PROCEDURES FOR USERS OF MAIL SERVICES

1. An interoffice (Pony) envelope must be prepared by crossing out the last addressee’s name and work location, then writing the new addressee and work location (no abbreviations), using black or blue ink (no red ink). Do not place labels over the previous addressee’s name and work location.

2. The primary purpose of Mail Services is to deliver payroll checks and interoffice envelopes. On a space availability basis, delivery may include: packages, boxes, completed printing jobs from Printing Services, and testing. The amount of truck floor space available for bulk items is limited and a pick-up may take more than one (1) day.

3. Packages, boxes, etc., must be taped securely and addressed to the individual with a work location (no abbreviations) using black or blue ink (no red ink) or a dark felt marker. Items cannot weigh over 40 pounds and must be a reasonable size. Please call Mail Services prior to shipping oversized items or more than five items at one time.

4. Items marked for general distributions (to all schools/centers/departments, etc.) must be identified with the sender’s name and originating location. Mail Services will not accept personal items such as jewelry, cash, etc.; these items will be returned to the sender.

5. Mail Services cannot transport chemicals, glass or breakable items, computers, business machines, tools, or large shop equipment. The driver will decide what items are not appropriate to be transported in the truck. To arrange for transportation of items that Mail Services does not handle, please call the B-Stock Warehouse at 754-321-2850.

6. Locations purchasing U.S. Postal Service’s pre-stamped envelopes are responsible for picking up the envelopes from the Post Office and delivering them to Printing Services.

7. In order to assure compliance with all U.S Postal Service regulations, the Mail Services’ Foreman must approve customized envelopes used for bulk mailing prior to printing of the envelopes.

8. Postal Service mail that does not show a complete mailing address, including zip code and return address, will not be accepted. U.S Postal Service mail cannot be stapled on the outside of an envelope.
