Northwestern University OmbudspersonPosition PurposeThe Ombudsperson is designed as a resource to help members of the university community understand and navigate University resources, policies, and formal mechanisms that are available to help resolve their issues or concerns. The Ombudsperson acts as a neutral, independent, impartial, and confidential resource for faculty, staff, and student members of the Northwestern University community located on the Evanston and Chicago, Illinois and the Doha, Qatar campuses. The Ombudsperson will offer assistance on a broad array of issues, including academic and work related concerns. Northwestern University adheres to the International Ombudsman Association's Standards of Practice and Code of Conduct.Position ResponsibilitiesThe Ombudsperson will be responsible for establishing the Office of the Ombudsperson and providing leadership, vision, and strategic planning in support of the University’s long-term goals and objectives. The Ombudsperson will establish guidelines, protocols, and training for the functions of the office. The Ombudsperson will manage the daily operations of the office, including the prudent oversight of all administrative and financial functions, and the hiring, supervision, and development of office staff. The Ombudsperson will:Listen with active intentionality and compassionBe a thinking partner to help individuals identify their options, including identifying creative resolutions to concerns through informal mechanisms Direct individuals to appropriate University policies and proceduresCoach community members on how to manage interpersonal concerns and frame conversations with others in difficult situationsFacilitate conciliatory dialogue between willing individuals, when appropriate and agreed upon by both individualsAnnually report on issue patterns and statistics, in order to influence positive cultural and policy change for the Northwestern communityProvide ongoing outreach and education to the Northwestern community and key stakeholders about the work and role of the officeThe Ombudsperson will not: Interpret or advise on University policy, although the office can help direct parties to relevant policies and offices or units responsible for enforcing those policiesAdvocate for or represent any individual, party, office, or the University in any resolution process for raised concernsProvide legal adviceProvide formal notice to any office at the UniversityConduct investigations, although it can help conduct informal inquiries when policy applications are unclear to parties involvedParticipate in the university’s formal investigations, hearings or grievance processesThe work of the Ombudsperson will require close coordination with university leadership and numerous campus offices, including but not limited to the President’s Office, the Provost’s Office, Deans, Department Chairs and Unit Directors, Division of Student Affairs, the Dean of Students Office, the Office of the General Counsel, the Office of Risk Management, the Office of Equity, the Chief Diversity Officer, and the Vice President of Human Resources. The Ombudsperson will be responsible for establishing relationships and other mechanisms of collaboration and coordination with these offices and other campus stakeholders in order to further the work of the office. Required QualificationsAdvanced degree in law or social work field combined with relevant dispute resolution training or ombuds experience. At least 5 years of conflict resolution experience in a large, complex organization.Demonstrated experience in facilitation and/or mediation and techniques for inquiries.Demonstrated knowledge of professional ombuds standards and codes of ethics.Excellent oral and written communication skills.Ability to communicate effectively and respectfully with individuals from diverse backgrounds and with diverse groups of individuals throughout the university community.Demonstrated ability to assess situations and outcomes, exercise independent judgment, and handle highly sensitive matters with discretion and diplomacy.Demonstrated ability to maintain neutrality while obtaining the trust and confidence of individuals at all organizational levels.Demonstrated understanding of risk and liability issues in a large, complex academic and research institution, including the principles of university governance and academic freedom, and other compliance obligations. At least three years supervisory experience.Preferred QualificationsFoundations of Organizational Ombudsman Practice course from the International Ombuds Association or equivalent.Understanding of Northwestern University’s mission, vision, goals, objectives, resources, infrastructure, policies, procedures, and practices.Understanding of all applicable laws, rules, regulations, policies and procedures, research methods, techniques, and/or sources of information.Experience in collecting, organizing, and analyzing data to inform institutional reports and policy responses.
