705 Personal Appearance Policy

NASA Federal Credit Union is a conservative financial institution dedicated to meeting the needs of its member-owners. Because of our history and relationship with the NASA agency, the public has come to expect a high standard of service and professional excellence from our employees. Our objective with this Policy is to ensure that each staff member understands that his or her personal appearance is a key factor in NASA FCU’s success. Our employees give members and business clients a lasting impression of the Credit Union. Our goal is to instill confidence, respect, and trust in all those with whom we come into contact. We must preserve the positive image which the Credit Union has worked so hard to achieve since opening its doors in 1949.

With this in mind, employees are expected to present a conservative professional appearance when representing NASA FCU. Employees should be clean, neat, and dressed following the guidelines of this Personal Appearance Policy.

Follow These Guidelines for Conservative Professional Attire

When dressing for work, if you are not sure whether or not an outfit is acceptable, a good rule of thumb is to keep it simple and classic. Here is some helpful advice which you can use to personalize your look within the rules outlined later in this policy.

For Men: Wear traditional coordinated business suits or jackets and slacks in basic colors such as blue, black, brown or gray. Button down cotton or blend dress shirts in white, off white, pale blue, or pale yellow will mix and match with a variety of suits. Ties with conservative prints are a wise choice. Socks should match your trousers. Leather dress shoes that coordinate with your outfit should be polished and in good condition. When wearing cologne or jewelry, less is better.

For Women: Women have many choices; however, sometimes current trends do not meet the conservative professional image guidelines. In general, classic suits and skirts or pants with coordinating jackets or sweaters are your best choices. If you have these items in classic solid colors, you will have many ways to personalize and vary your look with blouses, scarves, and other accessories. Dress shoes are required. Hosiery is required (except from June 1st through September 30th). Because women’s fashions change almost daily, be sure to read this entire document to see what is not permitted before you accessorize your outfit. When wearing perfume or jewelry, less is better.

There Are Exceptions

Any permanent exceptions to this Policy for any employee or class of employees will be based upon business necessity and must be approved by Human Resources.

For example:

o Our Technology Services Department and certain members of the Facilities Department are approved to use the Corporate Casual Dress Code outlined later in this document as every day wear.

o If some aspect of the employee's job or a temporary assignment requires them to work with materials that may soil their clothes, the employee must request a temporary exception from their supervisor for the duration of the assignment. During this temporary assignment, employees will need to wear a sticker that identifies them as having been approved for this exception. Human Resources maintains a supply of stickers.

o Employees with a temporary physical injury or impairment may request a specific Policy exception from Human Resources.

o An employee with a permanent or long-term disability may request a specific Policy exception from Human Resources as a reasonable accommodation.

o Employees desiring to wear bona fide religious garments that are prohibited by the Personal Appearance Policy, may request a specific Policy exception from Human Resources.

Follow These Specific Rules

The following personal appearance guidelines have been established with the Credit Union’s greater goal of professionalism in mind. They are reasonable and can be followed without unduly restricting individual tastes:

All Employees

The following are unacceptable for the workplace:

• Canvas or athletic type shoes, sandals of any kind, most open-healed shoes (clogs, casually styled mules or crocs), casually styled boots such as; Uggs, hiking boots, work boots, and most any boot constructed with fur or fleece.

• Clothing made of: denim, leather, faded or worn fabrics, or fabric with large casual type prints/stripes

• Hats

• Unnaturally colored hair (pink, green, etc.) and extreme hairstyles, such as spiked hair

• Body odor and poor personal hygiene

• Jewelry that is functionally restrictive, dangerous to job performance, or excessive

• Facial jewelry (rings or studs) such as are worn through the eyebrow, nose, lip, and tongue

• Torso body piercing with jewelry that can be seen through or under clothing must not be worn during business hours.

• Tattoos and similar body art appearing on the face, neck and exposed front neckline, exposed forearms and upper arms, and hands are not permitted and must be covered while on duty

In addition:

• Clothing should be clean, fit properly, and be in good condition

• Footwear should be clean and in good condition

• Fingernails must be clean and maintained at a functional length. Polish should be of a conservative, non-extreme color. (Purple, green, black, florescent, and like colors are not acceptable.)

