Student Instructions for Microsoft Academic Alliance

Student Instructions for the Microsoft DreamSpark Program

W

elcome to the DreamSpark (formerly MSDNAA) program! This program allows faculty and students to obtain certain Microsoft software at a nominal or no cost. The Gateway Technical College Business and Information Technology (BIT) and the Manufacturing, Engineering and Transportation (MET) departments participate in this program, and as a student enrolled in courses in those programs, you are eligible to participate as well. This program is semester-based, and if you are enrolled in a current-semester Business, MET and/or IT class, you will be authorized to use the program. Keep in mind that at the end of the semester you will no longer be eligible unless you enroll in another qualifying class the following semester. Authorized lists are built and uploaded at the beginning of each new semester, and expire at the end of the semester. This is why you cannot use the program during semester breaks.

To make it easier for you to obtain software, we have partnered with Kivuto and OnTheHub for delivery of the software. Software is typically available in one of two forms, download and/or purchase. To use the program, you must first log in to the ONTHEHUB site.

L

ogging into the ONTHEHUB system is relatively easy. For all students, your user name is your Gateway student email address. This address can be found on your class schedule in the upper right-hand corner, and should be made up of your lastnamefirstinitialnumber followed by @mail.gtc.edu. This email address will not only be your ONTHEHUB username, but will also be used for any ONTHEHUB correspondence, such as order confirmations and support issues. You should have already received an email at that address, confirming your user name and password.

To start the log-in process, you’ll need to go to the ONTHEHUB web site (), and then clicking on Sign In.

You should then see the log-in screen; enter your Gateway student email address in the Username textbox, and the password you received from ONTHEHUB in the Password text box, and then click on the Sign In button.

Once you log in, you should see a screen similar to this:

[pic]

If this is your first time logging in, the first thing you may want to do is change your password. Click on “Your Account/Orders” for account management options. This area allows you to see what software you have ordered as well as change your password. Once you have changed your password, then you can start getting software.

G

etting software is also fairly simple. When you first log on, on the right-hand side of the screen is a list of categories of different software available, or you can click on All to see all the software that is available. When you click on a specific title, such as Microsoft Visual Studio 2013, any available versions or packages for that title will be displayed. All the software is available by download and there is no fee, but be forewarned; some of the files are rather large and will take time to download. Some of the titles have a backup disk option for a small fee, and the disk will contain the installation files for that title. The download files will be in an .ISO file format and then need to be burned to a disk for installation.

To order a title, click on Add to Cart next to version you want to download. Not all titles have multiple versions, and in that situation, just click on Add To Cart.

[pic]

Note also on this screen (above) there is a description of the software as well as a tab for the system requirements. Make sure your computer system has the resources (memory, process, hard drive space, etc.) before you install an application.

Once you have added the item to your cart, you should see a screen similar to this:

[pic]

Notice here if the Backup Disc option is available, you can add it here. You can also continue shopping or you can check out. Clicking on Check Out will take you to the End User License Agreement (EULA) for that specific title (a copy appears at the end of this document.) In order to proceed with the download, you must click on the I Accept button to proceed after reading the EULA. Please note that violating the terms of the EULA can result in your losing your DREAMSPARK privileges.

After the EULA screen, you will be taken to an order screen, where you will need to enter your name and verify your email address. Once you have completed that information, click on Proceed with Order, and the next screen will be your order confirmation/receipt. This will be emailed to you, but you may want to print it as well, as it will contain your product key. This is also the screen where you will begin the download process. After you have noted your license key, click on Start Download.

[pic]

Once you click on Start Download, a new window will open that looks similar to this:

[pic]

The first step requires you to download and install the Secure Download Manager (SDM.) Depending on your browser (and again it is strongly recommended that you use Internet Explorer for this), you can chose to save the SDM or you can just run it to install it on your computer. You must install the SDM in order to be able to download any of the DreamSpark software, but it only needs to be installed once.

Once you have installed the SDM, you can proceed to Step 3, which is Download the .SDX file. The .SDX file is a small file that has all the information about your order, and needs to be downloaded to get the software. Click on Download .SDX. You can either Open this file or Save it. If you Save it to your computer, then if something goes wrong with the download, you can start the SDM and then click on the .SDX file. Once you open the file (either directly or after saving) a Secure Download Manager window will open and this is the final download.

[pic]

Note that the download automatically defaults to save the file in your temp folder on the C:\ drive. You can browse to a different location or leave it in the Temp folder. You may want to consider creating a specific folder for your DREAMSPARK downloads and then create a separate subfolder for each new title. Once you have identified the folder, click on Start Download and the download will start.

You can follow your download progress at the bottom of the screen. Once the download is complete, click on Launch. This should open the folder where you downloaded the files to, and if there is a setup file, you can click on it (look for a “setup.exe” or similarly named file.)

ISO

Files: The majority of time though, especially with newer versions of applications and operating system programs, the file you download will be an .ISO file. In common use, an "ISO" is a file that contains the complete image of a disc in a compressed format. Such files are often used when transferring DVD/CD-ROM images over the Internet. If this is the case, then you must use an application that is designed to extract the disc image from the .iso file and then copy that image to a CD or DVD. Some CD creation software has that capability; look for a task along the lines of “Create CD from Image file”. If your CD burning software does not have that capability, you may find some free or trial versions programs on the Internet. One that is highly recommended and is easy to use is ImgBurn (.)

Once the download process is complete, you can close any of the windows and sign out of the DREAMSPARK site.

IMPORTANT: If your download should fail, before contacting the system administrator for assistance, try to restart the download by running the downloader again.

If your download is successful, you need to make a back-up copy of the downloaded files. If the file you downloaded was as ISO file, back up that file, either to CD or another computer. If the folder contains a folder with the application name, then all the installation files should be there, including the set up file, any CAB files and anything else needed to install the software. By making a back-up copy of this folder (usually burned to a CD), you can reinstall the software should you buy a new computer or have a hard drive failure. Should you need to download the software again, click on Your Account/Orders, find the software title, click on it, and then click on the Start Download button to start the process again. NOTE: this does NOT issue you a new license/product key. Under most circumstances you will not be issued a second product key.

Don’t forget to log out of the ONTHEHUB site once you are done shopping. As mentioned before, you will be sent a confirmation e-mail which will also contain any important information such as a license or registration code. You should save a copy of this email, and if you back up to CD, put it with the backup. This way, if you do need to do a reinstall, you will have everything together.

S

upport is available from the program administrator. If you have any questions, or cannot log in to the ONTHEHUB site, e-mail the program administrator, Christine Lazaro at lazaroc@gtc.edu. Christine can assist you with download, log in and access issues, but installation or application usage support should be obtained from your instructor or from Microsoft (). You may also use the “Help” topics at the ONTHEHUB site. If you are unable to resolve your issue, you may send a support request by clicking on “Contact Us” at the bottom of the Help page. Please identify who you are (first name and last name), campus, and course you are downloading the software for, if any, as well as a description of the issue.

We hope that you find this benefit useful in your academic pursuits here at Gateway; please honor the student guidelines as violations can result in a revocation of your and/or the school’s eligibility.
