Concert Production & Housing CoordinatorLocation: Houston, TXDescription: The Immanuel and Helen Olshan TEXAS MUSIC FESTIVAL? (TMF) seeks a dynamic team member wishing to gain experience in arts administration, festival housing, and orchestral operations/concert production/stage management from early May to June 29, 2020.Reporting to the Orchestra Manager, Associate Director and the General Director, the Concert Production & Housing Coordinator will have the following responsibilities:Concert Production: Manage all daily operations for Moores Opera House including opening/closing the hall and turning on/off lights before/after rehearsals, sectionals, master classes, concerts, other institute events.Set-up, lock/unlock, and check dressing rooms for soloists and conductors for all orchestra rehearsals and concerts.Monitor Moores Opera House conditions, including A/C, temperature, humidity, noise and report issues to Moores Opera House Manager.Oversee and monitor all MSM equipment to ensure proper handling and care. Working with Orchestra Manager, assist with all stage set-up and riser needs for orchestra and faculty chamber music concerts (including all stands, chairs, risers, podiums, platforms, instruments, off-stage requirements); coordinate production needs with Orchestra Manager for Cynthia Woods Mitchell Pavilion run-out concert; back-of-house and stage management duties during all TMF orchestra and faculty chamber concerts; other assignments as needed. Coordinate with Moores Opera House Manager and Orchestra Manager on all sound, lighting, and shell placement needs for all orchestra rehearsals and performances. Attend and be prepared for all pre-festival prep and logistics meetings.Assist Orchestra Manager with managing concert production work study crews, designing stage plots.Coordinate the scheduling of faculty chamber music rehearsals in Dudley Recital Hall, including managing all set-up needs (including chairs, stands, stand lights, lighting) and ensuring the hall is open before rehearsals.Assist with pre-festival set-up: make and post signs for building/offices/practice rooms; check and equip all studios, practice, and sectional rooms.Housing:Coordinate all TMF participant room assignments (vocal and orchestra) with Associate Director and UH Conference Services prior to the start of the festival, including linen packet requests, verifying all keys are correct prior to dorm check-in, and verifying all keys are turned in during dorm check-out.Supervise dorm check-in and check-out for all TMF vocal and orchestral institutes. The Housing Coordinator will oversee Vocal Institute dorm check-in (May 19, 2020) and check-out (June 5, 2020). Housing Coordinator will move into the dorm on June 5, 2020 with orchestra participants arriving on June 6, 2020. Housing Coordinator will supervise dorm check out on June 28, 2020 and will be expected to move out of the dorm that same day by 6 p.m.Work directly with UH Dietician and Cafeteria Manager, before festival start, to ensure that UH Dining Services provides adequate vegetarian and gluten free options throughout the festival. Communicate and resolve any dietary needs/issues directly with participants and UH Dining Services.Resolve any roommate issues during festival. Assist participants with medical issues that require appointments either on-campus or off-campus (including emergency room visits).Manage all guest faculty and conductor housing needs, including check-in/check-out at University Lofts/University Hilton, stocking loft apartments and verifying that apartments are ready for occupancy, and assisting conductors with hotel check-in. Enforce dormitory rules and quiet hours. Maintain information bulletin board in dorm for TMF orchestra participants. The Concert Production & Housing Coordinator may also assist the Associate and General Directors with other office-related duties.While experience in any, or all, of the above areas is desirable, the competencies and/or experiences that will best suit a potential applicant include:Excellent verbal and interpersonal communication skills.Positive attitude, a sense of humor, and ability to work well as part of a team.Knowledge and understanding of the workings of a symphony orchestra.Previous housing or concert production experience is desirable but not required.Ability to successfully prioritize and organize tasks and follow through to completion.Strong attention to detail.Ability to take direction from multiple people and work under pressure with multiple puter skills including Microsoft Office and database management.Must have reliable transportation and a valid State of Texas driver’s license.The job requires manual labor: lifting trunks and equipment up to 75lbs, moving chairs/stands/podiums/risers/platforms.This is an entry-level position/internship; a completed bachelor’s degree is not required, although studies should be in pensation: This position will be part-time, approximately 10 - 20 hours per week starting in early May and will increase to full time from mid-May to June 29, 2020. Three meals a day at Fresh Foods Company will be provided June 5 – 27, 2020. A flexible schedule is required, including availability during evenings and weekends throughout the festival.