• Jackets are encouraged but not required when dealing with members

Women

The following are unacceptable for the workplace:

• Tank tops, tube or halter tops, shorts or skorts that resemble shorts from the front or back view

• Sheer or see-through blouses, tee-shirts, sweatshirts, midriff shirts, spaghetti straps shirts or oversized sweaters

• Low cut necklines (front or back)

• Casual style pants, such as: jeans, denim fabric, drawstring, capris or cropped pants, stretch, and sweatpants or pants with double-stitched side seams

• Dresses or skirts more than six inches above the knee

• Tight fitting or provocative styles

In addition:

• Blouses and shirts are to be tucked in. Straight hemmed blouses may be worn outside with matching/coordinated slacks or skirts.

• Perfume and fragrances should be used moderately or avoided altogether, as some individuals are sensitive to fragrances

• Sleeveless shirts/dresses may be worn as long as only the arm is exposed. A sleeveless shirt/dress where the armhole is cut into the shoulder region is not acceptable. Under garments must not be visible.

• Dress shoes are required in all seasons. Dress shoes with an open toe are acceptable (this is a dress shoe with a small opening at the tip of the shoe and is not a sandal) Dress shoes with sling backs are acceptable (not a sandal). Dress shoes with an open heal are acceptable (this is not a casual shoe).

• Hosiery is required October 1st thru May 31st

Men

The following are considered unacceptable for the workplace:

• Casual style pants, such as: jeans, denim fabric, drawstring, sweatpants or pants with double-stitched side seams

• T-shirts, sweatshirts, oversized sweaters

In addition:

• Mustaches and beards must be clean, well trimmed, and neat.

• Cologne and aftershave lotion should be used moderately or avoided altogether, as some individuals are sensitive to fragrances.

• Shirts must be tucked in.

• Neckties are required

• Dress shoes and hosiery are required in all seasons

Corporate Casual Dress Code

Each business day, we must present a professional business image – even on “Corporate Casual Days.” Corporate Casual attire allows us to demonstrate that we are part of a team and take pride in our workplace and our mission of serving members. Every Friday has been designated as a Corporate Casual Dress day! On Fridays and during approved events, the Corporate Casual Dress Code as outlined below will be in effect. All Personal Appearance Policy rules pertaining to professional conduct, appearance, and hygiene as listed in this document will be observed with only the following exceptions:

• Employees may wear approved NASA Federal logo shirts ordered from the NASA Federal On-line Store on EARL. (Official logo shirts ordered before the store opened may also be worn if they are in good condition and present a polished professional appearance.) No other casual shirts are permitted on these days.

• Professional pants or skirts as described in this document will be worn. Dockers-type “khaki” pants and skirts are permitted. No cargo pants, jeans, denim of any color, or other casual pants or skirts are permitted.

• Professional footwear and hosiery as described in this document will be worn. (No Canvas or athletic type shoes, sandals of any kind, or casual and work boots, etc.)

• Men and women may wear “Camp Shirts” and logo sweaters un-tucked if desired. Women only may wear “Polo Shirts” un-tucked, if desired. All other corporate logo shirts should be tucked in.

The Personal Appearance Policy will be in effect for employees not wearing approved logo shirts.

Inappropriate Dress/Hygiene

The above are guidelines for appropriate dress are NOT intended as all inclusive. Management may deem any items of clothing, styles, or fabric type as inappropriate for professional attire.

If the supervisor feels the employee's personal appearance is inappropriate, the employee may be asked to leave the workplace until the employee is properly dressed or groomed. Under such circumstance, the employee will not be compensated for the time away from work. Employees should consult the supervisor with questions as to what constitutes appropriate appearance.

If an employee wears an inappropriate article of clothing or their personal grooming or jewelry is inappropriate for the workplace, the responsible supervisor will:

• Advise the employee of the problem.

• Send the employee home if the apparel or grooming is extremely inappropriate or if it is a second warning.

• Issue a written warning for the third offense, copy to the personnel file

Performance reviews may be affected by dress code infractions that result in written warnings.
