Instructions for Using the Weight Change Spreadsheet

TO START COMPUTER

1. Plug in power cord into appropriate slot in computer and power outlet.

2. Open computer by sliding forward the small tabs on front sides of the computer.

3. Turn on the computer by sliding backwards the power button with the O/I symbol on the rear left-hand side of the computer.

4. Wait for the computer to start and the WindowsTM program to load up completely. If computer stalls during startup, look closely at the last few lines that appear at the bottom of the screen. Usually the instructions will tell you to press “return,” which is the “Enter” on the keyboard. Pressing this key will allow the computer to continue loading properly.

5. If a floppy disk is inserted into the floppy drive when the computer is turned on, you will get an error message that reads “Error: non-system disk or disk error.” To bypass this error, simply remove the floppy disk and press any key on the keyboard to continue startup.

To Start the Weight Change Spreadsheet

1. When the windows program is completely loaded, a series of icons will appear on the screen. Icons are small pictures that represent programs or files on the computer. Using the mouse buttons on the computer’s keyboard (the small red button in the middle of the keyboard and the two long red buttons in front of the keyboard), move the pointer (the little arrow on the screen) over to the icon named “Microsoft Excel.” Using the left red button, double click quickly on this icon. The Microsoft Excel Program will load up. If this is your first time using a computer or the pointer on a computer, it may take you a while to get used to it. Don’t worry—practicing with the buttons will help you get better at using the pointer.

2. Once the Excel program has started, you will have to open the Weight Change Spreadsheet. To do this, move the pointer to the “File” menu on the upper left-hand corner of the screen and move down to “Open.”

3. A dialogue box will open up with three (3) small windows. The small, uppermost window shows you what file or disk drive you are looking at. The large, middle window contains a list of all the files that exist within that drive. Click on the small downward arrow of the small, uppermost window and select the drive with the letter (C:) with the pointer.

4. Once drive C is selected, a list of all the files and folders in that drive will appear in the large middle window. Select the folder named Weight Change Spreadsheet with the pointer.

5. Once this folder has been selected, a list of all the weight tracking files that have been recorded will appear in the large middle window. Select the most recent one with the pointer. The dialogue box will disappear and the Weight Change Spreadsheet will pop up on the screen.

How to Use the Weight Change Spreadsheet

Resident Names

1. The first time you use this program, you will have to fill in the names of all the current residents in the column labeled “Residents.” Do this by moving the pointer on top of the first cell where the first resident name would go and clicking once. (In case you are wondering, the boxes are called cells in this program). Then write the first resident’s name (last name first, first name last). To move to the next box, you can press the downward arrow key (() or you can move the pointer to the next cell in which you want to write and click. You can use the arrow keys to jump from box to box within this program. Once all the residents’ names are in, you automatically alphabetize them by holding down “Ctrl” and then hitting “b.” Now you can begin entering weights.

2. In the first column for weights (the one labeled “Current Week Weights”), enter the date for the current week in the cell that says “Enter Date.”

3. Then enter the weight for whichever residents were weighed that day.

Saving the File

4. When you are done entering weights, you are going to save the file. To do this, go to “File” on the upper left-hand corner and move the pointer down to “Save As.” A similar dialogue box that appeared when you opened the file will appear again. This time, on the bottom window of the dialogue box next to the words “File name,” there will appear the name of the file you are currently working with. If you are working within the same week whose date already appears in the file name, move the pointer to “Save” on the upper right-hand corner of the dialogue box and click. When the computer asks you if you are sure you want to save this file with this name, click on “Yes.” If you are starting a new week of weights, modify the name of the file by clicking at the end of this box and adding the date of the new week you are working on. So for example, if you are working on the week that starts with June 19, 2001, you will save the file as “Weight Change Spreadsheet 6-19-01”. Once the new date is entered, click on “Save.”

5. Whenever you start a new week, you will have to add a column at the beginning. To do this, hold down the “Ctrl” key and then press “a”. A new column will automatically be added for you. If you add more columns than you need by mistake, press “Ctrl” and “c” to remove the extra column. WARNING: If you press “Ctrl” and “c” when the first column already has weights listed, you will delete this column. You will have to input the weights again one by one.

Detecting Significant Weight Changes

6. As you enter more weights each week for each resident, the computer will automatically calculate the amount of weight loss or gain the resident has experienced within the last 7, 14, 30, 90, and 180 days in the six columns labeled “Weight Change.” Remember that a number with a negative (-) sign in front means the resident has lost that much weight and a number with no sign in front means the resident has gained that much weight.

Adding and Deleting Residents from List

1. When a new resident arrives, simply add their name to the bottom of the list of residents and hold down “Ctrl” and press “b” to re-alphabetize all the residents. You can then start entering weights for the new resident as you have been doing for everyone else.

2. When residents are discharged and you want to remove them from the program, move the pointer to the number that appear next to their name and click on it so that the entire row is highlighted. Then press “delete.” The resident’s name and all their weights will disappear. To get rid of the empty box, simply press “Ctrl” and “b” again so that the computer will re-alphabetize everyone.

3. You can add or delete more than one resident at a time if you wish. Simply remember to press “Ctrl” and ‘b” after you are done so that the computer can re-alphabetize all of the residents.
