Job Objectives

To coordinate all recruiting efforts on behalf of an adult/graduate program(s) in partnership with program leadership, and aligned to the short- and long-term enrollment goals of the program(s), school(s) and College.

Job Responsibilities

1. Develop recruiting strategy for each program represented, based on knowledge of specific student demographics, inquiry pool attributes, organizations that fill the admissions funnel, best-practices in adult and graduate recruitment, relevant activities and events that draw candidates, and input from the program partners and DEO.

2. Collaborate with the Director of AGE Marketing Operations to support the creation of effective marketing campaigns and collateral that augments both overall recruiting strategy and supports individual recruiting events.

3. Work with the DEO to develop annual recruitment budget for your program(s), align activities to available resources, and monitor expenditures to stay within budget.

4. Serve as the primary web and social media manager for the AGE Business programs.

5. Maintain strong working knowledge of program-specific admissions requirements and information including pre-requisites, courses, schedule, costs, delivery models, distinctives, competitors, and benefits of the applicable degree program(s), as well as program student demographics.

6. Plan, organize, host, and/or participate in Information Meetings whether they be:

a. Regularly Scheduled: periodic/perpetual sessions (~monthly; or as needed), on-campus and/or in virtual format (i.e. live or recorded webinar) that are supported by web site references, admission liaison communications and marketing tactics.

b. Targeted Sessions: off-campus and as needed, or requested by individual prospects or organizations/colleges, and through effective partnership-building activities

7. Meet monthly (at a minimum) with the program(s) leadership, as well as members of their faculty and administrative support teams to build strong partnerships and enhance individual relationships

8. Meet 1:1 with the Director of AGE Enrollment Outreach on bi-weekly basis to discuss –

o Bi-weekly activities/events

o Recruitment Plan progress

o Integration of new or effectiveness of existing marketing/recruiting strategies (or specific progress with relationship plans)

o Program updates (industry, curriculum, admission criteria, etc.)

o Pipeline and conversion rates

o Challenges, hurdles, or other concerns where the Director’s participation or intervention may be needed

9. Meet with corresponding Enrollment Coordinator bi-monthly (or more regularly as needed) to discuss –

a. Enrollment funnel and progress towards conversion rate goals

b. Program updates (industry, curriculum, admissions criteria, etc.)

c. Current focus, activities, and schedule

d. Upcoming events, meetings, strategies

e. Provide consultation as to conversion challenges (sales techniques, messaging, etc.)

f. Offer assistance with particular prospects where participation may improve conversion likelihood

10. Work with the Director of AGE Marketing Operations to -

a. Coordinate design, development, and timing of all program(s) recruitment materials including flyers, info sheets, postcards, posters, etc.

b. Provide consultation on AGE marketing plan for program(s) including use of print/television/radio advertising, as well as social and digital media

c. Share adult learning/learner success stories, industry updates, or competitive information that may influence program(s) recruiting/marketing materials/tactics

d. Provide consultation on program(s) web-site design and content and assist with updates

e. Provide consultation as to AGE enrollment reports/metrics based on program(s) nuances

11. Work with the Director of AGE Admissions to –

a. Allocate support for recruiting events and activities where your participation is not possible (i.e. program Information Meetings, AGE Open Houses, graduate fairs, conferences, etc.)

b. Stay current with admissions processes and procedures as updates occur

c. Requests for systems training related to admission data and reporting

12. Assist in planning and organizing, along with AGE Enrollment Outreach Team and AGE Marketing Director, bi-annual AGE Program Open Houses.

13. For both Program-specific information sessions and AGE Open Houses, Enrollment Outreach Manager is responsible for developing/updating registration lists, communication plan to registrants, and entering relevant notes into AdmitGold (may seek assistance from Enrollment Coordinators or other administrative support representatives as needed).

14. Work with program alumni, and partnering with Alumni Relations office as appropriate, to participate in recruitment activities where their presence is helpful (i.e. participation in advisory boards/committees, information sessions/open houses, celebration dinners, conference exhibit or college fair tables, networking events, classroom guest speakers, mentors, etc.)

15. Maintain database of contacts from various organizations, colleges or agencies, and cultivate as appropriate. Leverage social media tools to build your network/database of contacts (LinkedIn, Facebook, etc.)

16. Continually seek and explore new opportunities to reach prospective students

17. Attend program(s) faculty/staff meetings and present progress reports

18. Stay current as to program learning outcomes, curriculum, and delivery model, as well as the industry research on recruiting best practices, and realities/trends as to demographics, education/training needs, hiring practices, and tuition reimbursement policies

19. Understand the competitive environments for the school’s programs and communicate relevant market intelligence (program changes, tuition rates, etc.) to AGE Marketing Director, school Dean, and Program Directors.

20. Work with the DEO, AVP and Program(s) faculty to seek out and build strategic partnerships in the local/regional Greater Rochester community that will increase awareness and visibility of your programs, and help to grow enrollment.

21. Represent program(s) at monthly AGE Enrollment Outreach Team meetings

22. Attend and participate in relevant training sessions (sales, systems, processes, products, etc.)

23. Participate in relevant professional development activities (i.e. membership on community/organizational committees or boards; attending workshops/conferences, etc.)

24. Recruit on and off campus; travel required (NYS; limited >NYS)

25. Oversee per diem recruiters (if necessary)

26. Perform other duties as assigned.

Education and Experience

Bachelor’s degree required; Masters preferred, in business/marketing or program-related field. 3-5 years of sales, recruitment or professionally-related experience. Previous experience in higher education admissions a plus. Excellent customer service skills, strong communication and interpersonal skills. Professional, public persona and networking ability necessary. Outstanding technical skills: Word, Excel, social media, and other various college systems.
