Vehicle Acceptance CriteriaOur goal is to accept as many vehicles as possible; however these are guidelines only. Volunteers of America, Oregon Inc. reserves the right to turn down a vehicle donation if we deem it necessary. We attend vehicle auctions weekly to observe current market conditions and to ensure your organization receives the highest possible donation for the donated vehicle. Some of our basic requirements for vehicle donation are:The vehicle must have all its components (running or not) with all 4 wheels and inflated tires present and able to turn.We will not accept vehicles that have been in a fire, flood, or major collision. Vehicles on a “Possessory Lien” will not be accepted. The donor must have a clear title to the vehicle even if the title is not in their name. If the title has been lost or destroyed we can still accept donations; however, vehicle pick up will be delayed until “clear title” status can be determined and all documents have been signed and returned to us. We can guide donors through this process.We accept “out of state titles”. If the donor has lost or destroyed their out of state title we cannot accept donation until the donor obtains a new title. Washington State being the exception.Our tow area is along the I-5 corridor from Cottage Grove to Longview and 50 miles on either side. Exceptions can be made to tow from beyond our tow area; please call our office for details.The Vehicle Donation ProcessThe Donation Process starts with you! Based on your advertising, a donor will contact you to let you know they have a vehicle or boat or even airplane they want to donate. When you gather their information, you then fill out the Intake Fax Form to send over to VOA. Also if the donor uses a link on your website than we will automatically get their information. Once we get their initial information, we then call the donor to get further information about the condition of the vehicle or boat, as well as title information. We also have the donor write a donation letter having them donate the vehicle on behalf of your organization.We then get in touch with our tow company to arrange a time to pick up the vehicle. That is usually in 24 hours.Once the vehicle is picked up, it is either in good enough condition to be taken to the auction to get cleaned up and sold. Or it is in non working, helpless condition where it will be scrapped for metal. If the vehicle is brought to auction and does not fetch the best possible amount expected, then we actually have it run through the auction again and again until we get the best possible price for the vehicle or boat. Once the vehicle is sold, we will send the donor a thank you letter with information for their tax purposes. If the vehicle is sold for more than $500.00 we then make a personal phone call to the donor letting them know we will need their social security number for the tax form 1098C, as well as thanking them for their donation again. Then we send them out a thank you letter with the attached 1098C form for their records. Your organization will receive the proceed check with detailed information about the donor and sale the 2nd week after the month it was sold. Your organization might not receive a proceed check for all the referrals, and that may be because the donor changed their mind about donating. We do not send out information on the cancelled donations, but you can call at any time to inquire. Vehicle Donations FAQWho is liable for the vehicles once they are picked up?We take full liability at the time of pickup. All vehicles are picked up in a flatbed that is safe and secure.Are you licensed and insured?Yes. Our program has a dealer’s license with the Oregon state department of vehicles, #DA8053.How will I know if someone donated on our behalf?The contact person at your organization will receive an email when a car is donated and sold on your behalf. In addition, you can call the office staff at anytime to inquire about donations. How are you different from all of the other vehicle donation programs in the area?We carry a track record of 20 years in the local non-profit industry and over 150 non-profit partners that can verify and testify on our behalf. Our business structure is designed, dedicated and based around Non-profit Charity vehicle donations including sales and service. Here at VOA we also personally follow the vehicle through the whole process, from an initial assessment to our presence at the auctions. VOA also handles all the in house paperwork and processing after receiving a referral form or intake form. We are dedicated to making the donation process convenient and easy for the donor and beneficiary. How do I know you are getting the most for each vehicle?Our staff personally attends the auctions to ensure our donated cars are presented appropriately. On higher-end Retail able donations: We will utilize E-bay, Craigslist and other avenues when applicable to get the most out of the donation. Working with different auction facilities across the state helps keep towing costs to a minimum.How do you sell the vehicles?The mass majority of vehicles are sold through a certified dealer auction facility; Brasher’s Auto Auction. We will also retail sell the higher-end donations in-house using our virtual car lot; which may include E-bay, Craigslist and Auto trader, for maximum exposure and return. Some donations will go directly to scrap, eliminating any middle man. Are the vehicles processed legally when you sell them to the public?Vast Majority of our vehicles are sold at an auction to authorized automotive dealers, which through DMV regulations are required to report the sale of the vehicle and release the donors interest from the title. When vehicles are sold to the public through other channels, we ensure that with each public purchase, the buyer has a valid drivers license and insurance before the completing the sales transaction. We will report the sale of the vehicle to new owner to the DMV the same day the vehicle is purchased from us.
