Non-CAC Secure Access with Multi-Factor Authentication (MFA)

Anytime, Anywhere - Securely

For years, DoDEA has required the use of a your common access card (CAC) and pin to verify staff identity. Imagine being able to be mobile and having the flexibility to access resources whenever you need them - even if you do not have your CAC.

What You Know

To maximize access to DoDEA online resources while continuing to protect access to DoD systems and data, staff will be able to setup non-CAC secure access using multi-factor authentication (MFA) through Microsoft 365. MFA validates who you are in multiple ways using passcodes, phone, email and/or other unique factors. This option allows you to access more DoDEA resources anytime and anywhere. *Most DoD systems will continue to require a CAC and pin.

How Multi-Factor Authentication (MFA) Works

Multi-factor authentication requires that you verify your identity in at least two different ways:

? Something you know ? such as your username and password, a secret code or answers to private questions

? Something you have access to ? such as an access card, phone, email ? Something you are ? such as your fingerprint or iris scan, or DNA

For DoDEA purposes, you will use: ? Something you know (username and password), PLUS: ? Something you have access to: your office phone, mobile phone or mobile app for Android or iPhone.

Microsoft 365 consists of: Local and cloud-based (online) apps and productivity services - Implementation Pending This includes mobile, desktop and online versions of Office applications (Word, PowerPoint, Excel, etc.). Once fully implemented, it DoDEA staff will have access to a full suite of online services for email, file storage, meetings, and more. DoDEA Implementation: Local and Cloud-Based (Online) Applications

During School Year 2020-2021 Semester 1, above-school level DoDEA staff will receive access to Microsoft's core online applications and productivity services (Word, PowerPoint, Excel, etc.) as well as Microsoft Teams, which will be available directly on DoDEA-issued devices or online. By the end of the school year, Microsoft Teams will fully replace Skype for Business in the DoDEA environment as it will no longer be supported by Microsoft after July 2021.

DoDEA will plan to roll out additional desktop applications and migrate Outlook mail and local files in subsequent phases over the coming years. For now, you will continue to use the Outlook desktop application and access existing files from the DoDEA network.

School Year 2020-2021 Implementation

Microsoft Office Online Apps and Microsoft Teams

Microsoft core online applications and Microsoft Teams will be implemented in a layered and phased approach. IT and HQ Early Adopters will be implemented summer 2020; other above-school-level staff will be implemented starting Semester 1 of school year 2020-2021; followed by school-level staff.

Microsoft Teams Microsoft Teams is a collaboration resource that allows you to chat, meet and work on files with your team from anywhere, anytime, at the same time - using an internet-connected device. Teams will be available as both a local application (desktop or mobile) or through the Microsoft online portal.

? Communicate through chat, meetings, and calls. Host audio, video, and web conferences, and chat.

? Collaborate together with integrated Microsoft 365 apps. Teams allows users to co-author and share files with popular Microsoft 365 online apps - such as Microsoft Word, Excel and PowerPoint. See the applications that are available when you are setup for Microsoft 365 and Teams below.

? Customize your workplace and achieve more. Using Teams, you can integrate apps from Microsoft to meet your unique needs - pending IT security verification.

Office 365: Online Applications With Office 365, you can access a simplified version of the traditional desktop productivity and workplace applications that you know as well as some that you may find helpful in your daily work. Once you've setup your Microsoft account, you can access the online portal for simplified versions of apps from Word and Excel to Power BI and Teams.

Delayed or Limited Access

Neither Outlook online email, Calendar nor OneDrive will have your existing DoDEA data migrated during the first phase of access. Full email (Outlook), calendar and file access will be available in future phases. OneDrive is available but will only contain new files that you directly add. Additionally, Microsoft 365 has no connection nor impact on Google access or availability.

Remember that this service is supplied by the government so sharing and access rules remain. DO NOT: A) Conduct, store, edit, share, discuss, draw or transmit ANY classified work. B) Conduct nonDoD activities. C) Download any material onto personal devices from the DoDEA environment.
