Introduction This tip sheet describes the steps for scanning the signed Research Study Schedule using the Media Manager activity. The signed Research Study Schedule supports the Wood CHPS Outpatient lab ordering workflow.Media Manager Media manager allows you to attach various file types including PDF, Microsoft? Word files, dictations and scans. The Media Manager activity is a one-stop solution for managing scan, voice, video, and document files. TIP:Prior to scanning the Research Study Schedule into Media Manager, always check to see if it was previously scanned in by someone else. Open up Chart Review for the patient, and go to the Media tab to confirm. Scanning in Media Manager Patient Level Scan Use this level for documents that are related to the patient, but not related to a visit or specific order. (e.g., Research Consent Forms and the signed Research Study Schedule). Click the Epic button Scroll down to select Patient Care Scroll down again to select Media Manager 321310101600013785852064385003403608642350 The Patient Lookup window now displays. Find the Patient. Place document to be scanned face down/top down in the document feeder tray. Leave the scan level at the Patient level:1988185568960 Click Scan on the Media Manager Toolbar. The Patient Scan window opens. Note: If scanning a double sided document check the [ ] Use Duplex box in the lower right corner. Click the Acquire button on the toolbar. Description field: Enter something that is appropriate for the document. Example: IRB 13205 Study ScheduleThis will be seen when the document files into Chart Review. Select the Document Type of Research Written Lab Orders3455035578484Always click the Size to fit button before saving the document.Click Save Doc on the toolbar. Click Close X to close window. Click Close X again to exit the workspace. *Note: if you are not satisfied with the document image, re-scan by doing the following: Click Clear All from the toolbar. This clears the image from the screen. Click on Acquire from the toolbar. The select source dialog box opens. Always click Size to Fit before saving the document.Enter a Document Description. Select a Document Type. Click on Save Doc on the toolbar. Click Close (X) to close window. Click Close (X) to exit the workspace. Retrieve a Scanned Document This procedure is used to retrieve scanned documents. All scans live under the Media tab in Chart Review. Click the Epic button. Click Patient Care/Chart or the Chart button on the main toolbar. Search for Patient. Click the Chart Review activity tab Select the Media tab. Double click the document you wish to view. Use the Zoom buttons to enlarge and reduce image size. Click the green arrow to navigate to the next page if multiple pages. Click Print, if appropriate. Click Close (X) to exit.
