Plan (M) (3 character maximum)

4.2.9 Corporate Discount Number (CD-) (15 character maximum)

4.2.10 Frequent Guest Number (FG-) (25 character maximum)

4.2.11 Frequent Traveler Airline Number (FT-) (25 character maximum)

Number preceded by airline code.

4.2.12 Customer ID Number (ID-) (25 character maximum)

Customer identification number for a rental car company. Number preceded by vendor code.

4.2.13 Special Information (SI-) (184 character maximum)

Use of this field is optional and can be utilized to state customer's preference of room type/location, special service, additional names, or anything pertinent to the reservation.

4.2.13.1 Pricing Type (This identifier precedes the total rate. AP means the total includes taxes, fees and extra option charges. AT means the total includes only the taxes and fees.)

4.2.13.2 Total Rate (Receiving a currency code in this field is optional. Recipient may receive 5 or up to 9 digits of rate information.)

4.2.13.3 Echo Key (This is the confirmation number that was originally sent Type A.)

4.2.14 Name Field (NM-) (25 character maximum)

Allows the agent to indicate within the hotel segment the name in which the booking should be held. Since this field is optional, if it does not exist, the reservation will be held under the name element (N:) on the PNR.

NOTE: The total number of characters for all optional fields is 184. Optional fields may be "mixed and matched" not to exceed 184 characters. For example, if you set the guarantee field (G-) to accept the 69 character maximum and the corporate discount field (CD-) to accept the 15 character maximum, you would only have 100 available characters to "play" with.

5. Outbound Message Examples

5.1 Sells - New Bookings

A room with two double beds at the HJ Denver West was confirmed to Mr. Concord at a rate of $58.00 per night for check-in on February 10 for 2 nights.

5.2 Cancellations

Complete cancellations are a repeat of the original SS hotel segment with an action code of XX. An alert of CNL is given on the cancel message when the agent canceled the segment.

5.3 Change Messages

Booking messages that contain a change to a previously confirmed reservation have a message tag of CHG. This message tag will display when the agent modifies versus cancels the hotel segment.

When the change involves one or more of the mandatory elements, the hotel segment(s) are shown as cancel and rebook. To determine the elements changed, a comparison is necessary between the two segment items.

Inbound messages are messages sent from a hotel chain to a GDS. Some types of inbound messages are listed below.

8. Basic Elements of a Status Message

The status message, when properly formatted, provides direct update of property/room availability to RoomMaster. Teletype AVH messages include an address line, communications reference and a message identifier line along with the lines that create status updates. A rigid format is required, or the message will reject.

The following is an example of a typical AVH teletype message.

8.1 Address Line. The address for status should always be HDQRI followed by the two-letter RoomMaster designator.

8.2 Communications Reference. (Your address)

8.3 Message Identifier. Identifies that the AVH message is updating hotel status. The message will reject if the tag does not appear on this line.

8.4-6 Status Line(s).

The date range field allows up to eight date ranges in one status line. Each date range must be separated by an end item (+).

e Booking Code

The booking code(s) field allows you to identify booking codes by either the three character room type or the full six or seven character booking code. The maximum number of booking codes per message is eight (8).

The word ALL can also be used in the booking code area to update all booking codes for that property:

A wild card can be used in lieu of the room type to update only booking codes for a particular rate code. The following example will update all weekend rate codes.

For these examples, the room codings listed below will be used. The room class will start with A, indicating the highest quality, followed by B and C in descending order. The number of beds in the room is one or two. The maximum number of lines per status message is 10.

T - Twin or single size bed

Important: When multiple AVH status messages are sent in a block, the chain code for each must be the same. Multiple property numbers for the same chain may be sent in the block.

10.7 Rejected Messages/Format Errors

A message will be returned to you via RoomMaster Print Spool (SPOOL) when an error is found. The rejected message will contain a header line explaining the reason for the return, and the specific status line that requires correction. Rejected messages consist only of the status lines which contained errors. Some examples of rejected messages are below.
