CRIS Post it Notes and Messaging System

The latest release of CRIS introduces the new Post it Notes and Messaging Module. This area of the system is designed to enable Users to send and view Notes which are either attached to Patient Events, or as a means of conveying information and system notifications to CRIS system Users, Sites, groups of Users or an entire Trust.

CREATING AND VIEWING CRIS USER NOTES

The CRIS system has always contained a 'Message of the Day' facility aimed at individual Users, Sites and the overall Trust however, this functionality was limited in the sense that the message was only invoked upon logging in to the system, and did not enable Users to send real time messages.

The new CRIS messaging modules therefore enables Users to send messages to individual Users, groups of Users, all Users at an individual site or an entire Trust. These Users can then be notified in real time whilst they are already logged onto CRIS.

CREATING A CRIS USER NOTE

1. To send a message, click the ‘Show Messages’ icon on the main CRIS tool bar which will display the Messages screen as follows:

2. Once the Messages screen has loaded, click the [Send Note] function button to access the ‘New Message’ dialogue box.

3. You should begin your message by choosing who you are sending the message to, by clicking the [To] function button to load the CRIS system address book.

Selecting recipients of a message can either be done by searching with names, using the ‘Filter’ box or by opening the Groups, Sites, Trusts or Users folders in the ‘available’ recipients section.

You can then choose to select 'Groups', 'Sites', 'Trusts' or individual Users by highlighting the required recipients and clicking the [ > ] function button to select. Multiple recipients can be selected by holding down the CTRL key and clicking each required group before clicking the [ > ] function button.

4. Having specified who the message is to be sent to, enter a ‘Subject’ and ‘Message Body’ in the appropriate fields before clicking [Send] to transmit the message.

VIEWING A CRIS USER MESSAGE OR NOTE

Once a CRIS User message has been received, the messages icon will change [pic] via the main CRIS tool bar to notify the User.

To view the message click the icon on the main CRIS tool bar, and the 'Messages' Screen will load, allowing the content of the message to be viewed.

CREATING AND VIEWING CRIS EVENT NOTES

A Note can also be added to any type of ‘Event’ on the system. This can be done in two ways.

1. Notes can be attached from one of the following lists: Day list, Unprocessed List, Appointments List, Report Info List, Waiting List, Request List, Vetting List and the Patient's Events List.

2. Notes can be attached by using the Send dialogue when an Event is open.

SENDING A NOTE TO AN EVENT FROM A LIST E.G. DAY LIST

1. Open a List, e.g. Day List.

2. Select the required date with the Event you would like to send a Note to, press [F1].

3. Right click on an Event and select 'Send Note'.

This will display the ‘New Message’ window.

After this Note has been created, as the Event is loaded by any User, a pop-up dialogue of the Note will appear.

The User can:

1. Dismiss the popup by pressing the [Done] button or closing the popup window. The Note will continue to pop-up every time the Event is loaded.

2. The User may also untick the pop up checkbox and click [Done]. The Note will no longer pop-up for anyone, but the Message icon on the toolbar (bordered in red below) will animate in yellow with a blue exclamation mark.

If option 2 is selected, Users may read Notes which belong to an Event by clicking the message icon button (bordered in red above).

3. Users may also delete the message by pressing [Delete] and this will delete the message permanently.

SENDING A NOTE TO AN EVENT FROM THE NOTE INBOX

1. Open the Event in which you would like to send a note.

2. With the Event still open, open the note inbox using the envelope icon in the CRIS toolbar.

3. Click the send note button. The New Message dialogue will appear with the Link to Event checkbox ticked.

4. Once you have completed composing your Note click send. The Note will then be sent to the Event you have open, and the note will then pop up for anyone to view who opens the selected Event.

SENDING RECEIVING AN EVENT MESSAGE

When an Event message is received, it appears in the inbox first. It is blue in colour, and has ‘Event system’ in the system column.

SENDING VIEWING ATTACHED NOTES

An attached note will display every time a User opens the Event, until the Note has been deleted. Every screen within the system will show the message including the ‘Event details’, ‘post processing’, ‘dictation’ and reporting screen.

Initially the required screen will not load until the message has been acknowledged.

Whilst the Event is loaded the ‘Messages’ [pic] icon will change to show that a message has been assigned to the Event. Once the Event has been cleared, the icon will return to its [pic] normal icon.

SETUP

As part of the standard system configuration, all Users can view messages and Event notes. However, in order to have the ability to send Notes, the User must have the following two security settings enabled.

● A Messaging Licence

● The ABILITY_TO_SEND Security setting set to Y.

To be visible in the address book, Users will also need to have their primary site set up in the site code field, as shown in the image below. This can be located in the Setup Tables > People > Staff.

Ensure the three new security settings shown below, which have been created to control who can send messages and where they can send them to, by going to the Setup tables and selecting;

People > Security Settings

To check the required Licence has been set up, go to;

System > Licence in the Set up tables, and check whether a Licence for your current site exists for the Messaging Module.
