Operations, Personnel & Box Office CoordinatorLocation: Houston, TXDescription: The Immanuel and Helen Olshan TEXAS MUSIC FESTIVAL? (TMF) seeks a dynamic team member wishing to gain experience in arts administration, orchestra operations/personnel management, and box office support from mid-May to June 29, 2020. Reporting to the Associate Director and the General Director, the Operations & Personnel Coordinator will have the following responsibilities:?? Operations: Manage pre-festival set-up: create and manage Google Calendar for orchestra; work with Moores School front desk to assign lockers and check all locks/size of locker appropriate for instrument; post lesson schedule/sign-up sheets on studio doors; create participant/placement audition/conductor packets; coordinate communication of rehearsal schedules/parts/information to extra musicians; coordinate conductor and soloist schedules; collect auxiliary instruments and manage sign-out/return of instruments to participants; oversee the Orchestra Notice Board and facility access; help check and equip all studios, practice rooms, sectional rooms for stands/chairs/cleanliness before, during, and after festival ends.Manage TMF Master Class Series: create sign-up sheets and programs; if accompanist required, coordinate accompanists, tunings, page-turners; notify participants selected to perform of program order and accompanist rehearsals (if applicable); liaise with artist/teacher regarding repertoire and logistics, including set-up, warm-up room, and proctoring requirements for mock-auditions. Coordinate mock audition or orchestra repertoire class packets with TMF Librarians and distribute to musicians. Assist Orchestra Manager: coordinate logistics and bus assignments with Cynthia Woods Mitchell Pavilion for run-out concert; other assignments as needed.?? Personnel: Create and maintain weekly seating charts and attendance sheets. Take attendance at all rehearsals/sectionals; contact participants who are late or absent.Make daily announcements before rehearsal and during break, including upcoming master classes, rehearsals, faculty concerts, etc.Obtain the rehearsal order from the conductor at the end of rehearsal each day and post on Google Calendar and on bulletin board in MSM Lobby. Coordinate and communicate rehearsal orders with weekly sectional leaders and musicians, including extras. ? Box Office: Manage and verify ticket requests for faculty, conductors, special guests, and VIPs for all Orchestra and PERSPECTIVES concerts.Serve as Box Office staff at WILL CALL for all TMF Orchestra and PERSPECTIVES concerts.Manage donations for TMF items during all TMF concerts, including ensuring items are stocked in Box Office prior to concerts, manning the donations table during intermission and post-concert, and turning in revenue to TMF Office post-concert.Ensure that all programs are ready (and include inserts/flyers) and delivered to venue day before concert.The Operations, Personnel & Box Office Coordinator may also assist the Associate and General Directors with writing and proofreading of printed materials and working in other office-related or production duties.While experience in any or all of the above areas is desirable, the competencies and/or experiences that will best suit a potential applicant include:Excellent verbal and interpersonal communication skills.Positive attitude, a sense of humor, and ability to work well as part of a team.Knowledge and understanding of the workings of a symphony orchestra. Previous orchestral, box office, and back-stage experience is desirable but not required.Ability to successfully prioritize and organize tasks and follow through to completion.Strong attention to detail.Ability to take direction from multiple people and work under pressure with multiple puter skills including Microsoft Office and database management. Must have reliable transportation, a valid State of Texas driver’s license, and housing in the Houston area.This is an entry-level position/internship; a completed bachelor’s degree is not required, although studies should be in pensation This position is an 8-week, full-time position requiring flexible working hours (nights and weekends) during the festival.
