Job DescriptionJob title:Head of Doctoral Admissions & RecruitmentDepartment/School:Doctoral CollegeGrade:8Location:University of Bath premisesJob purposeThe Head of Doctoral Admissions & Recruitment will support the Academic Director of the Doctoral College in the leadership of the admissions and recruitment process for Postgraduate Research students and the pursuit of growth and diversification of the University’s doctoral provision. S/he will be responsible for developing, implementing and operating effective and harmonised admissions and recruitment processes across the portfolio of doctoral programmes (PhD / Professional Doctorates), ensuring that services are efficient, scalable and adaptive to changing circumstances. S/he will manage the interface with academic departments throughout the recruitment process, advise on funding mechanisms relevant to Doctoral study and deliver appropriate systems to leverage funding in support of recruitment objectives. S/he will provide professional leadership of the Doctoral Recruitment Team and contribute to the broader mission of the Doctoral College to improve the volume and quality of doctoral provision as a member of the Doctoral College management team. S/he will work in the context of an integrated recruitment and admissions function. People management skills, influencing skills, strategic insight and a proactive approach will all be critical in a role in which s/he will need to lead, manage and motivate a team to reach its full potential.Source and nature of management provided Academic Director of Doctoral College Staff management responsibilityProfessional Services staff within the Doctoral College Recruitment teamSpecial conditions N/AMain duties and responsibilities 1Management and LeadershipTo manage and lead a high performing Doctoral College professional services team to support all aspects of doctoral admissions and recruitment, advising and influencing key stakeholders to ensure that services are delivered in the most effective and efficient manner and relevant KPIs are met.To ensure a high quality customer journey from enquiry to enrolment that is measurably effective in all markets and for all modes in the meeting of recruitment targetsAct in the capacity of a business partner with key stakeholders (both centrally and Faculty based) to establish recruitment priorities and ensure excellent and coherent delivery of objectives. Manage the Doctoral College interface between professional services staff, academics, students and applicantsGenerate, analyse and interpret relevant data in relation to key metrics to provide effective management information on enquirers and applicants to support strategic planning and management and drive improvement. 2StrategicTo advise the Academic Director of the Doctoral College and the College management team in the development of operational, management and strategic plans and targets regarding doctoral recruitment. To develop strong collaborative relationships with faculties/schools, doctoral training entities, IRO and external partners to inform institutional planning, test the credibility of recruitment targets and evaluate the feasibility of strategies to deliver those targets.To work with IRO to explore new emerging markets for doctoral provision for international studentsTo develop and improve doctoral recruitment and admissions in terms of process and product and contribute to the development of long term strategy and design.To ensure that processes and systems are continuously reviewed and improved to ensure they facilitate the development and implementation of new and revised programmes of study and provide a seamless administration process, which meets the needs of all stakeholders.To contribute to the Doctoral College’s vision for research priorities identifying where changes to administrative processes and provision will improve quality or are necessary to enable proposed changesTo contribute to institutional policy and financial planning associated with doctoral recruitment, identifying new recruitment markets (national and international), informing tuition fee income forecasts, and providing management information.To contribute to market analysis, marketing and development in order to attract high quality students, working with colleagues in the faculties, School, IRO and Marketing and Communications3Recruitment and AdmissionsTo lead the development and implementation of doctoral recruitment plans, proactively engaging with staff across the University in the process.To manage the efficient and effective running of the admissions function for the Doctoral College, meeting all KPIs for enquiries/admissions and adopting the most effective customer relationship management processes/systems, with a focus on continuous improvementManage recruitment and admissions staff to achieve high standards of performance and professionalism with regard to: the meeting of key objectives; dealing effectively with prospective students; interfacing with internal stakeholders and collaborating with external partnersTo work collaboratively with relevant parties (both centrally and Faculty based) in the capacity of a business partner to ensure that the applicant journey is effectively managed to optimise application and conversion. This will include regular, accurate and detailed analysis of key data pertaining to applications, offers, conversion and related activity, as well as providing advice and guidance on remedial action to deliver on recruitment plans and joint objectivesTo ensure all admissions data is accurate, fit for purpose and compliant with internal policies and external regulation. Ensure awareness and adherence to all relevant legal and regulatory obligations including Data Protection, Freedom of Information, Competitions and Market Authority guidance and UKVI directivesWorking with colleagues in the Finance department, advise the Director on fee policy and funding mechanisms relevant to Doctoral study. Deliver appropriate systems to leverage funding in support of recruitment objective. t Oversee the studentship / scholarship allocation process (including the development of robust procedures), monitoring the operation of doctoral provision accounts in line with policy and regulatory requirements. Working with the Doctoral Communications Manager, establish priorities for the use of university marketing resource devoted to doctoral recruitment in the provision, in collaboration with colleagues, of innovative marketing campaigns which respond to a fast-changing, highly competitive and global marketplace and are compliant with consumer regulations.4Quality AssuranceWork closely with the Director and others to ensure that appropriate targets and performance indicators are set and that effective management systems are implemented to measure progress and drive continuous improvement. Work with the Doctoral Quality Framework Officer and others to ensure compliance with all relevant policy and regulatory requirements. Ensure the integrity of doctoral recruitment data and reporting and drive forward improvements in data capture and management information. .5ResourcesTo monitor any budgets assigned to the Recruitment team To support the Academic Director of the Doctoral College in the planning of future space and resource requirementsYou will from time to time be required to undertake other duties of a similar nature as reasonably required by your line manager.
