With this in mind, we would like all procedures and rules to be clear to all. Only homeowners in good standing (this means your dues must be current) with the HOA are permitted to rent the club house.(Renter’s Initials _____) I am Not renting the club house in my name for a non-resident.There will be NO SMOKING and NO ALCOHOL in the pool area. No glass bottles or glasses are allowed around the pool.Rental fee: (Renter’s Initials ____) DURING POOL SEASON: The rental fee is $75, which is Non-Refundable. Please make checks payable to Beach Forest HOA. There is also a Cash Deposit of $125 (checks may be accepted on a case by case basis). These must be paid at the time of reservation. Your deposit will be returned when the HOA member conducts the Post-Rental Inspection (in the presence of the renter, unless otherwise specified by the HOA member), and determines the club house meets the criteria listed on the Post-Rental Inspection Checklist. (Renter’s Initials ____) DURING NON-POOL SEASON: The rental fee is $50, which is Non-Refundable. Please make checks payable to Beach Forest HOA. There is also a Cash Deposit of $125 (checks may be accepted on a case by case basis). These must be paid at the time of reservation. Your deposit will be returned when the HOA member conducts the Post-Rental Inspection (in the presence of the renter, unless otherwise specified by the HOA member), and determines the club house meets the criteria listed on the Post-Rental Inspection Checklist. Any damages and failure to clean the clubhouse will constitute the forfeiture of the $125 deposit and the renter will be responsible for any additional cleaning fees or repairs in excess of $125. Under no circumstances will any partial deposits be returned.The Post-Rental Inspection Checklist is included in this document; and the renter is required to review it prior to signing the rental agreement. Cancellation: If the scheduled use of the club house is cancelled 14 or more days before the reserved date, the entire amount ($175) will be refunded. If cancellation is made less than 14 days prior, only $125 will be refunded.Return Checks: The renter will be responsible for any and all fees associated with returned checks. You must submit your payment in cash, certified check or money order within five (5) days. **** Failure to “make good” on returned checks within the five-day period will result in the notification of the proper authorities. ****Advance rental: The club house CANNOT be reserved more than 4 months in advance.Club House hours: The club house may be rented between 10:00 a.m. and midnight. Key: The club house key may be picked up from the committee member no earlier than 9:00 a.m. the day of the day of the rental if it was rented the previous day. If there are no renters prior to the event, the key may be picked up from the committee member a day earlier (exceptions made by committee member to accommodate earlier pick up as needed). The key MUST, however, be returned to the club house at 9:00 a.m. the morning following use if another rental is scheduled, at which time the Post-Rental Inspection will be completed. If there are no other rentals following the event, the key return/inspection will be scheduled by the committee member. (Please remember, another Beach Forest resident might want to rent the club house the day after you. Your courtesy and understanding is appreciated.) The tables (6 round and 4 rectangular) and chairs (44) are for indoor use only.Only the person renting the clubhouse can operate the music system. Home owner is responsible for any damage to the music system. I have read and understand the Beach Forest Club House Rental Agreement; and accept the terms under which it is written.
