My Educational Resources PO Box 130 – Kersey, Colorado 80644 Phone: 970-301-1636eCard acquisition and submission Policy and Procedure – Policy 1015Purpose: My Educational Resources (MER) has created this policy with the release of eCards by the American Heart Association. These secure cards, can be issued, immediately after the successful completion to a student using their personal email address either by the instructor or by submitting to the Training Center. These two options methods are explained in detail below: Option 1 eCards can be requisitioned and placed in instructor accounts (minimum of 6 cards per discipline taught) and invoiced to the instructor and/or training site. For those sites using more than one instructor, it is highly suggested that they appoint an eCard manager who will issue the cards on the behalf of the instructor and send the appropriate paperwork to MER for documentation of teaching toward renewal. They would access to the instructor’s email address and sign-on code so they could issue cards. Those would be kept confidential and cards would only issued to instructors who are in good standing with the TC. Option 2Rosters can also be submitted to TC for ecards to be issued. This will delay the issuance of cards to the students slightly. Ecards are invoiced and a monthly invoiced is submitted for payment at the end of each month.Please review the following steps:Once per month, estimate the need for cards in the disciplines that you will need based on training schedule. Cards will be issued in sets of 6. The cards will be added to your “My Cards” inventory on the dashboard in the AHA Instructor Network located at https//ahainstructornetwork.. under the instructor’s name and passwsord.This is done by contacting by email, Kiera at myeduationalresources@ who will place them in your instructor’s account. An invoice for those cards will be issued and sent on the last Wednesday of the month and is due and payable upon receipt. Once cards are added into the instructor’s inventory, they will follow the step by step directions in the eCard Users Guide to issue the eCards to your students. NOTE: once cards are added to your inventory, they cannot be returned for credit and will be removed from your cue if you transfer to another Training Center or do not follow the guidelines for issuance. The instructor or the eCard manager will access the instructor network and issue cards to students who have successfully completed the class. Please have students use a personal email address and not a work address as the fire walls may block the communication from AHA. NOTE: Under no circumstances will ecards be sent to one central account for claiming by an agent of the group being trained. This is a violation of AHA rules and could result in in possible suspension of our Training Center status. A “How to Access your Ecard” reference should be made available to each student. After the course has been taught and eCards issued, please submit the roster to MER so it can be added to our instructor base to track the classes that you have taught. One roster per class or skills session. Please do not combine several classes. Note: With that roster should come the summary sheet of ecard codes and students issued to plus their emails. Training Sites and TCF/Instructors will be required to follow the recordkeeping requirements in the 5th Edition AHA Program Administration Manual, page pleted course roster – you can find the most up to date one at – keep in mind that we will no longer have copies of the cards issued. Documentation related to dispute resolutionOriginals or a summary of course evaluations – with eCards, students will fill out an evaluation online before they claim your card. A summary of those evaluations will be sent to the TC Coordinator. Make sure the student completes the evaluations as benchmarks for courses have been set by AHA and if instructors consistently function below that benchmark based on class evaluations, a coaching/mentoring session will be scheduled. Original evaluations if there was a problem in the courseStudents written exams and skill sheets if remediation was neededOnline certificate of completion and skill performance sheets. All of this documentation will be made available to the Training Center Coordinator or their designee upon request or when a site visit is scheduled. Orientation is available and can be scheduled with our BLS Coordinator who will be happy to assist you with questions. By signing the attached form, you are stating that you understand the issuance of eCards issuance policy. I have reviewed the eCard acquisition and submission Policy and Procedure and will follow the guidelines as set forth in the Policy and Procedure.
