Introduction

After you register for a business account, as an administrator, you can enable and customize approval workflows to manage purchasing and provide spend visibility.

When you enable shared approvals, administrators are automatically set up as approvers for all orders.

Using approval workflow capabilities, you can require users to get approvals for all orders; or customize and set approvals only for orders exceeding a set per-order spending limit. A perorder spending limit is the amount a user can spend on an order before an approval is required. After approvals are enabled for the business (or groups- if they have been added), you can also customize approvals for individuals.

Anyone who is part of the business account can be an approver. To specify an approver, you only need to enter the email of the person. If the person is not yet in the account, you can invite them to the account.

Enable approvals for the business

To enable approvals, select the Manage your Business link, located in your Account for Business drop-down menu, as displayed below. This business menu displays whenever you are logged into Amazon with your business user account.

If you have already added people to your account, the option to add approvals automatically displays on the Business Settings page. If people have not been added to your business account, select Add across from Add people on the Account Settings page. Next, select Add across from Add approvals.

Your email is automatically entered as approver. You can leave your email as the default choice, or enter the email of another user as approver for the business.

Note: for the approver role, you can only enter the email of a person who is in the business account. If the person is not already in the account, you can add a new person.

After you enter the approver email, and select the per-order spend limit, be sure to select Save settings.

After approvals are added, the new status displays in the Business Settings page. You now have custom (shared) approvals.

If you do not designate an approver and spending limit, the order is routed to the shared approver-- whoever is the initial administrator for the business.

You and other administrators for the business (or group- if you enabled groups, and added approvals to the group) are automatically set up as default approvers.

You can select Disable order approval requirement at any time.

Customize approvals and spending limits for individuals

If you would like to have another person approve orders, you can customize approvals for each individual user. Go to the People page to customize individual approvals. To edit approvals for a user, hover over Shared in approvals for the person you want to customize approvals for. Select Customize approvals.

The Approver's email is not auto-populated. Update the approval information including approver email. Select either all orders require approval, OR select the second option and set a customized per-order spend limit. For example, enter $100.00 to ensure all orders over $100 are sent for order approval. Be sure to select Save settings.

To edit custom approvals for an existing user who is part of the business (or group) that has shared approvals: hover over Custom for the person you want to customize approvals for, and select Edit custom approvals.

Your email auto-populates. Update the approval information including approver email and perorder spend limit. Be sure to select Save settings. Again-- for the approver role, you can only enter the email of a person who is in the business account. If the person is not already in the account, you can add a new person from the People page.

Checkout using approvals

During checkout--on the Business Order Information page--the requisitioner can choose to add a comment for the approver. Comments are not required.

If no approver is specifically designated for the requisitioner, the approver who is designated for the business or group are required to approve the orders. If there is no designated approver, the order goes to the administrator for the business or group.

If comments are entered on the Business Order Information page, the administrator receives the comment. The requisitioner can choose to add any comment such as `Sam- please approve office supplies for the week of 4/20/15'. Comments are optional.

Add an additional approver

If your order requires approval from an additional department such as IT, please select the Add an additional approver? link, enter the approver's email and select Continue. Your order will first be reviewed by the additional approver whose email you enter in the Additional Approver Email field, and then by the approver who your already designated.

When you select Add an additional approver, a new field displays. Again, remember that the approver must be part of the business.

Approve orders

When an order requires approval, the default administrator receives an email. They can either Approve or Reject the order from the body of the email. If they are not logged in, they will need to log in to take action.

To check on the status of approvals, an administrator can also select Approve Orders from the drop-down menu of your Account for Business.
