The responsibilities of this position require the individual to possess and exhibit the following characteristics: detail-oriented, self-starter, self-directed, manage multiple projects to completion, strong interpersonal skills, dependable, take ownership of tasks, and basic task prioritization skills in order to deal with phone calls/emails requesting changes and requests for assistance. Organizational skills to support of the Director of Human Resources are important to this position, as well as, the ability to create an effective and productive work environment. Most of the work performed in this department is, by its nature, very sensitive and confidential, therefore, strict confidentiality is required.The HR/Payroll Specialist will be expected to accomplish assigned duties in an efficient, effective and competent manner, and to strive for improvement and excellence in all work performed. It is also imperative for the individual to possess strong interpersonal skills (as previously mentioned) in order to successfully interact with and meet the needs of staff , faculty, and all public offices with which we work. All Cisco College employees are expected to follow College policies, rules, regulations, and guidelines relative and applicable to this position.Essential FunctionsAbility to complete and financially balance all payrolls, tax filings, end of the month vendor reconciliation/payment, end of month, quarter, year closings, timely.Meticulous attendance.Strong knowledge and use of basic math functions to calculate financial data.Extreme attention to detail.Accurate and quick response to assigned tasks and associated deadlines.Strong problem-solving skills, good business judgement with quality decision practices.Sensitivity and ability to hold information confidential relative to personnel, compensation, and Human Resource information.Strict observation of payday laws, regulated record retention requirements, and privacy laws.Primary DutiesWork diligently to master the College payroll system (Poise), to include data entry and processing of payroll checks and direct deposits for four payrolls each month.Schedule, prepare, and process all payrolls on time.Distribution of payroll checks and related information to all personnel.Performing updates in the College payroll system (Poise).Maintenance of employee leave (sick and vacation) records in the College payroll system (Poise).Close financial/payroll records at the end of each month, quarter, and year.Enroll new employees in ERS Online for group benefits and assist with Annual Enrollment to include entering changes into ERS Online. File records of required employee training when received from supervisors or employees.Assist HR Director in the planning and organization for participation in the Fall/Spring Kick-Off Meetings.Work with HR Director to maintain an overall working knowledge of all tasks performed by the HR Office and Director.Annually update salary information in the payroll system and in the ERS (benefits) system online.Annually process and distribute W2s and other newly required documents.Update and maintain all office and payroll procedures documents to ensure they are correct and provide proper direction and instruction to complete a payroll.Accrue employee leave the first of every month.Enter absence reports into POISE and file accordingly.Collect, review and enter employee timesheets.Keep track of Sick Leave Pool hours every January and August during enrollment period.Perform all other related duties as assigned.Minimum RequirementsMust possess previous payroll experience or demonstrated accounting experience with General Ledger Accounts. (This is not an entry-level position).Must possess a high school diploma, but Associate’s Degree is preferred.Proven organizational skills, manage multiple projects, and be self-directed.Proven computer skills and experience.Experience with Poise and Filebound a plus! ................
