Minutes of the Executive Board Meeting

Attending: Norma Briggs, Carol Buelow, Clelia Niesen, Scott Weiss, Ian Gaylor, Nancy Holland, Janice Lacock

1. Agenda: accepted without changes.

2. Minutes for Sept 25, 2003 meeting. Approved with “Glasspool” spelling correction and corrections to Ball Committee.

3. Treasurer’s Report. The checking account balance is $1963.24 The t-shirts are at a balance of -$231.29. The books are at a balance of -$435.09. The account books have not been submitted for audit yet.

4. Secretary’s Report. Branch status: We have paperwork from the RSCDS Secretary regarding organization of the Branch, officers, memberships, licensing agreement, model constitution, etc. Most of this was turned over to Mike Briggs at the last Board meeting. Carol will e-mail an invitation to Mike to attend the next meeting and advise us how best to proceed. Other materials were recently received from RSCDS: information about the Annual General Meeting in Edinburgh, Summer School in St Andrews, and materials for the Youth Coordinator. We can send a delegate to the AGM, designate a delegate, or vote by mail. Norma volunteered to look over the AGM agenda and candidates and vote as she sees fit. The youth materials were also turned over to Norma. Ian will ask Nancy M. to put a link on our website to the RSCDS Summer School info.

5. Vice-Chair’s report.

a. The Dec 13 workshop with Terry Glasspool was announced at Frolic on the Fox. Workshop sessions will be held from 9:30 – 11:30 and from 1:30 – 3:30. There will be a house concert at Briggs’ Sat evening, time TBD, featuring Musaica, a group Susan Conant plays with. Hospitality will be offered for Sat. night, arranged by Janice. There will be a brunch starting at 10:00 on Sunday at Ian and Nancy’s. We need to advertize the workshop, including e-mail to the Twin Cities and Ames groups and a flyer that includes some of Terry’s dances that we’ve enjoyed. Nancy H. and Ian will work on a flyer that will also include dates of Feb dance and the Ball. The program of dances for the Dec 14 Party needs to be posted on the Web site. Janice will be party coordinator.

b. February dance: We are still looking for a venue, possible dates are Feb 14 or 21. There were conflicting opinions previously about whether to have it on the same weekend as the Civic Center International Festival (Feb 22). We decided in favor of the Saturday before the Festival (Feb 21). Scott looked at Badger Bowl; the space is small, it’s free, but in the bar. Janice reported that Quality Inn has space but we would need to go look at it. The Masonic Hall does not have sprung wood floors. Turner Hall on Stoughton Road has a gym that was recommended by a Ballroom Dance group and is available Feb 14 and 21. The cost is $20/hour. Carol volunteered to look at it. Norma will also check out the Fitchburg Community Center.

c. Ball: The Ball Committee , Bonnie Hall, Registrar, Scott, Nancy H., Janice, Eric, and Clelia has met once. Their next meeting is at 6:00 Nov 5 at Scott’s. This will be the inaugural Ball for our Branch, and ideas are being developed to celebrate “Muir in Madison”. We are hoping to have fiddler Ann Hooper join the Band as guest musician. On Friday evening there will be a Highland Dessert and Celtic Coffee. A tentative Sat schedule includes Grand March at 7:30 and dancing starting at 8:00. There will be an ode to John Muir, by Bob Hall, and entertainment at intermission, to be announced later (?). The After Party will be at Bob and Bonnie’s, Sunday Brunch at Briggs. The Ball committee would like to have two walk-through sessions, with dances assigned to each. Perhaps Chuck or John McCormick could take one of the sessions. The Committtee would like to keep the dance program easy- mainly simple and old familiar dances. Also perhaps Mike B could write a dance in honor of the Branch.

6. Membership Report: We have 31 members. Clelia will be creating a membership list (honest!) as a word document to e-mail it to members.

7. Publicity Report:

a. Ian asked whether to send publicity via e-mail or US mail; we agreed e-mail was efficient and effective. The midwest groups, i.e. Iowa, Twin Cities, Chicago, Rockford and Milwaukee need to get the publicity for Dec Party/workshop weekend and the Ball.

8. Old Business

a. Advanced dancing: We will wait until Spring.

b. paypal upgrade: Postponed until Chris is here.

c. Costume update. Clelia showed us a pattern for bodices and shirts. Janice will find out what material Milwaukee uses.

9. Other:

a. (Back to the Ball) Norma suggested that we let non-dancers, friends, spouses, etc, know that they are welcome to come for the Dinner, and to watch the dancing, i.e. have a Dinner-only price. The Celtic Studies folks and St Andrew’s Society could also be invited. Nancy H. asked that we have an “honorary” ball chair. Carol nominated Dann Willett.

b. Norma said that she will start another kid’s class later, when her foot is better. But that the more advanced kids could be invited to the Glasspool workshop.

10. General Timetable: we’re on schedule.

11. Next Meetings: Tuesday, Nov. 18 6:30 pm at Briggs’ home. Tues Dec 9, at Janice’s home.
