General Transcription Template



M. SMITH: Here is a basic general transcription template. You will find that transcription companies all have their own variations. Just be sure to abide by their individual guidelines and template formatting!

S. DOE: Speaker names should be spelled out completely in the header, but only use the first initial and last name throughout the document. Remember to use ALL-CAPS and italics.

Hint: To avoid the extra time of changing the formatting manually while typing, you can simply type your own abbreviation in regular formatting (e.g. “DOE:”). Then, at the end of your work, use “Find and Replace” – Ctrl + F – to find all the “DOE:” and replace with “S. DOE:” You’ll have to go to “More” to check the “Match case” and “Format.”

MALE SPEAKER: If you don’t know the speaker’s name, use MALE SPEAKER or FEMALE SPEAKER.

M. SMITH: If there are any words or names that you’re unsure of, but can spell phonetically, type them how they sound and follow with [phonetic]. Every other time that word is used, just make sure you spell it the same way, but don’t use the [phonetic] again

For anything that you completely cannot understand, use [inaudible].

For general transcription, type mostly verbatim, but leave out the ums, uhs, and stutters. If someone starts a – if they start a sentence and interrupt themselves or are interrupted by another speaker, use an em-dash as shown (space-dash-dash-space/enter).
