Open Excel

Click on Start Menu ( Choose All Programs ( Microsoft Office ( Excel

Get the data

1. Go to the File menu and select Open.

2. Navigate to the file named: ExcelGraphsData.xls and select Open.

Preparing the data

3. Highlight A8:A11 and E8:E11

(Use the Ctrl key while selecting to select nonadjacent data.).

4. Go to the Edit menu and select Copy.

5. Go to File menu and choose New, workbook, and OK.

6. Go to the Edit menu and select Paste.

7. The numbers in front of the data will foul the graph, so click on cell A1 and delete “4. “

8. Repeat for A2 through A4.

Save the file

9. Go to the File menu and choose Save As.

10. Name your file Excel Graph Data and click Save.

Graphing

11. Highlight A1:B4.

12. Select the chart icon on the toolbar.

13. Choose the segmented pie graph, the first choice on the second row.

14. Click Next, Next.

15. Click on the Data Labels tab and choose Show Percent.

16. Click on the Titles tab and in the chart title area type: Percents for 5000-9999 Size Districts in Texas. Click Next.

17. Click As New Sheet and then Finish.

Customizing the graph

18. Right click in the open area of the graph background and select Format Chart Area from the menu that appears.

19. Choose the Font tab and set font to Ariel, Bold, Size 16.

20. Click on the Patterns tab and select a medium color and then select Fill Effects.

21. Pick one of the shading styles and click OK and OK again.

22. Click and click again on a segment of the graph. Now double click the selected segment.. Select a color and click OK.

23. Repeat for some of the other segments whose color needs changing.

24. Double click in the legend and set it to a light background color and click OK.

25. Move the title and legend to the location on the page that you prefer by clicking on the item once to select it, then grabbing it by the corner and dragging it t a new location.

Making a graph for a black and white printing

1. Change back to Sheet 1.

2. Select from A1:B4 and click on the Graphing icon.

3. Chose the first pie graph sample.

4. Click Next, Next.

5. Click on the Titles tab and type this title: State Percents.

6. Click on the Data Labels tab and chose Show Percent (or one of the others if preferred).

7. Click Next, As a New Sheet, and Finish.

8. Click once inside a segment of the circle to select it (Click a second time if the whole circle was selected).

9. Right click in the selected area and choose Format Data Point.

10. Select a dark color or black.

11. Click on Fill Effects and then the Pattern tab.

12. Select a bold pattern.

13. Repeat for the other segments, each time choosing a pattern that shows up well and contrast with the other segments. Remember different colors will have little impact on a black and white printout.

Save a chart as a web page

14. Go to File menu and select Save as a Web Page.

15. Navigate to folder.

16. Name it with a short name with 8 characters or less and no spaces, like chart.

17. Click Save.

18. To view the web page double click on it in your folder and it will be viewed in your default web browser.
