Overview of H1N1 Vaccine/ Absenteeism Project

• Schools in Maine did a phenomenal job vaccinating their students against H1N1 and doing it early

• Because of these successes and because in the most places, vaccination occurred before the peak of H1N1 disease, we have an amazing opportunity to assess the overall effectiveness of the vaccine itself

• Your input in assessing the H1N1 vaccine is invaluable because it will:

o Help shape the future of school based vaccination in Maine and the rest of the country

o Provide more practical, real world insight into existing data on the effectiveness of H1N1 vaccination

• One way we are measuring this effect is by assessing how receipt of the vaccine affected student and staff absenteeism

o This will require help from IT coordinators and school nurses

o Re-imbursement, based on enrollment information in each school, will be provided to the district to help offset the hiring of extra staff or use of extra time by existing staff for this project

For IT coordinators:

• Using the specific instructions available on the DoE website (see link below), we ask district IT coordinators to help extract the specific student and staff absentee data from October 5- December 18, 2009

Information Regarding Procedure and Data Flow:

• First- IT coordinators will generate a list of all students associated with the state student ID (in elementary/ middle schools) for each school in a district

o Query will be run to assess absenteeism on each student for each day in evaluation

o For Staff list: please see the template on-line, requesting aggregate data on staff and teachers for each date in the study

o This absentee list will be sent directly to CDC at SGraitcer@ or igc6@

o NOTE- Please do NOT include names, only student ID

• Second- IT coordinators will generate a list either as instructed either directly from PowerSchool or Infinite Campus or using the template “Vaccine Record Template”

o This list will have each student’s name in one column, each students state ID in a second column, then columns for receipt date of receipt of vaccine and type

o There is also a final column assessing whether the child was consented to receive the vaccine but did not end up getting the vaccine- this should be very few students

• Third- IT coordinators will send this list to each school nurse assigned to compile these records at the school or for the district

• Fourth- school nurses or designees will enter each students vaccine information on the electronic spreadsheet

o One method a district may choose to accomplish this task is to assign one nurse to do all of the vaccine record compiling and use the district reimbursement money to pay for a substitute for a day or two while this is being done

o Before sending this list back to CDC or IT coordinator: Please delete all names and leave ONLY student IDs and vaccine information
