Add the version number to the Finance Mart Menu

The new test version (3) is in response to questions about the cash balance forward for auxiliaries.  Since we have not yet closed the year, looking at only the July transactions for the balance sheet is misleading.  The new setup allows the user to select there fund and department and it will include the balances forward from the last closed month for the Year to date/Life to date selection.  This only works with the Balance Sheet Summary and the Balance Sheet Detail. 

Expenditure reports will continue to report Life to Date for Grant Funds and Year to Date (July 1, 2007) to present for non Grant Funds.  Please verify that the new functionality is working as described.

Correction to version 3

If you accidentally pick the incorrect report initially (like I did) and use the menu to jump to the balance sheet then you will retrieve incorrect results.  I suspect other users could fall into this trap and misinterpret the results.  It would be helpful if users were not permitted to jump like this (if the table structures are different) or change it so the results pull correctly.  If you go back and reset the parameters to run the correct report the results are correct.

The information for project id’s was not showing the LTD balance forward and current month data when the “Check for life to date(grants)…” check box was checked and the “Check to enable period selection” was not checked.  The modification corrected this problem.  We should also test other scenarios using the date selection as well as some chart fields without project id’s.

The changes should affect the drill down on the balance forward and the reports should be printer friendly.  I have verified that the budget_detail query now includes the transaction description and is working correctly.  It should appear on the budget detail report when it is promoted to production.

1) Add a drill down functionality for Balance FWD transactions in the expense detail report

Feb 2007 -The Finance Mart Version 10.

  The improvements to version 9 include the following:

 

1)       Modification to the display of Cost Share

a.       If the requested chart field string contains a project ID and the “Check to enable period selection” is unchecked show all records starting with July 2002 to date. 

b.      If the requested chart field string does not contain a project ID and the fund code is not 20000, 20500, 21000, 21500, 22000, 22500 or 50000 modify the incoming data as follows:  If the incoming data contains a project ID the budget amount should be zero and the project id should be a space.

1.       This will always show budget and project ID if a Grant Fund is selected on the form.  This would show the Grant Fund without cost share.

2.       This will always show budget and project ID if a project ID is selected on the form even though the Fund ID is blank.  This would show the project with cost share.

3.       If a project ID is not select on the form we will not show the budget or project id for selected records that have a project id and do not have a grant funds.  This would associate the E&G Cost Share expenditures with the E&G budget.

c.       Move the default values to fiscal period start and end.  For example, if a project ID was selected then the value should be “start = 2002 July” and “end = Current date” otherwise the value should be “Start = Last closed period + 1” and “end = Current month”.  If the user selects “Check to enable period selection” begin the process with the default values moved in above.

2)       Inclusion of the SAMAS balance forward for Life to Date Projects

a.       A balance forward as of July 1, 2003 for budget, revenue and expense is now shown on these projects

3)       Modifications to the Expense Detail Report to enable it to print landscape

a.       The Client rpt, Doc Num1 rpt and Doc Num2 rpt are show in one column

b.      The invoice number is split in two if it exceeds 10 positions

4)       The Year to date is set to the last open month to date and the Life to date selection is set to July 2002 to date.

a.       To select quarterly budgets or exclude future budget within the end year you need to “Check to enable period selection”

The implementation of version 12 which included the changes in version 10 caused a problem with encumbrances. Although we want to show Projects Life to Date, we should only show Project Encumbrances Year to Date.

June 2007 – The Finance Mart Version 15

This version contains:

1) A new Commitment Summary Report and Detail Report.

2) Standard report headings and footers with the criteria in the footer. Note: the CFDA number has not been included in the grant report heading at this time due to additional program requirements. It will be included in a later version.

3) The implementation of higher level budget accounts will be implemented in a later version due to internal security issues.

4) Detail reports are now showing totals after budget account breaks

5) The column headers now appear after the chart field sort and repeat as chart field changes

6) Totals for Direct and indirect expenses for grants

7) The parameter form has been reorganized to make it more intuitive for the user.

8) The timing problem related to the use of old budget accounts with open period transactions has been corrected

1) Expand the budget accounts used for indirect cost to 81050, 51550, 82950 and 83950.

7) Allow Financial Report Dev & Test to connect to DWHOUSE, DWDVLP, DWTEST,DWUPG from the interface. IT does not have to provide web.config files.

1) There was an issue identified when pulling reports while selecting period 1 to All periods and not checking the Balance fwd flag. In this situation the report only pulled last month data.
