SPECIFICATIONS

The Jefferson County Public Schools ("JCPS") is interested in procuring a centralized, off-the-shelf enterprise Visitor Management Software System ("System"), to track and manage visitor check-in and check-out at JCPS schools and various other JCPS facilities throughout the Jefferson County Public School District. The System must integrate with the core infrastructure as specified. The System must support 176+ distinct locations, with the ability to provide unified reporting across these locations via a centralized management console. Further, the management and administration of this System shall be centralized, with the ability to delegate appropriate permissions to users at each location, across multiple user roles.

The proposed System must contain the following technical and functionality requirements:

Technical Requirements Web based client (browser agnostic) Mobile device friendly interface Touch screen friendly Compatible with enterprise database MS SQL Server 2014 or above Integrate with Active Directory for authentication of district users Must provide multiple access roles for security and segregation of responsibilities within the system If the system is on premise, it should be able to run inside IIS Centralized system management, drill-down reporting interface with customizable role based security Ability to query and export data in multiple formats System must incorporate extensive reporting capabilities for querying visitor logs and the ability to query data based on various parameters. If on premise, the System must have ability to backup and restore data Technical and customer support (8x365)

Functionality Requirements Must provide check in/check out functionality for Visitors/Volunteers, in one easy-to-use and intuitive screen Ability to query household / guardian information from Infinite Campus in real time Must be able to scan & OCR drivers/state ID license and make information reportable Must capture photograph of person Must be able to print appropriate visitor badge with captured photograph and information Must be able to reuse existing peripherals including Dymo printers and Biometric scanners Signature pad capable Must support multiple languages Must have alert capability for visitors left in facility beyond a certain time (overstay time) Furnish emergency list and reports for evacuations Ability to query Sex Offender Check (an optional feature that each individual site may purchase) Districtwide ability to blacklist (deny access) individuals accessible by all locations Kiosk version Send alert via multiple mediums

Optional Functionality Ability to issue hall passes and track student movement in school Ability to print Late/Tardy Passes (for students)

The awarded Contractor must comply with the following legal requirements:

Legal Requirements Contractor must possess and maintain all JCPS mandated insurance requirements (See Insurance Requirement Attachment)If data is stored outside of the JCPS network, Contractor must provide SOC-2/3 certification or equivalent, and keep the same current as long as Contractor provides services to JCPS Must comply with the requirements of KY HB 5 and KY HB 232 with regards to data breach notification and encryption
