INSTRUCTIONS FOR SPEAKERS

1. Please hand in and test your Slides, Videos and disks at the slide & video preview room (meeting rooms) preferably 24 hours before your presentation.

The room will be available for your use at the following times.

2. Staff from the congress secretariat will be based in the preview room for the duration of the congress, and will assist you with your audiovisual requirements. It is essential that you familiarize yourself with the audiovisual equipment in both the preview and session rooms well before your presentation.

3. Please introduce yourself to the chairperson(s) of your session 10 minutes before the session starts. At this time you should check that the room is set up appropriately and any special requirements have been met.

4. Speakers will be seated in the front rows and will move individually to the lectern on introduction by their session chair. For sessions with symposiums and panel discussions. Presenters will be asked to assemble on stage at the end of the session for questions/discussion.

5. Speakers are responsible for advancing their own slides using the remote controlled slide forwarder on the lectern. Focusing and lighting will be monitored and adjusted by the technician. If you are using a video, please call

“Video please” at the appropriate time. If you are using computer projection, please select your presentation topic at the session room computer

(Preview room and all the Halls in the respective hotels are networked). A laser pointer will be available on the lectern.

6. You must strictly adhere to your allotted time. The session chairperson will

remind you when your presentation should conclude. When your time limit is reached, the chairperson will call “Time, Thank you”.

7. After your presentation, please collect and sign out your slides, videos and disks from the preview room.

➢ Please be assured that your PowerPoint presentation would be removed from

the session computer after congress.

8. Judges will visit Poster Session at Dharani Hall at Le Royal Meridien between

12 noon and 1.30 pm on all three days. All presenters expected to be available for presentation at that time. There is an award for the best Poster Presentation.

Audio Visual Preparation Guidelines.

1. Speakers are asked to prepare good quality slides or video material to support their oral presentation.

2. If you are using computer projection, Please prepare your presentation in PowerPoint format. Presentations should be run from the session only. Speakers are discouraged to bring their own laptops. All presenters must bring their presentation on Zip disk, CD or Floppy disk.

3. Please prepare your video in VHS/S-VHS multi-system format.

4. Single slide projection only will be available.

5. Use of over headed projectors is not recommended.

Guidelines for Preparation of Slides

1. Avoid vertical slides – most screens are horizontal and vertical slides will be cut off at the top and bottom.

2. Slides with more than 10 lines of text are too difficult to read. If you have more than 10 lines of text for one slide, break it up into two successive slides.

3. Use simple fonts, such as Times New Romans and Arial, rather than flowery or script fonts. All text should be minimum of 22 points.

4. Use dark coloured backgrounds (preferably dark blue) with white or yellow text. This is the most readable combination and will draw the audience’s attention to the text rather than the background.

5. Diagrams and graphs should use line thickness that show clear contrasts.

6. Ensure your slides are professionally glass-mounted, i.e. this will prevent the film from popping out (due to heat generated by powerful projector).

7. Be selective with your slides. They should highlight important points rather than reproduce your entire presentation. Keep the contents simple and remember that your slides are for support only.

Guidelines for Computer Projection.

1. You may make use of the quality templates available in the computer graphic programmes such as PowerPoint. They are set up and ready to go with correct colours and font sizes for the best possible presentation.

2. Choose fonts with thicker or bold characters, as thin lines are easily read from distance.

A Slide & Video preview room will be available for presenters to preview slides and other audio visual aids. Slides, Disks and Videos must be signed in at the staff preview room 24 hours before the session. Slides must be collected from the preview room when the session concludes.
